Objectives
- To re-orient the duties and responsibilities of the secretariat
- To thoroughly discuss upcoming projects and proposals

1. Duties and responsibilities of the secretariat
- The secretariat serves as the official workgroup of the SSG. They, along with the
head, shall make and care for the necessary files under the organization
- Minutes
- These are the accurate, exact, and correct notes of the meeting.
The Secretary and the Secretariat shall document the meeting,
detail per detail, word per word. The minutes should be written
and documented using the parliamentary procedure as a basis.
- Letters
- These are the documents or simply letters necessary when
addressing a need of the organization. It comes in all types such
as recommendation letters, request letters, excuse letters, etc.
- Recommendation letters are used to recommend a project
or an activity to be implemented in the school
- Request letters are used to request from other
organizations.
- Excuse letters are used for excuses.
- Accomplishment Reports
- These are the documentation of the documentations. In simple
words, this is the file needed after finishing a project, it includes
the summary and details of the event.
- Resolutions
- These are the documents and files that address the
establishment, adopting, amendment, and creation of any arising
need for the organization.
2. Project and Activity Proposals
- These are the documents necessary when proposing a project to the principal
and club adviser. The Secretariat and/or President can make the project
proposals for every event.

a. When writing a project proposal;


- Proposals should include the project title, nature of the project, objectives
of the project, its attendees, the three highest Supreme Student
Government members, and its officers.
- The date, project description, and proponents are followed.
- After the proposal, there should always be a letter.
- The schedule of the proposed activity or project.
- Secretariats should place the signatories of who prepared the project,
noted by the adviser, and approved by the principal.

3. Proposing a Resolution
a. Resolutions are the documents and files that address the establishment,
adopting, amendment, and creation of any arising need for the organization.

1. Attested
2. Approved
4. Other Matters
5. Announcement
