1. Introduction

To set out a consistent method for audit of the management system to assess compliance
with documented procedures, associated forms and records and compliance obligations.

To identify areas of non-compliance or potential improvement and provide evidence of


audit and compliance for review by customers and other interested parties.

2. Scope

This procedure shall be implemented when conducting all internal audits of the quality
management system. It will cover all offered company activities in line with written quality
procedures and their respective associated forms and records to show compliance with the
company policy and its stated objectives. It will also look at statutory and any other
governing body requirements. It shall not apply to any audit of subcontractors.

3. Responsibilities

Personnel shall ensure that this procedure is implemented within their areas of
responsibility.

The Directors are responsible for monitoring progress against the authorised management
system audit program.

4.0 Procedure

4.1 Audit scheduling

An annual audit program shall be established to ensure all processes are audited to a
frequency based on the status and importance of the process. Previous audit results will be
used as an input when setting the audit schedule.

The audit schedule shall be drawn up by the QA Advisor and authorised by a Director.
Procedures and processes shall be scheduled based on their status and importance.

Increased frequency will be considered to reflect compliance with procedures or activities


that have the greatest impact on the core business of JTL.

4.2 Audit

Audits shall be conducted by suitably trained personnel. Suitable training/personnel


include:

 Registered auditors/lead auditors


 Registered internal auditors
 Successful completion of registered lead auditor or internal auditor training
courses.
 IMPARTIALITY

Auditors shall be independent of the function being audited

4.3 Conduct of audits

Prior to commencing the audit any previous report shall be examined together with
associated corrective actions. Any deficiencies that required corrective action shall be noted
and reviewed as part of the audit. Should such a deficiency still exist at the time of the
current audit a finding shall be raised highlighting previous actions as not effective.

On completion of the audit, the auditor shall either:

 Verbally outline the finding of the audit to the appropriate personnel and obtain
their agreement or
 Present the audit report to a Director for discussion and signature.

4.4 Documentation of audits

The objective evidence gathered in the course of each audit will be recorded as part of the
audit report and retained as part of the audit record.

The results of each audit shall be summarised using the report format.

This will identify any non-conformities or potential undesired effects found and any Non
conformances raised. These are to be reviewed and actions identified to eliminate the non-
conformities and prevent or reduce undesired effects.

Complete records of all audits undertaken on procedures shall be maintained. These will
include originals or copies of:

 Audit reports
 Associated NCRs

4.5 Distribution of audit report

Management system audit reports shall be distributed to:

 Directors
 Line Managers
 The Auditee
 Others as deemed appropriate
