1. What is the difference between an administrative report and an operational


report? Which is more important to an organization?
-Operational Reports are narrative reports that play an important role in the
administration of justice since they are used in the prosecution of cases in court. Administrative
reports, on the other hand, are prepared solely for internal use as a foundation for administrative
decisions. Administrative reports are more essential since they may be utilized in inter-
agency conferences or activities such as command conferences to review whether agency
goals and targets are met for a given fiscal year.

2. Define narrative report writing. How does it differ from writing essays or literary
composition?
- Narrative report writing is most commonly utilized in the legal area. People write these
reports to settle disputes, submit complaints, or as evidence in court. A narrative report is meant
to tell a whole story, but a written essay is meant to convey a precise description of a certain
area, object, or concept.

3. What is the standard format used in the preparation of reports in the public safety
service?
-Memorandum Format - a “Memorandum For” format is used if the communication is
going upward (Meaning the recipient is higher in position, rank or designation than the originator
or sender of the memo). A “Memorandum To” format is used if the communication is going
downward (or if the recipient is lower in position, rank or designation than the originator or
sender).

4. Define a Spot Report. What is the main characteristic of this type of report? How does
it differ from an Incident Report?
- A spot report is a report on an incident that came about in a given place inside a public
safety officer’s jurisdiction which relates to commission of a crime, prevalence of disasters, or
uncommon incidents related to harm to properties, damage or lack of lives. It is generally submitted
