Alumni Student Mentorship Programme (ASMP)

Mission
The purpose of the LPU Alumni Student Mentoring Programme is to bring together current students and experienced
alumni with a focus on community building, personality development, and career advancement.

LPU mentors “live the mission” by dedicating their time, talents and energy to help fellow Vertos achieve their
personal, academic and career goals.

The programme offers students a link between the academics and the actual experience of workplace, as well as
access to valuable advice and professional networks.

Mentors are established professionals who help students and recent graduates develop skills for the workplace and
expand their professional networks. The program is offered by Divison of Alumni Relations in association with LPU
Alumni Association.

Role of a Mentor

Coach: Helps the mentee develop, and work to achieve, realistic and meaningful goals.
Resource: To provide learning opportunities. Teaches and advises the mentee on how to make professional
contacts, and introduces the mentee to new ideas and own experiences.
Protector: To provide a safe environment in which the mentee can make mistakes without losing credibility
Counselor: To enhance the mentee's self-esteem through supportive, non-judgmental discussions. Encourages
open and honest dialogue, and listens to and responds to the needs of the mentee.
Role model: To walk the talk and demonstrate the behaviors necessary for success
Motivator: Expresses belief and confidence in the mentee’s abilities, and encourages the mentee to try new
things

Mentor Responsibilities
To help foster a mentorship community based on trust and mutual respect
Ask questions and share experiences as learning tools
Facilitate career planning and development skills (targeting, networking, resume building)
Proactively maintain contact and encourage open communication
Be responsive to your mentee when they reach out for help or advice.
Assess existing skills and help identify skill gaps
Be open and generous in sharing your ideas, experiences, resources and network.
Facilitate goal-setting and being goal-oriented and help develop learning plans
Focus on actions that will achieve the mentee’s goals
Devote time to the mentee (we recommend at least twice a month initially)
Help the student externalize classroom education
Build confidence and Encourage introspection
Encourage your mentee to take risks and seize opportunities.
Be genuinely interested in your mentee as an individual. Provide Feedback
Acknowledge achievements and offer positive reinforcement
Services for Alumni Mentors

The teams of Division of Alumni Relations and the Lovely Professional University Alumni Association are here
to support you throughout your time as a volunteer. There are a number of ways in which the office can
support you in your outreach and activities.

LPU Alumni Website

The LPU Alumni website alumni.lpu.in is the official online hub of all activities with its alumni community. An
updated profile of alumni mentors are highlighted on the portal which gives thema projection in the
professional/corporate sector.

LPU Alumni Relations has a presence on Facebook, Twitter and LinkedIn and we are happy to promote you via
these channels.

News and Regular updates


Volunteers will receive regular updates from the School, supporting you in your work. This will include
informing you of relevant events, support services and the latest developments on campus. We w ill also keep
you abreast of news and stories from around the alumni community, best practice from your fellow volunteers
and updates from the Alumni Association Executive Committee.

Special invitations to LPU Alumni events


To thank you for your hard work in raising the profile of the School, and to create opportunities for students,
the Alumni Relations team will sometimes send special invitations to School events. These can often be great
opportunities for you to connect with other alumni who you might not otherwise meet, and help to increase
the your own network and create your net worth.

Top mentors will be rewarded during alumni flagship event “Alumni Homecoming” conduct every year in the
campus.

Mentee Responsibilities

With your mentor, decide on preferred method and frequency of contact; listen and respect the opportunities,
limitations and format of the relationship. (Skype, phone, e-mail, personal meeting etc.)
Be proactive in reaching out to and scheduling 1:1 meetings with your mentor
Create an agenda for each mentor meeting (e.g., prepare questions; suggest discussion topics)
Establish and continuously review your goals, assess progress and determine next steps with your mentor
Respect your mentor’s time as you do your own; respond to messages or calls within two business days and
notify your mentor no fewer than 24 hours in advance if you expect to miss a scheduled meeting
Seriously consider all advice or suggestions you receive; demonstrate when you have followed advice at every
opportunity and express appreciation for every form of assistance you receive
Engage in reverse mentoring; share information and ideas that may help your mentor with his/her own
personal or professional development
Ask for honest feedback; don’t respond defensively
Assume the mentoring relationship will be strictly professional; be friendly, but do discuss, agree on and
respect personal boundaries
If you are a current student, keep your mentor informed of academic progress, achievements or difficulties
Be active on LinkedIn and other professional networking sites

Student/Mentee Success Strategies : determine your interests, goals, skills and share
these with your mentor.

Ask for guidance and come to the discussion prepared for open conversation.
Express appreciation for your mentor and accept both praise and constructive criticism.
Be honest – what are your goals? Limitations?
Respect your mentor’s time.
Recognize that your mentor DOES want to hear from you! Be bold but patient in your
contact. Find a balance between not giving up and allowing time for a response.
Program Structure

1) The Alumni Mentor Program targets:


LPU students, alumni, who are engaged or wish to reengage with the University.
Students can apply for the mentorship directly or are referred by faculty/school.

2) Each student and alumni mentor will be identified/contacted semester wise or yearly to
ensure participation for the following school/academic year.

3) Depending on the number of students and alumni interested in the program everyone may not
be matched at any given time although the goal is to match all mentors.

4) Students are required to attend a training/orientation session to be eligible for participation. If


a student has previously completed training and their previous match wishes to continue with
them the orientation requirements are waived.

5) After matches are made, participants will be notified by email/ums announcement


/confirmation at alumni portal by mentor (in case mentor has been allocated by
faculty/school)

6) Communication between mentors and mentees may occur in whichever form is agreed upon
by the pair (phone, email, video chat, face to face, etc.)

 Participants are encouraged to connect at least once a month.(if mentors are staying inside or near to
campus). Students can meet mentors outside the campus based on the requirement of the project
with due approval from respective HOS/Alumni Coordinator or during their summer and winter
vacations.

8) Participants assume responsibility for their own mentoring relationships however LPU Alumni
Coordinators available as needed.

9) Participants will be surveyed on a quarterly/semester/yearly basis. Surveys are designed to evaluate


the individual relationships and identify areas of growth for the program.

10) At the conclusion of the program year/semester, participants have the option of continuing their
relationship, applying to be matched with a new student/mentor or exiting the program.
Programme Guidelines
1) Matched participants are notified via email/ums announcement /confirmation at alumni portal by
mentor (depend on the model) and together build mutual expectations for their relationship based
on respect, professionalism, trust, and confidentiality.

2) Communication is determined by the pair and based on their preference (e.g., phone, email, video
chat, instant messaging, face-to-face meetings).

3) It is suggested that pairs make contact on a monthly basis or as per the convenience of the mentor

4) Participants assume responsibility for their individual relationships.

5) Participants will be surveyed after semester or yearly basis. Participants may also be asked to
complete brief checkpoint surveys throughout the year/semester to assess their relationship progress
and provide program improvement feedback.

6) Participants will be contacted in start of the academic year/semester to gauge their interest in
continuing in the program the following year. If a participant does not respond by the stated deadline
they will be removed from the program and will need to reapply for the next year should they wish to
continue. Consistent lack of contact may result in removal from the program as well as future
participation.
Application and Matching Process
Mentors are invited to participate and accepted into the program by sending request for
volunteering into mentorship exercise through Alumni Relations and Schools.

Proposed Model:
1) Nominations asked for becoming mentors and mentees from the current students (based on
the school specific requirement) and alumni after every six months or year
2) Fixing of batches who requires mentorship (for e.g. MBA 2nd or 3rd sem., B.Tech. ,CSE 6th sem. etc
based on the current requirement by school)
3) Shortlisting of students and mentors by school
4) Pairing of students with the mentors by respective schools (through HOS/HOD/Alumni Co-
ordinator/Mentor of the class) based on a variety of factors including course of study and
career aspirations
5) Information to both the mentee and mentor about pairing and expected outcomes
6) Registrations of the shortlisted batches/students on alumni portal so that they can select
mentors.
7) Mentor can be allocated maximum of 5-7 students to mentor for a specific period of time
8) Monitoring and review at the end of the programme either of six months or mutually
decided by the mentor and the mentee

Note : It is important to note that students and alumni mentors may not have the exact major or
career but we believe our alumni mentors have much more to offer than just career advice! All
professional, personal, academic and life experiences are valuable to share. We ask that both parties
be open to this relationship even if it does not seem ideal on paper.

At the end of each semester or academic year students and mentors are provided an
opportunity to continue in the program or withdraw. At that time participants are also
allowed the opportunity to continue with their current match or be re-matched. If either
party wishes to be re-matched both individuals will be re-matched.
What have the mentees been told?

1) That their participation is voluntary but strongly encouraged.

2) That the benefits of mentoring often include:


 More confidence in themselves and their career goals;
 Better inter-personal skills; and
 An expanded professional network and increased career opportunities.

3) That to maximize the benefits from the relationship, they should


 Prepare for meetings;
 Focus on specific goals or issues;
 Be receptive to constructive criticism; and
 Be proactive

What makes a mentoring relationship successful


There is no single model for a successful mentoring relationship, as it depends on the individuals involved
in the relationship. However, there are some key elements that contribute to a successful relationship:

Honesty between the mentor and mentee;


A firm commitment to the relationship both in terms of time and effort;
It is critical to establish this upfront.
Follow through on the part of both the mentor and the mentee;
Adherence to any confidentiality agreements made by the mentor and the mentee.
Responsibilities of Alumni/Program Coordinator
Ensure orientation session to all the mentees
Ensure each match is communicated.
Be available to mentors and students as needs arise.
Ensure that every effort is made to create a productive and positive experience for both
parties
Maintain correspondence with students and mentors
Provide opportunities for program feedback
Timeline

Matches are made after student orientation(s) and nominations received for becoming mentors to
encourage and help ensure student participation.

Applications are open on a continuous basis however those received after the match date are put on
hold until the following fall matching sequence.

Periodic e-newsletters are sent to all participants on a routine basis.

September/October

 Students training/orientation sessions will start in September through central and school
level.
Note: students who do not attend training sessions are removed from participation (unless you have
been approved by waiver).

October

 Match letters are sent to participants via email/ums/alumni portal before 15th October.
 Student make initial contact with alumni mentors before end of October

February/May

 Participants are sent a semester/yearly program evaluation survey and are encouraged to
complete the feedback.

May/September/October

 Participants contacted regarding continuation of their current relationship, applying to be


matched with a new student/mentor, or exiting the program

Annual Alumni Mentor Reception is held during Homecoming
