Subject: RFP for Museum Expansion Project

Dear Sponsor,

I appreciate the opportunity to submit this proposal for the museum expansion project. I have
considered your project needs and goals and am aware of the importance in finishing this project
within the 81-day timeline provided. I will work diligently with the team to complete it
effectively, on time, and on budget. After reviewing the information provided on the original
plan, I am pleased to present the below approaches with you.

• Primary Plan: Reallocation of Resources


Since the goal is to complete the expansion NLT 81 days, I felt it important to focus on
sections and tasks where we can save on time without compromising scope. While
reviewing the original critical path, I believe there is a need to shift focus to the lobby
area when we get to flooring and wood treatment. This is where we will maximize on
time and resources. Without delaying progress to both the store/café/kitchen and lecture
hall, reassigning more subcontractors and laborers to complete the lobby area wood
treatment, flooring, and carpeting will certainly put us back on schedule or even better
ahead of. These tasks ultimately have the lags that can be leads if given the attention and
resources needed.

• Assumptions:
o Expansion will be completed NLT 66 days and ready for cleaning and inspection.
o All laborers and subcontractors have the right skill set to accomplish tasks.
o Tasks will be completed on schedule and each milestone reached.
o Resources are readily available, and costs meet targeted budget.

• Risks/Tradeoff:
In the event reallocation of resources presents any challenges, I will utilize the additional
$3 million authorized for expediting the expansion to implement the contingency plan.

• Contingency Plan: Crashing


Fast tracking through crashing will take affect only if the primary approach is not
progressing at it should or the scope is compromised. Hiring additional contractors will
be the alternative solution to any lags and hopefully push for more leads.

Personal Reflection on Project Scheduling

What have you learned about yourself through this class in general and in your efforts to
redevelop the museum expansion project schedule in particular?
This class has taught me the importance of time management in project scheduling.
Having a clear understanding of scope, schedule, and resources are necessary in project planning.
This knowledge greatly assists in making decision for trade-off and risk management. When it
came to the museum expansion project, I had to thoroughly review the Work Breakdown
Schedule and figure out ways to compress the timeline and tasks in order to meet the new
suspense while maximizing the resources available. In order to so, the focus needed to be on
time management and where resources can be best utilized for the most productivity.

What areas of project schedule management do you feel you excel (or at the very least have a
strong understanding)?
I would have to say monitoring and control schedule process. This is because I feel that
once a project schedule has been created, the difficult part has been done. Though it is still and
very much so a critical process of project management to monitor the progress and control any
changes in the project schedule. The control process is a great way to reflect on the progress of
the project and identify ways to adjust and improve throughout as well as for future projects.

Where has your biggest growth in knowledge and/or skill occurred over the last seven weeks?
My biggest growth in knowledge and skill would be in project scope and WBS. I am
learning that a PM’s understanding of the scope will define the outcome of the project. Without
it, it is hard to meet management objectives and thus having a WBS that can clearly outline
targeted goals. Attention to detail is important when defining project goals and scope.

What areas do you feel you still have much more to learn?
Because every project is different, I feel there is always room to learn new tools and
techniques in PM. These will help me stay abreast in project management processes as well as
adjust to different situations presented in the project management field.

What course of action might you take moving forward to ensure that you gain additional
experience in project scheduling?
I will continue to practice my PM skills by taking every opportunity present to get
involved in projects or program management. I will also continue reading up on different PM
strategies in conjunction with formal education and take the time out to ask questions to
seasoned PMs that I may meet along the way.
