ELECTRONIC DATABASES

Electronic databases refers to a collection of well-organized data, resources or

information and stored in a computer readable form.

There are two basic types of electronic databases:

1. Indexes/ bibliographic databases.

2. Full-text databases.

Indexes

Indexes/ bibliography databases also referred to as indexing or abstracting refers to data

structure technique which allows you to quickly retrieve records from a database file. This

provides the following;

 Indexing information for topical searching across resources in multiple formats

(including multidisciplinary searches)

 Abstracts (short descriptions) of the contents (eg. articles), to help you decide if it is

relevant to your research.

Two main types of indexing methods are:

 Primary Indexing

 Secondary Indexing

Primary Index is an ordered file which is fixed length size with two fields. The first field is

the same a primary key and second, filed is pointed to that specific data block. In the primary

Index, there is always one to one relationship between the entries in the index table.

The secondary Index can be generated by a field which has a unique value for each record, and it

should be a candidate key. It is also known as a non-clustering index.

This two-level database indexing technique is used to reduce the mapping size of the first level.

For the first level, a large range of numbers is selected because of this; the mapping size always

remains small.

Full- Text Databases

A full-text database is a compilation of documents or other information in the form of

a database in which the complete text of each referenced document is available for online

viewing, printing, or downloading.

In addition to text documents, images are often included, such as graphs, maps, photos, and

diagrams. A full-text database is searchable by keyword, phrase, or both.

Full-text databases are used by college and university libraries as a convenience to their students

and staff.

KCA University is among the best business universities in Kenya. It has produced some of the

best accounts and finance professionals who are highly regarded in the corporate world.

For university like KCA to produce well informed graduates they require in depth information

which must be well researched and structured. The university has made sure rich and well

organized information sources are readily available to its students. To achieve this, KCA

University has subscribed to a rich collection of electronic databases which can be accessed

through Martin Odour’s Library.

Illustrated below are the steps/procedures involved in downloading materials from this electronic

databases:

The first step is to activate KCA University electronic resource user’s account. This can

be done by visiting library’s Circulation desk. It can also be done by writing an email request to

library@kca.ac.ke. Remember to include your name, student registration number and an active

personal email address.

Once you have done the above procedure, a link will be sent to the registered email

address. Click on the link, here you will be prompted to put in a new password and accept terms

and conditions.

Step three is to go to KCA University main website (www.kca.ac.ke) and click on library.

Once you have accessed the website click on Electronic resources (Off campus) and then

log in using your email address as your username and password created when activating the

account in step two above.

After successful log in, you will find a menu containing a list of e-resource database and

proceed with your search. A key database for e-books is ProQuest E-book central.

Once you find a relevant journal article or information, click “PDF” to download this

article.

EBSCOhost is one of the leading databases for journal articles. KCA has subscribed to this

important database.

The following are major databases listed and housed under EBSCOhost;

 Business Source Premier

 GreenFILE

 ERIC

 Newspaper Source

Business Source Premier is the industry’s most used business research database, providing

full text for more than 2,300 journals, including full text for more than 1,100 peer-reviewed

titles. This database provides full text back to 1886, and searchable cited references back to

1998. Business Source Premier is superior to the competition in full text coverage in all

disciplines of business, including marketing, management, MIS, POM, accounting, finance and

economics. This database is updated daily on EBSCOhost.

GreenFILE offers well-researched information covering all aspects of human impact to the

environment. Its collection of scholarly, government and general-interest titles includes content

on global warming, green building, pollution, sustainable agriculture, renewable energy,

recycling, and more. The database provides indexing and abstracts for more than 384,000

records, as well as Open Access full text for more than 4,700 records.
