Pre-Arrival
The guest first chooses a hotel during this phase. Advertisements, referrals from family and
friends, prior experiences with the hotel, reputation, location, and other variables all influence
the guest's decision regarding a specific hotel. Then the reservation agent submits a reservation
into the hotel management system if it can be accepted. The hotel guest cycle is initiated with
the creation of this reservation record. The hotel will be able to give the guest individualized
service during his stay due to the information provided in this reservation about the precise
requests made by the guest.

Arrival
The arrival stage of the guest cycle includes registration and room assignment process. Before
starting the check-in and registration procedure, front desk staff should ascertain the guest's
reservation status. A Registration card is printed and filled out, which will assist the front desk in
gathering crucial data. After checking in, the visitor forms a business connection with the hotel
via the front desk. Any questions from the visitor, particularly those about the specifics of the
room rate or packages they are scheduled on, must be answered by the front desk staff.
Once a payment method and the guest's departure date have been confirmed and properly
signed by the guest, the registration procedure is finished. The guest service manager or
associate may give the guest a room key and directions to the room, or they may be escorted.
The occupancy stage of the visitor cycle starts when the guest checks into the accommodation.

Occupancy
During the guest's stay, security is a major concern. Among them are concerns like money and
assets protection. For handling hotel and guest keys, property surveillance, safe deposit boxes,
guest personal property, and emergencies, the front desk should also adhere to the hotel's
standard operating procedure. Verifying the charges posted to the guest account and comparing
the visitor accounts to the credit limit are two more front office financial tasks during the
occupancy stage.

Departure
At check-out, the visitor returns the room keys, vacates the room, and obtains an accurate
statement of the settled bills before checking out of the hotel. When a guest checks out, the
front desk updates the status of the room's availability and notifies the housekeeping division.
The status of the room is automatically updated at hotels that use property management
software. By handing the feedback form, the front desk gathers comments regarding the guest
experience at the hotels.
