Reyes Department Store

Based in the review of the store, Nicole, the general manager concluded that
one of the first things she has to attend involving developing the job description of
her store supervisors. During her first few weeks on the job, Nicole found herself
asking one of her supervisors, Jet, why he was violating what she knew to be part
of the company policies and procedures. Jet’s only response was that he was not
aware of that policy and was not aware it was part of his job.

Nicole knew that a job description, along with a set of standards and
procedures that specify what was to be done and how to do it, will go a long way
toward alleviating the problems.

Discuss the process that Nicole should follow to solve this problem. (See the Case
Study 1 format of solving the problem).

Help Nicole solve his problem by following the steps below:

2. Discuss the areas of considerations following the guide below.

Nicole’s Strengths: She has the knowledge on what her job is about and is aware
of the responsibilities that come with it. She also knows about the policies and
procedures of the store / company.

Nicole’s Weaknesses: The job description of store supervisors are not yet
established which also means that employees are unaware of their responsibilities
as well as the company’s policies and procedures.

Possible Opportunities for Nicole: An existing company policy which may be


aligned in the development of the job description.

Possible Threats for Nicole: Nicole might get reprimanded for her subordinate’s
actions. Private / business companies are very particular with the compliance of
policies, as violations committed repeatedly may affect the customers’ perspective
on the business.

3. Give your proposed solutions/alternative courses of action or ACA


(minimum of three) to help Nicole overcome her problem.

A. Conduct of a store meeting or orientation to discuss the company policies


and procedures and run-down employees’ duties and responsibilities.

B. Conduct a series of assessment procedures through interviews,


observations, and consultations to gather information from the store supervisors
about their job in the company.

C. Conduct a series of observations on the store supervisors at work to gather


first-hand information on their duties and responsibilities.

4. State your Recommendation based on your ACA.

It can be recommended for Nicole, the general manager of the Reyes Department
Store, to conduct a meeting to re-orient the employees on the company policies
and procedures, and to revisit their awareness on their duties and responsibilities.
It is also recommended to conduct a comprehensive job analysis through a series
of interviews and observations on the store supervisors to gather relevant
information. The information gathered shall then be useful for the development of
effective job description.

The job description document shall then be rolled-out / disseminated to the store
supervisors for them to study and apply in their daily operations.

The general manager shall identify a schedule to evaluate the effectiveness of the
job description by conducting another round of observations, interviews, and
consultations.
