Project Overview

Brontech Solutions Inc. is a high-quality service that deals with collection and analysis

of data. Brontech has been in business for over five years and involves collecting and analyzing

information, monitoring website visitors, or if customers use the direct link to the web page or

other sources. Brontech Solutions Inc. is expected to grow by merging with this multinational

organization, and the effect of the growth is primarily on the fact that Brontech uses redesign

information system that will suit both groups. Despite that Brontech has been in business for

over five years, to complete a smooth merger transition will involve potential outsourcing and

offshoring for better resources.

Background Including Current Process

The background of Brontech Solutions Inc. is to meet a marketplace need to develop and

offer innovative products, services, and processes to other companies. Brontech Solutions Inc.

deploys technologies such as telecommunication, internet, computers, robotics, etc. Brontech

Solution Inc. involves in designing and implementing of innovative processes and developments

for target markets.

Scope

Scope of Project

Scope Definition and Scope Control Analysis

According to Kehal and Singh (2006), the project scope of the project involves a

numerous amount of steps that will guide all anticipated member of the project team to complete

the project accurately. The range includes the goal of accomplishment of the project, the

deliverables, the cost, and the deadline to carry out the project finally. The primary objective of

Brontech Solution Inc. is to redesign a better information system that will be up to standard
BUSINESS REQUIREMENTS 5

according to the client's needs and expectation. Brontech is required to design a system that will

be easy to use. Brontech processes involve gathering all necessary requirements, data analysis,

designing, testing and implementation according to the guidelines and stated schedule. The

project is not to exceed a period of six months.

Scope Control

Controlling the Scope

Controlling the scope of this project involves a project management activity to monitor

the progress or outcome of the project by finding out if the deliverables meet the documented

requirement and managing the changes to the project scope baseline. The scope baseline is the

agreed documented deliverables expected from the project. The scope baseline includes the

scope statement, the work breakdown structure (WBS), and the details in the WBS. To control

the extent of a project is by comparing the current state of the project against the scope baseline

as to find any differences. Depending on whether any difference is found, corrective or

preventive measures goes into action. Any change of the magnitude will require the project

manager and or any stakeholder to decide what preventive or corrective action is necessary

(Nielsen, 2009).

Risks, Assumptions, and Constraints

Possible Risks, Constraints, and Assumptions

According to Praveen (2014), risk is the related product of assumptions and constraints

in a project. The whole process of identifying risk is the review and examination of the

hypothesis that the risk will occur during the life of the project, and the limitations that could

cause an impact to the project either in execution or in the expected result.

BUSINESS REQUIREMENTS 6

Risks: There is a possibility that risk such as malware, cyber criminals, or other types of attack

will occur during the project of various tactics to penetrate organizations where they can steal

sensitive data. Another risk that is more likely possible to occur is an SQL injection. SQL

injection is the execution of any system level command through a server using extended stored

procedure calls and the error messages to reveal information.

Assumptions: Assumptions are what the company believes to be true in future. They are based

on knowledge and experience of the organization. The assumptions made in this business,

therefore, are of great significance as they play a role in risk management plan. Constraints are

limitations imposed by the agency or even the clients on the project.

Constraints: In a project, a limitation is any restriction that defines the constraint to the project.

Within a project, three types of constraints that are most like to occur scope, cost, and schedule.

This kind of restrictions is also sometimes known as the triple constraints or the project

management triangle. The project scope involves the goals, tasks, and deliverables that define the

borderline of the project. The cost (resources) includes all the financial limitation that the

stakeholders provide to Brontech Solution Inc. to complete the project. Finally, the schedule

(time) determines the timeline to complete each task, deliverables, and the goal of the project

scope. Changes to one constraint are more like to affect one or more of the other limitations. If

the multinational company decides to increase the extent of the project, therefore Brontech will

need more money to be able to complete the project.

BUSINESS REQUIREMENTS 7

Relation to Other Systems/Projects

Needed Integration Other Systems and Infrastructure

Since Brontech Solution Inc. is merging, the company needs integration with other

systems and infrastructure around the world to be able to support the information system of both

companies. Brontech Solution Inc. will use the following means of integration:

Databases: The databases of Brontech Solution Inc. primarily functions as a collection of

relational data, network, and hierarchical data. Databases contain data in which Brontech uses to

manage and or manipulate the stored data. The database compromises of queries, tables, and

reports.

Data Warehousing: A data warehouse is a receptacle of Brontech in which to store bulk data, as

well as filtering and organizing. Data storage helps to facilitate reporting and analysis of

information. A data warehouse has tools for extraction, transformation, and loading of data into

the repository, and contributes to managing and retrieve Metadata. Data warehousing is a

collection or combination of many databases across an organization.

Cloud Technology: Brontech will use the technology of cloud computing can and often includes

products of virtualization to be able to present computer services. With cloud technology,

Brontech can provide elasticity, automated management, scalability, and self-service capability.

Brontech is more like to use a private cloud because it is its virtualized environment which will

give the users more control and the flexibility of managing the systems.

Virtualization: Brontech will use virtualization to separate physical infrastructures to create

dedicated sources because virtualization is the underlying technology to power cloud technology.

With virtualization, it is possible for Brontech to run multiple operating systems and multiple
BUSINESS REQUIREMENTS 8

applications at the same time on the same server. Brontech will use VMware to enable cost

reduction, flexibility, to increase efficiency and utilization of previous computer hardware.

Network Infrastructure: With the network infrastructure, Brontech Solution Inc. will use a

router (wired and wireless), wireless LAN, wired LAN, cables, operating systems, firewalls, and

network security applications to ensure the entire system has protection to prevent loss of data.

Security: Brontech Solution Inc. will design a secure IP/MPLS infrastructure to help defend

against malicious attacks and threats because of continuous change in behavior and

characteristics. Brontech Solution Inc. will implement multilayered defense system, be able to

control the behavior of the network, and finally the visibility of the network behavior.

Human Capital

Assessing Human Capital

For proper completion of the project, Brontech is responsible for hiring qualified personnel to

complete their various tasks in a timely manner. These trained and professional personnel will

include:

Project Manager: The project manager will be responsible for the entire project, and will work

in collaboration with Brontech Solution Inc. about all matters arising to the project. The project

manager will form a team to include project leaders, project sponsors, and distribute their various

tasks accordingly.

IT Personnel: Brontech will hire information technology personnel because they are responsible

for making sure that all task related to databases, infrastructures, cloud computing, visualization.

Consideration of IT personnel such as system analyst, helpdesk support, network engineer,

network designer, software engineer, IT consultants, etc.

BUSINESS REQUIREMENTS 9

Outsourcing and Offshoring

Outsourcing and Offshoring Needs

Brontech’s is more likely to send some of it task (jobs) to another country such as a

private server, location where data is stored should the present server malfunctions for

unforeseen reasons. In relation to send tasks abroad, Brontech’s main concern will focus on the

safety of the nation that will host this job with less likely harm to the facility. Because Brontech

is not an experienced company within the information technology field of study, outsourcing

some of the major tasks that requires expertise will be in consideration and for a better return of

investment (ROI).

Definition of Terms

Definition of Relevant Terms

Outsourcing: Outsourcing is usually a process where a company decides to contract with

another company or third party to conduct a particular process.

Offshoring: In reverse of outsourcing, offshoring occurs when organizations send in-house jobs

to other countries of the world (overseas).

Operational Systems: Operational systems optimize the preservation of data integrity and speed

of recording of business transactions with database normalization and an entity-relationship

model.

Databases: A database primarily functions as a collection of relational data, network, and

hierarchical data.

Data Warehousing: A data warehouse is a receptacle to store bulk data, as well as filtering and

organizing.
BUSINESS REQUIREMENTS 10

Network Infrastructure: The network infrastructure is the software and hardware resources of a

network that permits the network connectivity to conduct operations, communication, and

management of the entire system.

Cloud Technology: Cloud computing is simply the means of storing information in the cloud

with easy accessibility.

Virtualization: With virtualization, it is possible for an organization to run multiple operating

systems and multiple applications at the same time on the same server.

Network Security: The purpose of security in many organizations is to prevent loss of

information to individuals of malicious acts (Harwood, 2016).

Cost Projections

Cost Projections

For proper implantation of all the necessary criteria to complete a full project as such,

the money of the project need to be intact and in total control by the project stakeholders to

prevent unforeseen circumstances of a shortage of budget during the project. In such a project,

cost estimation will depend on the equipment such as hardware, software, administrative,

operations, and downtime. Hardware and software cost is an association of all the necessary

materials and or licensing. The service charge involves labor cost, technical support, etc. The

administrative cost is a direct expense cost and includes paying all employees and training. The

downtime cost, which is an indirect cost, only comes into play if something should go wrong

during the project to prevent delay of meeting the project deadline. The cost of this project is an

approximate to about $1.2 million.

BUSINESS REQUIREMENTS 11

Conclusion

For any project to progress smoothly and efficiently, the specification of business

requirements becomes a precise form of agreement between the stakeholders (project sponsor),

the project manager, the clients and the end users. The business requirement initiates the do’s

and don’ts on a project and the expectation of the end users after project completion. The

business requirement is necessary for this project because it is an extension of an existing status

quo. Analyzing on a business need before embarkation leads to improvement and transformation

of the firm.
