Leave Policy - 2022

This Leave Policy (“Policy”) applies to Galactus Funware Technology Private Limited and its Group
Companies (collectively, “MPL” or “Company”).

Group Companies shall mean a subsidiary, associate company (including a joint venture company) of the
Company’s holding company - M-League Pte. Ltd., based in India, and a subsidiary of M-League Pte.
Ltd.’s subsidiary, based in India.

Employees shall mean all permanent and non-permanent employees, former employees and interns
employed / engaged by the Company, including members of senior management, executives and all
members of the various department(s).

Objective
To define the policy and procedures for Leaguers to avail their leave entitlements in order to maintain
their personal and professional commitments, based on the mandate prescribed by the Government of
India.

Responsibility

MPL’s People Strategy & Development (PSD) vertical shall be responsible for maintaining this Policy,
and oversee its implementation. The various verticals and their representatives shall be responsible for
adherence and implementation of the Policy as set out under this Policy document. PSD is responsible for
monitoring the updates and other events to determine when a change to the Policy is needed. Material
changes to the Policy will be made available to all MPL Employees.

Entitlement

A total of 45 leaves are available to each Leaguer for a calendar year. A calendar year will mean a
one-year period between January 1 and December 31.

The leaves are bifurcated as follows:

​ - 11 Public Holidays
​ - 4 Optional / Floating holidays ( specific to state-wise mandates/ religious occasions)
​ - 30 Flexi Leaves

Please note, the leave provisions are uniform for Leaguers working from home/remotely or working from
office. While working remotely, please ensure that attendance is being marked regularly.

Interns would be entitled to 2 leaves per month in a calendar year. These leaves would neither be carried
forward nor eligible for encashment during exit.

​Public Holidays

- A total of 11 public gazetted holidays are shortlisted for each calendar year common across all
locations in India. Public holidays falling over the weekend for a current year would not be
included in the official list in the interest of the employees welfare. The list of Holidays falling
over the weekend is also attached in the Annexure I.

Optional Holidays

- Optional Holidays serve as an option for employees to choose their own public holidays.

- There are 4 optional holidays that can be applied for in a calendar year for specific holidays
celebrated locally. Please refer to the Annexure I for the State-wise Public Holiday List.

- Employees can choose upto 4 Optional Public Holidays based on the local celebrations and
personal priorities. An Optional Holiday must be chosen from the inclusive list provided with the
policy.

- Optional Holidays in a calendar year are not eligible for encashment on exit or carry- forward to
next calendar year. The 4 Optional Public Holidays must be utilised in the current calendar year.

Important things to note:

- Employees will need to raise the request for availing a specific Optional Holiday on Darwin Box
which then needs to be approved by the manager.

- If a manager categorically raises a special request for an employee to work on a gazetted public
holiday, an additional compensatory leave will be added to the leave bank in lieu of working on a
public holiday. The same must be recorded and approved over an email, marking the respective
PX Ally.

- Employees will not be eligible for compensatory leave in case they are working on a public
holiday without any requests and approval from their manager.

Below listed are the steps for Leaguers to apply for additional compensatory leave-

1. Initiate an email to the manager with a copy to PX Ally to seek approval for the
compensatory off clearly providing the date of public holiday where he/she/they will be
working.

2. Employee needs to edit his/her/their details in the attendance module i.e.,


change the status from public holiday to "public holiday worked" within the
same month.

3. Darwin Box Helpdesk Team will process these requests on a regular basis after seeking
approval for the same from respective managers and PX Ally.

4. The employee's leave bank will then be credited with the additional compensatory leave
earned.

Note: The employee needs to avail the compensatory leave within 30 days from the date of credit of the
compensatory off leave in the same calendar year.

Flexi Leaves

- Each employee is eligible for 30 flexi leaves in a calendar year that include 18 Paid Leaves
and 12 Sick Leaves. Flexi leaves would encompass leaves that can be taken for personal reasons
such as medical, personal travel, etc. that require time away from work.

- An employee can take a Flexi Leave on any given day in a calendar year.

- The Flexi Leaves are computed at 2.5 days(1.5 PL & 1 SL) per month worked by an employee.
- Sick Leaves are leaves employees can avail when unwell. These leaves are not eligible for
encashment and can not be carried forward to the next calendar year.
- All the employees will be credited with their entire entitlement of 30 leaves for the period of 1st
January to 31st December at the beginning of the calendar year.

- In the case of employees joining the organization during the year, flexi leave will be credited on a
pro-rata basis.

- Flexi Leaves will not include non-working days in a week, i.e., weekly offs falling between two
leaves would not be considered under Flexi Leave. Example: If an employee with a 5 day work
week takes a leave on a Friday as well as Monday. The number of leaves deducted from the
employee’s leave bank will be 2 days and not 4 days (inclusive of the weekend).

- Employees can apply for half day flexi-leaves as well.

Leaves During Notice Period

- Employees on their notice period will NOT be able to avail any flexi leaves in that duration.

- Exceptions could be made, but only on a case by case basis. A paid leave shall be allowed for only such
cases during the notice period that are approved by the immediate Manager.

Encashment and Carry forward of Leaves

- Individuals are allowed to accumulate a maximum of 45 unused Paid Leaves. Employees are
eligible for encashment only at the time of exit. Upto 45 unused PLs accrued until the last
working day can be encashed at the time of exit.The encashment would be calculated based on
the PL balance and on prorata basis based on their LWD. Paid Leaves beyond 45 days would
lapse.
- Sick Leaves are not eligible for carry forward or encashment. Any unused Sick Leave will lapse.
- Leave encashment is calculated at the rate of basic pay per day of an individual as on the last day
of previous month as follows:

○ Basic pay per day => (Basic Pay of the last month) / 30
○ Leave Encashment => Basic pay per day (1) * Number of Leaves Pending (maximum 18 days)

- Number of days in a month are averaged out to 30 for all leave encashment calculations to avoid
difference in calculation for Months having 28, 30 or 31 days.
- During the Probation period, an employee will not be eligible for any leave encashment.

Borrowing leaves from the subsequent year

- Borrowing of Paid leaves from the subsequent year will be applicable only for special cases like
wedding (self), prolonged illness (either self or immediate family member) or death in the family
(immediate family member).
- Borrowing Paid leaves can be availed when the individual has already exhausted their leaves due
to the above-mentioned reasons and require additional leaves for the current year.
- A maximum of 10 paid leaves can be borrowed from the subsequent year’s leave balance
- A request for borrowing leaves from the subsequent year must be approved by
the immediate manager and the PSD team.
- In the event that an individual resigns during the year, the borrowed leaves availed will be
recovered from the individual’s full and final settlement.

Maternity Leave

- All women employees are entitled to receive maternity benefit of a total of 26 calendar weeks of
paid leave, whether taken before or after childbirth or both taken together.

- In case of miscarriage or medical termination of pregnancy, an employee on submission of the


relevant medical records from a registered medical practitioner, will be entitled to leave with pay,

for a period of 16 calendar weeks immediately following the day of her miscarriage or medical
termination of pregnancy.

- The employee must submit an application/request at least 6 calendar weeks in advance as has
been prescribed under the Maternity Benefit Act, 1961 with the expected date of delivery.

- The employee is entitled to an extension of upto 30 days in case of illness due to


delivery/premature delivery

Adoption Leave

- An employee who legally adopts a child below the age of three months or a commissioning
mother shall be entitled to maternity benefit for a period of 12 weeks from the date the child is
handed over to the adopting individual or the commissioning mother, as the case may be.

Additionally, an employee may also work out an arrangement with their Manager to opt for
working from home for an additional period of 30 days in case the Adoption Leave/Maternity
Leave falls short.

Paternity Leave

- Paternity leave can be availed for a period of 28 calendar days, any time within 1 year of the
spouse’s date of delivery. This is a paid leave and will not be debited against the leave balance.
The employee can avail Paternity leave in one go or can split it as per convenience.
- The employee must intimate their reporting manager at least 1 month before the expected date of
birth with the tentative dates of the leave period.
- They can apply for the leave through the attendance module on Darwin Box.
- This leave is applicable in case of a miscarriage or medical termination of pregnancy as well.
- Paternity Leave will need to be reviewed and approved by the reporting manager subject to
business requirements for employees serving their notice.

Wellness Leave

- Leaguers who experience any extreme work fatigue, menstruation or any emotional weariness can
avail 1 day off each month to rest and reset.

- Wellness leaves are not the same as sick leaves. Our wellness leave policy encourages Leaguers
to focus on their physical and psychological health to prevent sickness or burnout. We understand
our Leaguers are working hard and need to unplug in order to maintain the balance between work
and personal life. The policy encourages Leaguers to take time off for the much needed pause.

- Wellness leaves aim to focus on the overall well-being of our Leaguers. Its purpose is to reduce
burnout, remove any stigma associated with taking leaves or breaks for mental well-being and
addressing stress induced due to hybrid work cultures.

- Wellness Leave can not be borrowed, encashed on resignation or carried forward to the next year.
These are just 1 day relief leave per month, and will not be accumulated through the calendar
year.

Bereavement Leave

- Bereavement leave of up to 5 consecutive days can be availed in the event of the demise of an
immediate family member, including pets. In general, a person's immediate family is their
smallest family unit, including parents, siblings, spouse, grandparents, and children.
- These can not be borrowed, encashed on resignation or carried forward to the next year.

Covid Leave

- All Leaguers are entitled to take 7 Days of leave annually if affected with Covid. Leaguers
affected by Covid can apply for this leave even after the actual dates of the leave have already
passed. Covid Leaves are not eligible for encashment or carry forward. Allocated leave balance is
credited to Leaguers leave account all at once at the beginning of a calendar year.

Leave Application and Approval Process

- An employee needs to request for a leave through the Leave module on Darwin Box.

- It is the responsibility of the employee to inform their manager that they will be on leave within
the stipulated time frame specified below.

​ - Leave approvals are strictly under the Manager’s purview. The People Experience Team would
step in only for exceptional cases.

​ - In all circumstances, the employee and their managers together must ensure work continuity
while the employee is availing the flexi leave benefit.

​ - If an employee exhausts their leave balance for the year, any further leave will be treated as an
absence and would be a leave without pay.

In case of any medical emergency, Leaguers must inform their Manager or a fellow leaguer at the
earliest possible opportunity.

- If an employee wants to extend their leave by any number of days, they must keep their manager
informed in writing about the extension and also ensure support for work continuity.

- A manager may determine if leave extension can be considered, and the decision may depend on
potential impact on business continuity.

- Leaves may not be extended beyond 7 days of the originally approved leaves. Any exception to these
timelines, will be dealt with by the Manager, at their discretion.

- Long leaves (over 20 days) should be planned for and applied well in advance. Ideally, any reasonable
amount of leave may be approved in such a case. However, the manager must discuss and determine the
reasonableness with the employee.

Steps to Apply for Optional Leave

1. Login to https://mpl.darwinbox.in
2. Click on the Leaves Tab
3. Click on Optional Leaves
4. Apply for Optional Leaves (upto 4 for a calendar year)
5. The individual will need to edit his/her/their details in the attendance module i.e., change
the status from Leave to "Optional Holiday" on or before 22nd of the same month
