role in ensuring the longevity of the planet. There are a lot of amenities that can help us to reduce
our carbon footprint and save our environment, and smart homes are certainly one of those. This
project aims to implement a low-cost, reliable, and scalable Home automation system &

8.3 RFP Process
RFP Planning - The RFP process is planned, including the selection of the RFP Team, the identification of the selected
bidders, the formulation of the RFP timeframe, the development of specifications, and the development of response
assessment criteria.
18
RFP Drafting - A RFP draft is prepared in accordance with a designated format.
RFP Review - A draft of the RFP is examined to ensure that all documentation standards are fulfilled, and feedback
is given.
RFP Revision - The RFP draft is updated to reflect the changes that were found during the "review" process.
RFP Approval - All decision-makers sign off on the updated RFP, and the final document is compiled.
RFP Distribution and Support - The approved RFP is distributed to the selected bidders and submission support is
provided as needed.
RFP Response Evaluation - Received RFP responses are reviewed and evaluated according to the established criteria.
RFP Selection - The RFP winning proposal and alternative are selected, and losing bidders are notified to close the
RFP process.
8.4 RFP Evaluation
8.4.1 Criteria for RFP evaluation
Vendors will be selected and rated on 100 points weightage criteria. The 2 highest-rated bidders will be called for
personal interaction. Final decision based on the evaluation table as well as the interaction Here, as per the need of
the project, we have assigned 70% weightage to technical criteria and 30% weightage to price. Based on the Total
weightage, we will decide on the top 2 highest-rated vendors.
8.5 Evaluation of RFPs from multiple vendors
After careful examination of the vendor-providing companies based on the above parameters, we will use the total
weightage to assign rank scores to them. A score of 1 will be the lowest followed by 2, 3, and so on. So, the vendor
who gets the lowest weightage (technical + price) will get a score of one followed by the vendor with 2nd lowest
weightage scoring a point of 2, and so on. Therefore, the vendor with the highest score will be considered best suited
for the project.
19
8.6 Contract design process
Here, we’ve decided to go with a Fixed Price contract. The following aspects were kept in mind
while designing the contract-
• The scope of work is clearly defined and the requirements are well understood.
• Contract type imposes minimum administrative burden.
• It can be used for acquiring supplies and services as they have reasonably definite
specifications, and reasonable prices can be established at the outset.
