DocuWare Server Setup


To install DocuWare as an on-premise system, you need the
DocuWare software package in the form of the ZIP file and your
license file, which you have received by email from DocuWare.

During installation, you have to select at least one of three roles for
the server machine on which you are installing it. The role
determines the tasks that the server machine should perform in the
DocuWare system.
▪ Frontend role: Providing services for clients and users,
includes Web Client, Platform Services, and DocuWare
Configuration.
▪ Backend role: Providing services for background processing,
e.g. workflows, processes, and email capture.
▪ Full text role: Providing services for full-text processing.
You also have to select a setup mode:
▪ New installation: to install a completely new DocuWare system
with a new database.
▪ Extension: to install additional server machines for an existing
DocuWare system with an existing database. For example:
- to extend the existing system to another machine.
- to restore the system after a machine failure (if there is a
database)
- to update DocuWare while moving to a new server
▪ Update: to update or reinstall the DocuWare components on
the current server machine and to add one of the above roles
to an existing server machine
▪ Uninstall: to uninstall all DocuWare services and applications
from the current server machine
Installation comprises several steps. Every step can be repeated if
it fails. The setup is logged in detail. The corresponding log files
can be found in the directory
<%AllUsersProfile%\DocuWare\SetupLogs>.

DocuWare services run under Windows Users. To be able to


specify the Windows User(s) as part of the DocuWare setup, you
should first create them.

Information about individual setup options can be obtained directly


from within the dialog via the info icons .

You can find a complete list of all the new features of DocuWare
version 7 in the DocuWare Knowledge Center under What's new in
DocuWare version 7 or as a PDF.

Before upgrading to version 7, please check the extent to which


the changes with DocuWare version 7 are relevant to your system.

System Requirements
System Requirements for DocuWare Version 7

The following requirements exist for the DocuWare setup:


▪ The current user must have local administrator rights on the
computer
▪ .NET 4.61
▪ Windows Installer 4.5
DocuWare Server and Clients run on the following operating
systems:
▪ Windows 7 (at least SP1, 64 bit)*, Clients also 32 bit
▪ Windows 8 (64 bit)*, Clients also 32 bit
▪ Windows 8.1 (64bit)*, Clients also 32 bit
▪ Windows 10 (64bit)*, Clients also 32 bit
▪ Windows Server 2008 R2 (64 bit)
▪ Windows Server 2012 (64 bit)
▪ Windows Server 2012 R2 (64-bit)
▪ Windows Server 2016 (64-bit)
* Due to an IIS restriction by Microsoft, client operating systems
are only suitable for installing DocuWare servers if the DocuWare
installations are extremely small, such as those with only one user.

For Web-based applications, the following browsers are supported:


▪ Internet Explorer 11
▪ Firefox 50 and later
(For Firefox versions starting in March 2017, except for those
components within the DocuWare configuration which are
based on Silverlight.)
▪ Chrome 54 and later
(Except for those components within the DocuWare
configuration which are based on Silverlight.)
▪ Edge
(Except for those components within the DocuWare
configuration which are based on Silverlight.)

Databases
▪ Microsoft SQL Server 2008, 2012, 2014 and 2016
▪ Oracle 12c (except for Multitenant Architecture) must be
installed on a separate machine
▪ MySQL 5.0 and later
Special requirement for DocuWare Desktop:
▪ If DocuWare Desktop is used on a computer with Windows
Server 2008, "Desktop Experience" must be installed.
Special requirements for Connect to Outlook
▪ Microsoft Outlook 2013 and Outlook 2016 in 32-bit and 64-bit
versions.
Special requirements for DocuWare Request
▪ .NET 4.5 or higher is required to start a DocuWare Request
created with DocuWare Version 7.
Special requirements for Intelligent Indexing as local
Installation:
▪ In combination with DocuWare from version 6.1 on
▪ The Windows Server 2012 R2 operating system is
recommended
▪ Separate server machine with:
Quad-core processor (e.g. Intel Core i5)
8 GB RAM
Hardware Requirements

These requirements are valid for DocuWare Services only! Any


additional external application on the same machine require
additional resources.

DocuWare Services
▪ CPU 2 * 2,0 GHz minimum, 4 * 3,2 GHz recommended
▪ RAM 4 GB minimum, 8 GB – recommended
▪ Hard disk
- minimum 5 GB hard disk space
- SSD recommended
- documents should be stored on a separate internal hard drive
or external storage system

Database
▪ DocuWare Internal Database:
CPU: minimum 2 * 1,4 GHz, recommended 2* 3,2 GHz
RAM: minimum 1 GB
Hard disk:
▪ MySQL, SQL Server, Oracle:
System Requirements of database vendor must be followed
▪ DocuWare recommends the use of Microsoft SQL-Server as
Database system for Systems with more than 1 Million
documents (without fulltext index) or with more the 200.000
document pages (with fulltext index).
▪ MS SQL or MySQL 64 Bit recommended when using Workflow
Manager
▪ In larger installations we recommend to use a dedicated
machine for the database
Fulltext
▪ DocuWare Fulltext Service (required for searching in the
fulltext of the documents):
minimum 1 * 1,4 GHz, recommended 2* 3,2 GHz
RAM: minimum 1 GB, recommended 2 GB
▪ In larger installations we recommend to use a dedicated
machine for the fulltext.
Examples

DocuWare, all Server- and Web Components including the Internal


Database on one machine (Windows Server 2012 Standard),
without Fulltext
▪ Minimal Requirements:
CPU: 2 x 2,0 GHz (DocuWare Services) + 2 x 1,4 GHz (Internal
Database) = 4 x 2,0 GHz
RAM: 4 GB (DocuWare) + 1 GB (Internal Database) = 5 GB
▪ Recommended Resources
CPU: 4 x 3,2 GHz (DocuWare Services) + 2 x 3,2 GHz (Internal
Database) = 6 x 3,2 GHz
RAM: 8 GB (DocuWare Services + 1 GB (Internal Database) =
9 GB

2014 Standard Version on one machine (Windows Server 2012

▪ Minimal Requirements:

Windows User for DocuWare


Server
DocuWare servers must be able to log in to the Windows system.
For this, they require a Windows User with local administrator
rights. During setup, you must specify a corresponding Windows
User; either choose an existing one or create a new one. We
recommend using a special Windows User exclusively for
DocuWare services.

Ports used
DocuWare uses the following ports by default:
▪ Authentication Server: 9000
▪ Workflow Server: 9002
▪ Notification Server: 9005
▪ Full-text server: 9012
If no other programs on the server machines used communicate
via the preselected ports, no change is necessary.

Upgrade Simulation
DocuWare setup offers an upgrade simulation for the following
databases:
▪ System database (DWSYSTEM)
It checks whether the database of your existing DocuWare
system can be successfully updated. It does not change the
live DocuWare system.
We recommend that you run the simulation to avoid problem
cases at setup and any related system failures. If the
simulation goes smoothly, there's nothing to prevent a
successful system upgrade. If errors are detected by the
simulation, you should cancel the setup and contact your
DocuWare sales partner or DocuWare Support.
▪ Optional database of the DocuWare module Workflow
Manager (DWWORKFLOWENGINE)
It checks whether the database of your existing Workflow
Engine Server can be successfully updated. Please note that
the upgrade of DocuWare versions 6.0 and 6.1 is not
supported for the Workflow Manager module database. If
errors are detected by the simulation, you should cancel the
setup and contact your DocuWare sales partner or DocuWare
Support.
Note for Oracle databases:

With Oracle database, the upgrade simulation can only be


performed under the following conditions:
▪ Oracle Server Version 12
▪ Installed Oracle client 12, 32 bit
▪ Under ORACLE_HOME\bin path the following tools have to be
installed: imp.exe, exp.exe, sqlplus.exe
▪ The following product components have to be installed: Oracle
Database Utilities, SQLPlus, Oracle Advanced Security
▪ "Oracle Data Provider for .NET" must not be installed
Note for MySQL databases:

If you are using a MySQL database server and run the update by
remote, none of the upgrade simulation options are available.

Customer Experience
Improvement Program
Using the Customer Experience Improvement Program (CEIP),
DocuWare would like to gain more information about use of
DocuWare software in addition to surveys, forums, and focus
groups as a basis for further improving user-friendliness and
customer experience. The program's objectives are constant
optimization of the user interface and performance, as well as
improvement of fail-safety. Your participation paves the way for
software optimization, from which you can then also benefit.

How does CEIP work?

If you decide to participate in the CEIP, statistical information


about DocuWare use in your DocuWare system is collected and
transferred to DocuWare at regular intervals. All procedures take
place automatically and in the background – participants are never
interrupted while working and there is no impact on performance.

Which information is collected?

For each DocuWare system:


▪ Number of file cabinets, file cabinet dialogs, and document
trays
▪ Number of users
▪ Type of database used
▪ Operating system of the server machines
For each client computer:
▪ Operating system
▪ Screen resolution
▪ Browser in which DocuWare is used
▪ User interface language of the Web client
▪ Installed Desktop Apps, number of associated configurations
and how often they are used
▪ Information about size and page number of processed
documents

Conclusions cannot be made about specific DocuWare users


through this process. No personal data is collected, particularly not
user names or email addresses.

If the server setup ends in an error, the following data are


collected:
▪ Details on the version of the operating system
▪ Installed Windows updates
▪ Installed DocuWare version
▪ Any previously installed DocuWare versions (in the event of an
upgrade)
▪ Setup logfiles
How can you register/deregister for CEIP?

You can register when installing/updating DocuWare in the setup


by activating the corresponding option, or at any time in the
DocuWare Administration under Organization > General. If you
wish, you can also end your participation in CEIP here.

Where is CEIP information stored in your system?

When setting up/upgrading, the "Customer Experience


Improvement" component is installed. This creates an additional
database table called DWAnalytics in the database used for your
DocuWare system in which the statistical information is stored.
You can also see the information in the database table using the
normal database tools.
Even if you do not take part in CEIP, the "Customer Experience
Improvement" component is installed, the database created, and
the corresponding information written there. However, the data are
then not transferred to DocuWare.
