Process flow for Recording and processing of permissions for

inspection (Both complaint cases and other Optional Inspection)


Field Offices to Login in CAIU Login in the logins under office use for RO using existing Credentials

Step 1 -> Inspection Request Registration*

Select “Complaint > Registration”

Select Complaint Registration (Radio Button) Select Optional Inspection Permission (Radio Button)

Enter the details of the complaint & establishment as Enter the details of the establishment as per the form.

RO to assign inspection on SSP and enter inspection ID generated.


Moves to cases pending for final report.

RO to submit findings of completed Inspections

*ZO and HO can also register complaint cases received, in which the flow will be the same, except that such cases don’t need
further approval of the ZO, and will be directly displayed to the concerned RO in the granted cases list for further action as
above

CAIU PORTAL –OPTIONAL INSPECTION PERMISSION RECORDING

LOGIN:

1. Field Offices to use UserID and Password already provided to them for logging in to the CAIU
Portal.

2. The following screen will appear. For Recording an Optional Inspection Permission, go to
Recording label in the Complaint Header.

3. Following screen will appear. Select the ‘Optional Inspection Permission’ radio button.

4. Following screen will appear. The Recording Date will be the System Date. User has to select
whether the establishment is registered with EPFO.

5. On selecting Yes, User has to input the Establishment Code and then click on Check EST ID, if
establishment ID is correct then the data will be auto populated from the database.

6. Fill in all the required fields. There is also a provision for uploading a pdf file, if required. The
fields marked with red * are mandatory.

7. On submitting, the Optional Inspection Permission will be registered and an ID will be
generated. There is also a provision to download the Optional Inspection Permission registered.

8. The Optional Inspection Permission will now move into the login of Zonal Office. Then Zonal
Office can login using Zonal Office credentials.

9. The following screen will appear. Select ‘Compliant / Optional Inspection Dashboard’ label in
the Dashboard Header.

10. Following screen will appear. Select the ‘Optional Inspection Dashboard’ radio button.

11. The Optional Inspection Permission Dashboard will appear as under.

12. On selecting an office, Pending Optional Inspection Permission Status of the office will appear.

13. On clicking the ID, the following screen will appear. The concerned Zonal Office can Grant/Reject
the inspection permission, with remarks.

14. The Zonal Office Permission will then move into the login of Field Office. Field Office can login in
the CAIU Portal using their credentials.

15. The following screen will appear. Select the Complaint / Optional Inspection Dashboard label
under the Dashboard Header.

16. The Optional Inspection Permission Dashboard like below will appear.

17. On clicking the hyperlink, the following Dashboard for Pending Optional Inspection Permission
Status will be populated.

18. After assignment of the inspection on the Shram Suvidha Portal, the Field Office will enter the
SSP Inspection ID and Inspection Assignment Date for the concerned Permission case.

19. On submitting, the following screen will appear.

20. On clicking the ID, the field office can enter the date of completion of inspection and the
relevant Outcome/Findings of the Inspection Report, which must contain at least 50 characters and at
max 500 characters. Only crucial information is to be filled in this box, and generic/interim replies shall
not be entered. For instance, if inspection permission was sought/granted to check evasion, then among
other things, number of members enrolled and amount remitted must be mentioned. If need be,
supporting documents may also be uploaded in pdf file.

Optional Inspection Permission recording at Zonal Offices

1. If Zonal Offices want to initiate/direct the field offices to conduct certain inspection, then they
can also record such cases by logging in using Zonal Office credentials.

2. For Recording an Optional Inspection Permission, go to Recording label in the Complaint Header.
Select the ‘Optional Inspection Permission’ radio button

3. Following screen will appear. The Recording Date will be the System Date. User has to select
whether the establishment is registered with EPFO. On selecting Yes, User has to input the
Establishment Code and then click on Check EST ID, if establishment ID is correct then the data
will be populated from the database. Fill in all the required fields. There is also a provision for
uploading a pdf file, if required. The fields marked with red * are mandatory.

4. On submitting, the Optional Inspection Permission will be registered and an IDwill be generated.
There is alsoa provision to download the Optional Inspection Permission registered.

The optional Inspection permission will move to Regional Office. Then the further process for
the Regional Office regarding assignment of inspection and reporting of outcome is the same as
explained above.

Optional Inspection Permission recording at Head Office

1. Head Office can login tothe CAIU Portal using Head Office credentials.

2. For Recording an Optional Inspection Permission, go to Recording label in the Complaint Header.
Select the ‘Optional Inspection Permission’ radio button.

3. Following screen will appear. The Recording Date will be the System Date. User has to select

Case 1: - Complaint Recording by Regional Office (Flow of Execution)

2. The following screen will appear. For recording a complaint, go to Recording label in the
Complaint Header.

3. Following screen will appear. Select the ‘Complaint Recording’ radio button.

4. Following screen will appear. Complaint Recording Date will be the System Date. User has to
select whether the establishment is registered with EPFO. In case selected NO, the data has to be filled
in the tables and file regarding complaint document can be uploaded. Then click submit.

5. On submitting, the complaint will be registered and a Complaint ID is generated. There is also a
provision to download the complaint registered.

6. The complaint will now move into the login of the concerned Zonal Office. For this Zonal office
can login using Zonal Office credentials.

7. The following screen will appear. Select Compliant / Optional Inspection Dashboard label in the
Dashboard Header.

8. Following screen will appear. Select the ‘Complaint Dashboard’ radio button.

9. The Complaint Dashboard will appear, search the respective Field Office.

10. On selecting an office, Pending Complaints Status of the office will appear.

11. On clicking a Complaint ID, the following screen will appear. The concerned Zonal Office can
Approve / Reject, with remarks.

12. After the action by Zonal Office, the case will then move into the login of Field Office. Field
Office can login in the CAIU Portal using their credentials.

13. The following screen will appear. Select the Complaint / Optional Inspection Dashboard label
under the Dashboard Header.

14. Select the option Complaint Dashboard.

17. Details will appear as under. Fill in the Inspection Id and save.

18. Click ‘Inspection Pending to be Assigned’.

19. Following screen will be displayed. Click on the complaint id.

20. Inspection file in PDF format is to be uploaded by clicking the Browse button. Then enter date
and outcome/findings and submit.

Case 2: - Complaint Recording by Zonal Office (Flow of Execution)

The process flow for the recording of complaint cases by the Zonal Offices is the same as mentioned
above for the Regional Offices. The Zonal Offices have to use their credentials for logging in to the CAIU
Portal, and follow the process mentioned above to record the Complaints. Once the Complaint is
recorded by the Zonal Office, it is sent to the login of the Regional Office, which has to act further as
explained above.
