You are Jenny Lung. You work for an events management company as an assistant. Your manager, Ethan Lam,
has asked you to help with some tasks.
You will listen to a recording of a meeting in which you and Ethan are discussing a fair that the company is
organizing. Take notes under the appropriate headings.

Secondly, I’d like you to write a short report, also on the Christmas fair. Cover the following
information:
• The goal of the fair
• The person responsible for it
• The project budget and expected profit
• Ways of advertising the fair
• Problems we’re encountering

The meeting minutes from Marketing will be handy again. I’ll also forward you some statistics from
Finance for this task.
Task 7
Lastly, please write an email to Robert Ko. Yes, the famous chef! Invite him to take part in the
GolfAid event. Briefly explain to him what GolfAid is, when it’s taking place and what we would
like him to do. In the next paragraph, give him more details about the event, such as its aim, the
mission of the charity that it supports, what media coverage it will receive and the names of the
celebrities that are taking part. In the final paragraph, tell him what Top Events HK does, and
mention the award we recently won (it’s on our website). There’s a leaflet about FoodAid that
will help.

I hear you need some background information on GolfAid.

The main idea of the event is to have celebrities play golf to raise money for charity. This year, 7.1a
GolfAid aims to raise $500,000 for FoodAid. Actress Polly Ng and businessman Craig Theakston 7.2a, 7.2d
are going to take part. The celebrities will play golf for four hours and give an interview. The most 7.1d
well-known celebrities will play in the afternoon.

The GolfAid event will take place at Sai Kung Golf Course, between 9 a.m. and 6 p.m. I can’t 7.1c
remember the exact date, though. If you like, I can get you some free tickets!

FoodAid was started in 1985 by Mr Edward Lee, and its mission is to provide free meals for poor 7.2b
people around the world. To date, we have delivered over three million meals to hungry people in
South America, Asia and Africa. We want to see an end to hunger.

Funding
FoodAid is funded by donations from individuals and businesses.

We are also supported by fundraising events, such as GolfAid. You can watch this celebrity golfing 7.2c
event live on DragonSports TV on 15 November. 7.1b

Top Events HK was started in 1998 by Miss Queenie Yau and Mr Roger Ip.

We are a company that organizes events in Asia. We work in 12 different countries. 7.3a

We organize all kinds of events, from press conferences to trade shows and product launches. We
also organize wedding and anniversary parties. No event is too big or too small for us. We’ve also
worked with local charities to raise over $8.5 million. 7.3b

Dear Jenny,

It’s going to be a very busy week for all of us in the department! It’d be great if you could spare
some time for the following three tasks.
Task 8
I’d like you to write a blog post to tell people about the Christmas fair. Write an attention-grabbing 8.1a
title with the name of the fair, and begin by mentioning that there are more attractions, exciting 8.1b
shopping and longer opening hours this year. Then, outline all the attractions. Also reveal the guest
who will be turning on the Christmas lights. We talked about this in our meeting earlier. End the
post with the dates, opening hours as well as the entry charges for the fair.

Everything you need for this task can be found in the transcript of the Planning Group meeting,
Harry’s memo and your notes from our discussion.
Task 9
The other thing I’d like you to do is to update our Operations Director, Mr Collins, on our
preparations for the Christmas fair. Please write him a letter. Start by giving him some good news
about the project (three things should be enough). Then, state what still needs to be done, as
mentioned in Helen’s email. Conclude with the problems we talked about in our meeting.
Task 10
Finally, please write an article about the recent Glamour Magazine party for our newsletter, which
we’ll send out to all subscribers. Give the article an appropriate (and positive!) title. In the 10.1
introductory paragraph, tell our readers about the purpose of the party as well as its theme. Next,
write about the fancy dress, decorations, food, drinks and music. In the last paragraph, name our
special guests, and put in a good quote about the success of the party from Penelope Lee’s letter.

Julia Teller: I’m afraid we’ve lost the venue. We’ll have to find another within eight days.

George Mui: Perhaps I can help? I’ve got lots of contacts at West Property.

Julia Teller: It would be wonderful if you could ask, George. Thanks!

Andrew So: Good luck with that! The next item is the Christmas fair. George?

George Mui: Ah, yes. We have some new attractions. We’ll have Hong Kong’s biggest outdoor 8.2c
ice skating rink at the fair, which will have room for more than 200 skaters.

Julia Teller: My kids will love that!

George Mui: Do they also like Santa Claus? He’ll be giving out free gifts to children under 12. 8.2e

Julia Teller: They’re a bit too old for that. Free gifts … won’t that be expensive?

George Mui: No, they’re small gifts. We’ll also have 12 bands playing Christmas songs from 8.2d
2 p.m. every day.

Julia Teller: What about the price of the tickets?

George Mui: They’re $60 per person. 8.3c

Julia Teller: Is that a bit higher than it was last year?

George Mui: Yes, we’ve had to increase ticket prices by $10 because of an increase in the cost of
hiring the venue and paying staff.

Julia Teller: Do you think we’ll still be able to get the same number of customers at that price?

George Mui: Yes, our market research indicates that the price is actually quite low compared to
other similar events in Hong Kong.

Lee-Chan wedding
• This wedding reception will be held in Ballroom 2 at the Horton Hotel in Tsim Sha Tsui.
• The couple have asked to have shark’s fin removed from the banquet menu. They would also
like to offer vegetarian and vegan banquet options.
• The couple’s wedding theme is ‘The Magic of Love’ and they plan to hire several magicians
to walk around and perform at the wedding.

Street carnival
• This event will be held on Hollywood Road in Sheung Wan and Central.
• The carnival must finish by 6 p.m.
• We plan to have food and drinks, live bands, floats, dancers and a fancy-dress competition.

Christmas fair
• Good news: St David’s Ambulance has agreed to provide first aid at the event for free. 9.1a

• We are considering allowing online ticket sales.


• We are still short of temporary employees for the fair. We need 20 more. 9.2e

• The fair will be called the ‘Victoria Park Christmas Fair’. It’s easy to remember, and it gives 8.1a
the location.

DaDa opening ceremony


• This gallery opening will take place on 23 January.
• We are expecting 230 guests and will be providing food and drinks service as well as security
at the venue.
• DaDa has chosen our standard opening ceremony package.

Report from the Finance Department

Monthly report

The department is ahead of schedule, with 39 tasks completed in September, ahead of the
target of 35.

There were cost overruns in a number of departments in August. These overruns amounted
to 12 per cent of our total available funds. It is obviously very challenging to keep to
budgets when we have to revise them almost weekly.

We have finalized the budget for the HK Talent award ceremony. The total spend will be
$434,000, and we expect to make a profit of $127,000. This is less than last year, due to
rising venue costs. Venue costs have been rising due to an increase in rents, which has
presented a challenge for us across the board. Organizers are in general unwilling to increase
the price of tickets as they believe it will negatively impact sales. This will remain a
challenge for us, at least until the end of the next quarter.

We forecast increased profits of $425,000 for the seven-day Christmas fair event. We will 9.1b
send the new budget to all relevant departments. There has been another positive
development: toy company FunCo has agreed to sponsor the event and will pay us $175,000. 9.1c

Secondly, we’ve invited too many guests to the Korean fashion show at the HKCEC next month.
This is really bad news. Please let Ethan know.

Finally, the Christmas fair. We need to get the food and drinks licence from the government, or it 9.2b
will be too late to arrange vendors for the fair. I think your team is responsible for this. Also, we
have some signs in the warehouse left over from last year’s fair. We’ll throw them away unless you
need them.

Dear Ethan,

I would like to say a big thank you to you and all of the staff who worked on Glamour Magazine’s
party. I believe all the guests enjoyed themselves. The party was smoothly run, well planned and a 10.4b
huge amount of fun.

My favourite thing about the event was the decoration. I really liked the way you decorated the 10.3b
ballroom with photos and paintings of France, and the large model of the Eiffel Tower was a
really good idea.

I have one criticism, however. Some of the waiters at the event spent a lot of time looking at their
phones instead of serving guests. They need more training. Could you please respond to this?

Dear Editor,

I was disappointed to see that you used a whole page of your newspaper to cover Glamour
Magazine’s recent party. Your reporter breathlessly revealed every minute detail of the event.

So we learnt that special guests included the race driver Denis St Pierre, the poet Annabelle Yeung 10.4a
and the film star Marco Liu. The food included classic French dishes, cheeses and pastries, served in 10.3c
a room made to look like a Parisian restaurant. The guests drank French wines, beers and 10.3d
Champagne-based cocktails.

I’m sure the lucky guests had a wonderful time. However, is there not some actual news that you
could report instead? I find it wrong that you report on spoilt, rich people at some tasteless party
when so many Hong Kong people are struggling just to pay their rent.
