SECTION 1: SHORT ESSAY (40 points)

Firstly, a sound, especially one that is loud or unpleasant can cause a disturbance and the bad
impression for your customers. For instance, the telephone sound, an uncomfortable meeting
place (poor lighting, bad seating, …), background noise, etc. Instead of choosing some luxury
coffee shop or meeting at the office, employees will randomly choose to meet their customers
at any place – demonstrating the unprofessionalism.

Secondly, the competing messages make it difficult to gain and keep your audience’s attention
which can result in information overload. For example, in the meeting with the potential
customers, sales executive tends to emphasize the benefit of the products and try to repeat these
messages many times. In fact, customers will doubt about this product, which can lead to the
decrease in the probability of purchasing goods and service.

Thirdly, the filtering of the message, in some case, can cause a problem. Message that informed
by the third party or by multiple people until reach its destination can make the messages
become inaccurate. For example, our customers want the product A. However, during the
transformation, there will exist some mistakes (wrong typing, wrong context, etc) that will
cause to the wrong final products delivering to the customers. Customer will be angry and
hence, they will never purchase goods and service at our company anymore.

Lastly, the channel breakdowns can cause the limitation. It happens when one or more
communication analysts do not report to superior because communication channel are not
ready. For instance, customers want to order 10 product A immediately. However, since the
domestic communication channel have some problems (unfixed telephone, …), we cannot
make the order for our customers. After waiting too long, the customers may delete the bill and
never come back to buy our company’s products.
SECTION 2: WRITING A BUSINESS MESSAGE (60 points)

Dear Mr. Viet Le,

Please allow me an opportunity to introduce myself. My name is Trinh Ngoc Nhan and I am a
member of IU Youth Union as well as the project leader of the “SAVE PEOPLE” in the
International University- Vietnam National University at Ho Chi Minh city.

Our project is the non-profit project which is going to help the medical care teams in
supporting Covid-19 patients within Thu Duc district. Our project will be started from Dec 1,
2021 and will be lasted until the pandemic become less serious.

After analyzing some companies’ products as well as referencing from other people, I decide to
contact with your company as the best in both our demand and the customer’s service.

We are looking 2 main types of products in your company:

- Disposable coveralls in two colors: Blue and White in three sizes S, M, L. For each color
and each size, we would like to order 200 suites.

- Face masks, gloves and protective disposable face shield. The quantity for each is 500
units

I would like to ask you about the availability, the amount and the price of these products.
Moreover, if there is any additional cost (transportation costs, product return cost, etc) or other
policies (such as return policy, warranty policies, …), I hope that you can estimate them and
send me the full- detailed report on these things. In addition, as I order the big amounts of
products, I really appreciate that your company can offer me a best price as well as some
promotion on this bill.
