REPORT WRITING

A report is a written account of an incident heard, seen, done or experienced and meant to be
published, about an event that has taken place in the part. A good report must have a good
introduction, complete reporting and proper conclusion

Types of Report

1.Magazine 2. Newspaper

Report Writing Format for Magazine


Heading: A title that catches the attention of the reader so that readers may get interested in reading
the full report.

Byline: Name of the person writing a report, Not to mention your personal details in the answer.

Opening Paragraph: It can include the ‘5 Ws’ namely, WHAT, WHY, WHEN and WHERE along with WHO
was invited as the chief guest.

Sequence of the event in details: The correct order in which the events took place, along with a
description of each. It serves as the primary paragraph and can, if necessary, be divided into two short
paragraphs.

Conclusion: This will include the ending of an event along with the description.

Report Writing Format for a Newspaper


Headline- A descriptive title which is expressed the news in short.

Byline- Name of the person writing the report along with the designation. It is generally given in the
question. Remember, you are not supposed to mention your personal details in your answer.

Place and date of reporting- It is generally not mentioned in a magazine report separately, but in a
newspaper report, you have to.

Opening paragraph- It includes an expansion of the headline. It needs to be short as it is a general


overview of the report.

Account of the event in detail– It is generally written in two parts: First, a complete account of what
happened in its chronological sequence (preferably), and second, the witness remarks.

Concluding paragraph- This will include the action that has been taken so far or that will be taken. It is
the last paragraph of the report.
Report Writing Format Important Points
1. Make sure the language you use is appropriate for the group of people you are speaking to. It is
not advisable to speak to children using complex words.

2. Make sure to use paragraphs when writing.

3. Practice.

4. Read all the examples as much as you can.

5. At least twice through the question, highlight the key details. It’s crucial to comprehend the
question and look beyond the obvious. Once, Albert Einstein said,

“If you can’t explain it simply, you didn’t understand it well enough.”

Report Writing Format


A report must include the answers of the following questions:

 What – name of the occasion and event, who conducted it

 Where- venue of the event

 Date and timing of the events (teaching and social work)

 An ending of the standard of the planned activities

PART – I Introduction – Mention– what, date, time, place

Part – II Body – detail of the incident, causes, consequences, effects, guests, steps, activities, and
people involved, relevant details.

PART - III Conclusion – reactions / statements of people / promises by authorities / steps taken.

SCHOOL MAGAZINE REPORT


1.You are Shruti / Suhail, Head of the History Club of ASN Public School, Janak Puri, Chandigarh. Your
school organised Heritage Awareness Programme in your school to create awareness regarding our
monuments. Write a report on this programme in about 125–150 words.

HERITAGE AWARENESS PROGRAMME

Heritage Awareness Programme was organised by the History Club of ASN Public School, Janak Puri,
Chandigarh on 09 October 2022 from 10 am to 2 pm in the School Auditorium. The school was well
decorated with posters of various historically important monuments.

Mr. Deen Dayal, Dean of History Department of PU was the Chief Guest. Around 2000 students and
parents attended the programme.

The programme began by lighting of the ceremonial lamp by the Chief Guest. After that a skit was
presented by the students of Class XII showing the importance of our heritage and monuments. The
history club presented an engrossing documentary giving a brief detail of 100 monuments from different
parts of India.

In the end, the Chief Guest gave a very motivating speech about the role of Youth in preserving our
national heritage. The Principal presented Vote of Thanks after which light refreshment was served.

2.You are Ramesh/Rani, Sports Secretary, Government Senior Secondary School, Chandigarh. Last
Monday an inter-school twenty-over cricket match was played on your school ground. Write a report in
100-125 words on the match.

Ramesh, Sports Secretary,
Govt. Senior Secondary School, Chandigarh 17th January, 20xx. Last Monday an inter-school twenty over
cricket match played in our school grounds between Kendriya Vidyalaya, Sector-4 and Central School,
Sector-37. It was one of the most thrilling match that we all had seen as the winner was decided only
after the last ball of the match had been bowled. Kendriya Vidyalaya won the toss and chose to bat.
They set a target of 130 runs in twenty overs for the opposition team who beat them in the last ball of
the match by hitting a boundary which took their score to 131 runs. Central School had to make ten runs
in the last two balls in order to win. Their star batsman ABC scored a six followed by a fantastic
boundary to take his team to victory. It was a great match with a nail-biting finish and all the spectators
present there thoroughly enjoyed watching it.

NEWS PAPER REPORT


1.You are Sanjay / Sanjana, a reporter with. The Hindustan Times. You witnessed a fire accident in a
crowded market in Delhi. Write a report to be published in the newspaper. Invent necessary details.

FIRE ENGULFED CENTRAL MARKET

Over a hundred persons were trapped for two hours when a devastating fire broke out yesterday in the
Central Market Lajpat Nagar between 5 p.m. and 7 p.m. Though no casualties were reported officially,
fifty people were injured.
The fire broke out around 4.50 p.m. due to a short circuit in the main line and spread quickly. There was
panic and stampede as people rushed out of the overcrowded market place. Fire brigade and police
arrived.

2.Your school organised an exhibition-cum-sale of the items prepared under Work Experience Certificate
by your school students. There was an overwhelming response from the public. Prepare a report in 100-
125 words for a local daily. You are the Coordinator, S.U.P.W. activities, Nita School, Gurgaon.

An Exhibition-Cum-Sale

3rd Oct.. 2022, Gurgaon. Our school organised an exhibition-cum-sale of items prepared under Work
Experience by our students on the 31st of Sept. in the school lawns. It was heartening to see the
overwhelming response our endeavour got from not only the parents but also from the general public
who showed a lot of interest in the items made by the students. A wide array of items such as candles,
greeting cards, jewellery boxes, wooden handicrafts had been prepared by talented students.

The students were really encouraged by the positive feedback they got from everyone present. Our
principal too was personally present there all the time interacting with everyone. He appreciated the
students’ hard work and creativity and announced that the money collected from the sale of items
would be donated to an old-age home in the vicinity of our school. Our principal also decided that such
initiatives would be taken up by our school more frequently to motivate the creative students and to
help a noble cause.
