Abstract

Nowadays, the number of papers on the topic of Knowledge Management and Knowledge Management System is still widely
discussed. The study of Knowledge Management System (KMS) issues are based on Systematic Literature Review (SLR). It
aims to analyze the state of the art, identify current popular issues on KMS, and offer directions for future research agenda. The
methodology used in this paper is based on the systematic literature review to collect, synthesize and analyze numerous papers on
a variety of topics that are closely related to knowledge management system issues that published in the last two decades. Based
on fifty-four papers reviewed from six electronic databases, the result of this paper obtained fourteen current issues on knowledge
management system. Moreover, the top three popular issues consist of the development of capabilities and features of KMS, Big
Data issues on KMS, and adoption to new technology issue for KMS respectively. The conclusion of this study emphasized the
big data phenomenon as the most contemporary topic for the future research area besides the growing of required KMS
capabilities and features development.

1. Introduction

In recent years, many papers related to the knowledge management (KM) and knowledge management system
(KMS) are still growing 1–3. Although knowledge management (KM) science has long been introduced by Nonaka
since 1994 through his paper 4, the discussion related to this area is still intensively discussed. The phenomenon of
dynamics research related to this often occurs along with the development of technology, culture, needs and
conditions of implementation 3,5,6. Nevertheless, there has been no work to review these studies systematically in
order to enable them advantageous for researchers and practitioners. Hence, there is a need to synthesize the
evidence regarding to the current issues of related KMS.
The implementation of KM consists of three pillars i.e. people, technology, and processes 7,8. KMS focuses on
the technology pillars. These three pillars are equally important and complementary. Several objectives can be
obtained by utilizing KMS for KM implementation within an organization 9–11. The various issues discussed in the
KMS projects should be identified to define future research areas.
The importance of this study is to regain for new research areas related to knowledge management system that is
previously dominated by the lucrative KMS implementation topics 11,12, KMS usage topics 13,14, KMS security 15,16,
KMS performance 17,18 and the use of new technology to apply KMS in an organization 8,13. Whereas, the numerous
new topics arise recently which are related to knowledge management system, such as the process of handling big
data phenomena 19–21, the implementation of KMS in social media and complex environment 22,23, and gathering
information effectively 24 .
The main objective of this paper is to congregate, elaborate, and synthesize an exhaustive systematic literature
review (SLR) of current issues related to the area of KMS and research trends. Based on the nature of descriptive
and inductive literature review, the authors addressed to identify the big challenge issues that is still intense to
discuss in KMS area. Thus, the research questions for this SLR are:
RQ1: what are the current issues related to knowledge management system (KMS) research topic?
RQ2: what are the top ranking for future research topic in knowledge management system (KMS) area?
Additionally, this SLR contributes to the scientific knowledge on computer science and information system
management by: (i) studying in detail the current issues related to KMS; (ii) identifying some of the research trends
in the existing literature; (iii) suggesting directions for future research.
The structure of the paper is divided into five sections i.e. the introduction part, the background of theoretical
foundation, the methodology of the systematics review process, the SLR result findings, and conclusion and
suggestion.

2. Theoretical Background Foundations

2.1 Knowledge Management


The knowledge management (KM) terminology was first coined by Wiig in 1986 25. According to Wiig, KM is a
systematic, explicit and deliberate building, renewal, and application of knowledge to maximize an organization’s
knowledge-related effectiveness and return from its knowledge assets 26. According to O’Leary, knowledge
management has two concepts i.e. content management and collaboration process 5.
The concept of knowledge management was initiated from the difficulty of dealing with complexities, increasing
competition with competitor by technology and growing sophistication of customer’s needs 3. According to Nonaka,
knowledge asset in organization is divided into two categories i.e. tacit knowledge and implicit knowledge 4. In
knowledge creation process, it involves the creation of new content or the replacement of existing content within the
tacit and explicit knowledge 27. According to Nanoka, knowledge is created, shared, amplified, enlarged, and
justified in organizational settings through social, collaborative, and individual's cognitive processes 4 .
Nanoka contended that the organizational knowledge creation involve a continual interaction between the tacit
and explicit knowledge. It spirally flows as the knowledge that moves through individual, group, and organizational
levels 4. The renowned model of four modes of knowledge creation consisted of socialization, externalization,
internalization, and combination. Knowledge management process in its implementation is supported by the pillars
of information technology in various ways. Most organizations apply technologies such as Knowledge Management
System (KMS) to capture, collect, distribute, and share the knowledge 27.

2.2 Knowledge Management System


Based on some literatures, understanding of knowledge management system (KMS) is a collection of techniques
and strategies to analyze, organize, improve, distribute, maintain, and share knowledge and experience in an
organization 27–29. KMS also allows the users to create a learning through electronics media or commonly called E-
Learning or corporate university 18,30.
Another literatures described a knowledge management system as a system created to facilitate the capture,
storage, search, transfer and reuse of tacit and explicit knowledge in an organization 31–33. This tacit and explicit
knowledge are used to enable KMS become prolific in management knowledge and can be used by others in the
organization 4,25. KMS is beneficial to assist the organization to retain employees’ knowledge when someone leaves
the organization or no longer performs the usual activities 34.
The purpose of KMS is to create and develop information system through information technology that can aid
the organization to transform tacit knowledge into explicit knowledge. It then can be used in dealing with a problem
with knowledge in accordance with the procedures of a company or organization 6,27,35. In addition, KMS also aims
to achieve a target such as shared knowledge, increased employment, competitive advantages, or the creation of
corporate innovation 36,37.
The benefits of KMS implementation in an organization are: (1) Organizations can more quickly establish
decisions on problems that occur based on existing knowledge and even novel knowledge on the organization 22. (2)
Organizations can create new knowledge during the learning process in which such knowledge represents a
reasonable and valuable way to solve problems for the organization 38. (3) There is a system that provides a reusable
data storage medium for the organization 24. Organizations can distribute knowledge to employees who need,
wherever and whenever 39, and many other benefits.

3. Methodology

This research paper applied systematic literature review (SLR) method approach and followed guidelines by
Tranfield 40, Kitchenham 41 and Okoli 42. Based on the literatures, this SLR has several activities such as planning
(determining the research questions), conducting (search literature, study selection, and data synthesis), and
reporting (report writing) 41,42. This review model is shown in Figure 1.

In the planning activities, the research questions (RQs) were defined based on the research background that is
introduced in section 1 – Introduction. The formulation of RQs are as follow:
• RQ1: what are the current issues related to knowledge management system (KMS) research topic?
• RQ2: what are the top ranking for future research topic in knowledge management system (KMS) area?
Conducting activities consists of search strategy and data synthesis. Search strategy comprises of the search
terms, literature resources, and search process. The search term is defined by derivation from the research question.
It then identifies the synonym for the search string. The initial search strings are knowledge management issues and

knowledge management system issues. Moreover, search terms used to search the journals in answering research
question are by combining of Boolean operators (AND and OR). The search terms used are: (1) (knowledge
management OR KM) AND (knowledge management issues OR KM issues) (2) (knowledge management system
OR KMS) AND (knowledge management system issues OR KMS issues).
The review referred to six electronic databases resources including the Researchgate, Science Direct, IEEE
Explore, ACM Digital Library, Emerald Insight, Taylor and Francis tandfonline and other links attained from
Google Scholar (grouped into Other) to extract the data based on the title and abstract information. Later on, the
search terms are inserted into each publisher and then hundreds to thousands of journal are displayed. The relevant
journals were stored in the reference management tools for selection activities accordingly.
The study selection was divided into three stages as demonstrated in Figure 2. Firstly, the journals search was
conducted and selection processes were based on the title which resulted in a total of 284 relevant papers to be
reviewed, then categorized as 'studies found'. In the next stage, the abstract from each appropriate journals are
evaluated to answer the research question. Duplicated and irrelevant papers were rejected, leaving only 176 relevant
papers are categorized as 'candidate studies'. Filtering was continued in the third stage. The appropriate journals
were downloaded and read in detail to answer the research question which is categorized as 'selected studies'.
Finally, 54 papers were accepted for the data synthesis of evidence after conducting the exclusion criteria and
screening of the detailed abstracts and full text. This process is demonstrated in Figure 2.

Those 54 journals are acquired to answer the research question (Table 1, sorted by journal id). Additional
information as journal publisher, year of publication, and researcher name follow in the next column.

These 54 journals were collected in the span of about 2 decades. The year distribution and number of journals
selected can be seen in Table 2. Most of the fifty four selected journals in the last 5 years, the percentage indicated
that 74% (40 journals) is distributed recently. The year that most of the selected journals is 2016 with 24 journals.

4. SLR Result

The section four presented the report about discussion review findings of SLR result. Based on 54 papers
collected, an investigation was conducted to answer RQ1: what are the current issues related to knowledge
management system (KMS) research topic? Researchers recognized 14 issues related to KMS work. This 14 issues
are shown in Table 3. This table is sorted by Issue Id that was found sequentially by researchers.

To answer RQ2: what are the top ranking for future research topic in knowledge management system (KMS)
area? The data collected from Table 3 is analyzed and grouped according to the issues and sorted by the number of
papers. Then the researchers take up the three most discussed issues of the paper. The order of the issues and the
number of papers that were discussed can be seen on the graph of Figure 3.

5. Conclusion and Suggestion

In this study, we presented an overview of the current knowledge management system (KMS) issue publications
by conducting a systematic literature review study on articles written during the last 2 decades. All relevant papers
selected are 284 papers and categorized as 'studies found'. It then filtered by abstract into 176 papers categorized as
'candidate studies', and finally filtered by reading the full text into 54 papers categorized as 'selected studies'.
Based on 54 papers collected, an investigation was conducted and then analyzed into 14 issues as the most
discussed topic related to KMS. The 14 issues are: (1) Evolving KMS capabilities and features, (2) Barrier issue to
the implementation of KMS, (3) Intention to use KMS, (4) KMS as a tools in getting the required information,
(Retrieval knowledge / information mechanism), (5) Big Data in Knowledge Management, (Creation, analytic,
computing, tools, content), (6) User lost critical knowledge, (7) Giving bad advice to user and influence of
managerial actions, (8) Security issue in KMS, (9) Adoption to new technology for KMS, (10) Dissemination and
various of KMS technology used, (11) KMS applied to social life areas, complex and dynamic environments, (12)
Investments and costs of KM Systems, (13) KM performance measurement, and (14) How KMS support and

improve Knowledge Management Process. This result answers the research question 1 i.e. what are the current
issues related to knowledge management system (KMS) research topic?
To answer the research question 2, the top three rankings for future research topic in knowledge management
system (KMS) area are: (1) 29 papers of Evolving KMS capabilities and features, (2) 23 papers of Big Data in
Knowledge Management, (Creation, analytic, computing, tools, content), and (3) 21 papers of Adoption to new
technology for KMS. This indicated that in the field of KMS, the most research intended to explore the features
related to the ability of Knowledge Management itself. Then followed by big data research trends that are booming
in this digital era. Finally, research related to the use of technology that supports knowledge management process is
widely challenge discussed. These three issues are the most contemporary research issues in KMS-related projects.
This study experienced some limitations in finding the related literatures that cannot be accessed. Therefore, the
study suggests to do research with a comprehensive database in order to get a deeper reality resources of the KMS
issues. This work was undertaken during time period of early 2017 and may be used as a research reference for the
next 5 to 10 years. Further literature studies are required to renew this research eventually.
