Guideline/Template for writing Students’ Work Experience Scheme (SWEP) technical


Report of the Faculty of Engineering, Adeleke University, Ede, Nigeria.
This guideline is divided into four (4) major sections viz:
Section A (general tips on formatting), Section B (Template for front matters of the Report), Section C
(Template for the Main Body of the Report) and Section D (References and Appendices) as detailed below.

A. GENERAL TIPS ON DOCUMENT FORMATTING


1. Font: Use Times New Romans, 12 font size and double spacing (2.0) between text and 0 spacing
before and after text (remove all spaces before and after paragraph).
2. Page Layout: use a page size corresponding to A4 [210mm (8.27") wide and 297mm (11.69")
long] and set margins as follows: Top = Bottom = 1", Left = 1.25", Right = 1"
3. Alignment: Justify Text on both sides
4. Sectioning: Section numbering should be used and should be in accordance with each chapter (as
indicated in the Table of Content segment of this guideline). Sub-section should not be more than
x.x.x.x (e.g. 2.3.3.1 is OK but 2.3.3.1.1 is not allowed). Every chapter in the report must start on a
new page.
5. Headings: all the headings and sub headings for every section should be in Sentence/Title Case
6. Pagination: The pagination shall be bottom of page, centralised and roman numeral numbering for
the front matters while the main body of the project carries normal numbering system (1, 2, 3 etc).
7. Plates, Figures and Tables: Plate refers to pictures taken by the student or copied images from
another page while Figures are drawings and graphs or other similar charts apart from pictures. All
plates and figures should be numbered underneath and centralised while Tables should be numbered
on top and centralised. Please note that all Tables, Figures and Plates must be referred to in the
write up before they are placed (e.g., “….as presented in Table 2.1), they must also appear on a
fresh page. Use Times New Roman, 12 pt font, Sentence Case, centralised and boldened letterings
for labelling of Tables, Figures and Plates. Captions and labels must be numbered in accordance
with the chapter where they occur (e. g. the first table in Chapter Two will carry the caption Table
2.1. The acceptable table format is without left, right and central (inside) borders and only top, and
bottom borders as shown in Table 2.1.

a. Figures: these include all drawings, smartArt, charts, graphs and objects. They must be numbered
serially as they are referred to in the text. Please refer to figures with capitalization and
unabbreviated (e.g. “as presented in Figure 4.1…”, and not “Fig. 4.1” or “figure 4.1”). Place caption
underneath every Figure and number them accordingly in Title Case Format. Please note that all the
figures that are not graphs/plots must be drawn with the computer tools e.g. with MS Visio,
AutoCAD etc. –handsketching is not allowed.

b. Plates: this include all photographs and images, the image should be very clear and of good quality.
They should be numbered serially according to the chapter where they are found (e.g. Plate 3.2 is
the second photograph in Chapter Three)

8. Headers and footers: this must not be used in the report write up

9. Equations: all equations in the Technical report must be presented in Equation editor and
numbered based on the chapter where they occur. All the terms in the equation should also be
defined appropriately. For example, the first equation in Chapter three will be numbered as follows:

Where: P is the Power (Watts),
Cw is the Specific heat capacity of water (J/kg.K),
∆ Tw is the change in temperature (i.e. T2 – T1)
Δt is the Time required to boil the water at 100oC, sec.
10. References: American Psychological Association - APA 6 style is acceptable. Citing of single
author is Surname (year) e.g. for a single author, the format is = Adeleke (2014); for two authors is
Ogunlade and Adeagbo (2019); for three or more authors is Adeleke et al. (2010).
11. Binding: The report shall be bound lightly with a blue film and covered at the back with a thick
cardboard cover.

B. TEMPLATE FOR FRONT MATTERS
The front matters of the project should be presented as arranged chronologically below:

The title page containing the title of Project Report, full name (Surname first in Capital letters and no
comma thereafter. The other names should be in initial case capital)

with the List of Tables detailed above

The list of all Plates in the project write up should be presented under this page and labelled in accordance
with the List of Tables detailed above
viii) Executive Summary: this is where you give the summary of the entire project. It should consist of
brief introduction, justification and objectives, methodology, results obtained and conclusion.

C. TEMPLATE FOR THE MAIN BODY OF THE PROJECT REPORT


The main body starts from Chapter one and ends at Chapter Five. The major headings expected under this
section are as follows:
CHAPTER ONE
1.0 INTRODUCTION
This section should be very interesting; the purpose is to tell the reader why he should read the body of the
report. It should supply sufficient background information to allow the reader understand the main concept
of the report. Do not overestimate the readers’ familiarity with your topic rather; write generally for
everyone in other areas and disciplines to understand. The chapter gives general information on various
headings as presented (but not limited) in the table of content above.
CHAPTER TWO
This chapter presents detailed report of all activities carried out in the organization, please feel free
to break this chapter down into various subheadings as may be suitable and appropriate. Create a
section under this chapter that will show the major challenges faced and how they were addressed.
Present pictures, plates and tables appropriately (if need be)

CHAPTER THREE
3.0 CONCLUSION AND RECOMMENDATION(S)
3.1 Conclusion
This section shows the summary and major highlight of the work done
3.2 Recommendation(s)
This section reports your suggestions on possible areas of improvement on what you have done and any
suggestion you deem fit for the SWEP exercise

D. REFERENCES AND APPENDICES


i. REFERENCES
The references cited in the body of the report are to be listed here in alphabetical order.
All references cited must be listed. Text should be single spacing within reference and double spacing
between references with half inch hanging indentation. Below are the formats for listing each type of
sources: Book/Manual/Monograph, Journals, Newspaper/Magazine, Thesis/Dissertations, Conference
Proceeding, Electronic Publication. American Psychological Association - APA 6 style should be strictly
followed in writing the references.

Author(s)-Surname, initials (year). Title, Publisher, Place of publication, Total number of pages in the book
as “pp ….”. For example:

This template was coined out of the guideline for writing Undergraduate projects in the Faculty of
Engineering, Adeleke university as a guide for presentation and preparation of technical reports for SWEP
1 and 2, it is meant to help students produce good and accceptable reports, don’t limit yourself to the
content of this template, you may wish to present additional information that may not be captured in the
subheadings and headings provided here
