Part Time Teacher Studio Policy

This letter is to address the policy and procedures of teaching part


time at the Toedtman School of Music.

Rent: Rent is calculated based on the number of students on your


schedule and their regularly expected attendance. If a student is
scheduled to attend lessons weekly for a half hour then rent is
$22 per month and if scheduled weekly for an hour then rent is
$44 per month. No deductions in rent will be made for missed
lessons either by student or teacher for any reason. All lessons
are expected to be made up. So, for example, if you have ten half
hour weekly students on your schedule your rent is $220 every
month. *Included in the cost of the rent is usage of a room at the
school upon which to teach, use of the school’s wireless internet,
and promotion of your services by John C. Toedtman, owner of
Toedtman School of Music, at community engagement
opportunities. Advertising is also provided of your services on
Toedtman School of Music’s website, of which includes a bio, link
to a teacher’s personal website, and, with approval by John C.
Toedtman, may include any other announcements or upcoming
events related to your teaching services.

Due Date: Rent is due on the 1st of every month. If payment is


received after the 15th a 10% late fee will be assessed. Part time
teachers will turn in a legible copy of their monthly schedule along
with names and contacts, emails and phone numbers, of all
students with every rent check each month. If there are additions
to your list then John C. Toedtman will use this to track
registrations. If there are subtractions from the list then John C.
Toedtman will use these to reach out to those students no longer
studying in order to obtain feedback on customer service and
ways the school could improve to retain more students.

Referrals from school: Potential students that come to Toedtman


School of Music through the website or by phone will be given to
teachers by John C. Toedtman within 24 hours of receipt.
Teachers will then contact all potential students received from
John C. Toedtman immediately, or at the latest within 24 hours.
The expectation at Toedtman School of Music is for teachers to
follow up regularly and consistently with a potential student until
contact is made. As such, sending one text message, not hearing
back from a potential student, and then ending all future attempts
at follow up is not appropriate nor is it good customer service.
Upon contact with the potential student, a confirmation of the
outcome, whether the student signed up or declined, will be
immediately provided via text, phone call, or email to John C.
Toedtman. Failure to do so will negatively impact future referrals.
Of note, all students will be required to register with the school
and pay the registration fee, determined by month of initial
lessons. Refer to registration form for details.

Referrals from teachers: It is encouraged that in addition to the


advertising done through the website and through John C.
Toedtman’s community engagements, that teachers utilize every
opportunity to self-promote themselves in order to increase
student numbers. In encouragement of this practice any new
student* signing up for lessons directly through a teacher will
result in a reduction by half of the rent due to Toedtman School of
Music for the 1st month of lessons. For example, if a new student
signs up for weekly half hour lessons then for the first month of
lessons rent due to the school is $11 instead of $22, weekly hour
lessons rent due is $22 instead of $44. At the start of the second
month and subsequent months the rent is back to regular
calculations as referenced above. Please note that a new student
is defined as one that did not come through the referral process
for the school and is not related to any other students currently
studying at the school. All students will still be responsible for
paying the school’s registration and be immediately added to a
teacher’s monthly schedule. Notification of student’s name and
contact information will be provided to John C. Toedtman through
text, phone, or email so registration can be tracked.

Communication: If there are extenuating circumstances beyond


the teacher’s control that is expected to impact any of the above
policies then it is the teacher’s responsibility to speak with John
C. Toedtman with no less than two week’s notice to see if
temporary or alternative arrangements might be made. As
mentioned earlier, timely communication is important between
teachers and students. Equally important is communication
between teachers and John C. Toedtman. As such, whether
communication is initiated by either John C. Toedtman to a
teacher or a teacher to John C. Toedtman a response should be
able to be provided immediately or at least expected at the
respondent’s earliest convenience, with no response taking longer
than 24 hours.
