Night Shift Policy

1. Objective
To define, provide and facilitate night shift working on weekdays / weekends in order to meet
business needs of the organization and clients.

3. Policy Statements

3.1 Eligibility
Employees at grades S1 to S3 and E1 to E4 who have to take on responsibilities in the night shift (9
hours between 8 pm and 6 am) for a maximum of one-third of a month at the declared centers / work
locations as a part of their rolling responsibilities are eligible for the night shift allowance.

3.2 Compensation for Night Shift


 An employee is eligible to receive INR 500 per shift.
 The amount remains constant irrespective of the night shift being on a weekday, weekend or a
company declared holiday.
 This amount is inclusive of all the expenses including meals and conveyance.
 The night shift allowance will be paid with the monthly salary depending on the number of days an
employee has worked in the night shift.
 For teams working on 24X7 operations / contracts, the compensation structure and applicability of
a specific allowance / benefits will be as per agreed terms and conditions of the contract.
 Policy applicability is dependent on the nature of the role and business exigencies and
requirements as defined by the respective Business Units / Function Heads.

3.3 Governing Rules


 Managers are required to maintain records of attendance during these shifts as per the night shift
allowance template.
 This form should be maintained on a monthly basis (i.e. from the 17th of the month to the 16th of
the following month) and a signed copy of the same has to be submitted to the Location HR on or

before the 18th of the month. If the 18th happens to be weekend or a declared holiday, it is the
responsibility of the manager to ensure that the details are submitted to HR on the last working day
before the 18th.
 Individual payouts would be made along with the salary of the employees in the month of
submission of the form.
 The respective managers need to provide the night shift allowance details as per the night shift
allowance template to the respective Location HR on or before the 18th of each month, to include
the same in the payroll for the same month.
 It is the manager’s responsibility to ensure timely submission of night shift allowance details to HR.
Night shift payout submission requests can be carried forward for 2 consecutive months only. Any
request for payout submitted post this timeline will not be addressed.
 The company transport / food facility shall be as applicable to employees in other work timings.
 Any exception to these policy guidelines will be considered case-to-case basis and the same should
be approved by the Business / Function and HR Head. Justification for exceptions will have to be
recorded and documented in all cases.
 Any matter not specifically covered under the above guidelines shall be referred to Head – HR for
necessary advice.
 All payments received under this policy shall be governed by the Income Tax Act and the rules and
guidelines thereof to be borne by the employee.

3.4 Process
Project Manager who needs to assign night shift duties to its members should ensure that a roaster is
in place so that all the team members doing similar work get an opportunity to work in the night shift
rather than an individual working throughout. The project manager should provide the following to the
payroll team:
 Duly filled night shift allowance template
 Invoice raised to the client for that particular month with a mention of night shift.
