EPD-Team work for Developing solutions


Introduction:To figure out the respective clients for improving the e-commerce business which
includes the problem identification, solution strategies & evaluation of solution results through
reflective practices. It includes teamwork with leadership & communication skills.

Task1
a) The name of my team is PlatinumSoft including 5 members. Their names are Sudeepto,
Saroni, Saif, Alif & Maruf(me). Each members are assigned to play the following roles in
the team.Each role is divided among the members according to their names & choices:-

We have selected bd.career.com – on of the largest job site in Bangladesh. It started its
journey on 15 April, 2015. It is an amazing online job site. They provide location based
job ads from around Bangladesh. There locations start from Dhaka and Chittagong.
Anybody from this zone can search for any job in Bangladesh. Check out the details on

Description of Team Members:
Our team PlatinumSoft has undertaken a project to develop the bd-career.com site as a
team. In this project will work together on how to make a successfully running website.
Therefore it is important to have the collaboration of every team member in this project.
Now I will introduce the members of my team with the name ‘PlatinumSoft’. We have
got 5 members including me to achieve the goals of the project.
PlatinumSoft Team Members:
Sudeepta Karmakar Rahul (Programmer & SQA), in this report his duty is a facilitator.
Ismit Ara Saroni (Chief Programmer), in this report her position will be as Contributor
and Collaborator.
Syed Saif Ahmed (Chief Programmer), in this report he is working at the position of
Communicator.
Maruf Ahmed Siddique (Programmer), my duty is researching as the challenger.
Jahangir Alam (Programmer & System Security Officer), will be in the team as the Asst.
Contributor.

The members in my team have selected me as the Challenger. I will have to play an important
role in the preparation of the report. As a challenger I will be the one to provide competition,
raise relevant question about the team goals, push the team to set high ethical standards for work
instruction and guidance. By comparing various websites my feedback during the research will
indicate them to accomplish the goal of the project. So I will to monitor my team in the group
about progress and state problems the team is facing.
(Sudeepto)A facilitator is someone who engages in the activity of facilitation. They help a group
of people understand their common objectives and assists them to plan how to achieve these
objectives; in doing so, the facilitator remains "neutral" meaning he/she does not take a particular
position in the discussion.
(Saroni)-A contributor is someone who takes part in something or makes a contribution. Writers
and people who donate money in particular are called contributors.Writers whose work is
included in a book, magazine, or newspaper are called contributors. 
Communicator is a person who is engaged in communicating, particularly one well versed in
transmitting information, ideas, or policy to the public; a person entrusted with the business of
publishing magazines, communications as televisions etc.
(Saif)-Collaborator works with another person or group in order to achieve or do something.
(Maruf)-Challenger is the one who strives for the same thing. Synonyms of Challenger are
competitor, competition, contender, contestant.
(Alif)-Assistant contributor takes part in contribution whose works are also included in books,
magazines or newspapers etc.

The website includes the following major problems->
1.Poor Site Design& Incomplete:Companies often struggle with first impressions. Customers
need organized and clearly-defined categories for smooth navigation.Customers sometimes
cannot find what they are looking for in an incomplete site. If the website is not properly built
they often become uncomfortable.

2.Inadequate Search Engine Quality: An online store should provide customers with quick
selections of items they are interested in.A variety of search options and filters (by brand, price,
style, model, etc.) shall be offered. Users shall be allowed to organize results by popularity,
reviews, etc. Search capability should be tested to ensure that the right products are being
returned and that internal categorizations are correct.

3.Vague job Descriptions with Limited Photo Support: One ecommerce problem occurs when
a company fails to communicate job features that potential customers are interested in. The size,
brand, type, instructions, ideas for use, material type information, etc. shall be included.
Customers should be made feel confident about jobs even if they cannot use the touch option.
4.Poor Font design with very few contents: Font size & colour according to the site design if
not appropriate makes the user feel uncomfortable during clicking.The Text should not be too
small to visualize or too large fitting within the site. Excessive fonts look chaotic and assume
disjointed.Sites font faces &themes should be different. When using typography for site design,
it is better to choose a consistent font for ensuring correct display of the fonts in every
browser.Design attributes should be same for all headers, sub-headers, and content.Color setting
have an influence on the mood & behaviour.Competing for attention should not be given
preference over the unifying effort for site color.

5.Confusing Navigation:Nothing is more worse than finding product on a site with confusing
navigation.Every category should have at least a few links in it. It is required for customers to
make them easy for looking through different categories with minimum three item options.

6.Poor Customer Service Options:Contact information is bit hidden above. It is necessary for
customers to get in touch easily. The best way to contact for technical question, a sales question
or return item should be made clear. A help request form for customers can add more confidence
than just an email address.

7.A Long Checkout Process: Customers should not be given a chance to reconsider their
purchases. If they are confused by choice & registration processes, the site is likely to be
abandoned.The checkout process should be speed up by using not more than three pages.
On one page, visitors can review their choice & registration information.On a second page, they
can confirm their orders.The final page is a confirmation thanking them for their activities.

8.Hidden Contact Information,FAQS,Feedback forms: During dealing whether a company is


real or not customers ensure themselves during whilegiving away their credit card information.
During a problem they expect to contact a real person directly about help & necessary
questionnaires. If the contact information & FAQ is hidden, consumers may not find it easily
therefore they are less likely to trust the site & do business with them.

9.A lack of detailed job information :There should be the advantage of being able to pick up an
item, feel it, look at it from every angle, and read any information on the packaging or labels.
Online research removesthat interaction. Ecommerce sites need to do the best they can to
improve upon the in-store business experience. If a visitor is left wondering about the specifics
of a job, they’re more likely to go look for the information elsewhere. And unless the site’s price
is significantly lower than your competitors, they’ll likely register from the other site. Thus much
information as possible should be provided.
c)Team Meeting & Plan
A team may be defined as a collection of two or more people who work together for achieving
common goals. In a true team, members interact with one another daily to pursue those goals
over a sustained time period. Effective team meetings allow for open conversation that draws
upon each members' knowledge, skills, and perspectives to solve problems and to support one
another in achieving the team's collective goals. The method to design an agenda for an effective
meeting are as follows:-
1)Seek input from team members: The items reflecting their needs shall be included in the
agenda.Team members should have a suggestion regarding items of agenda with a clarification
of reasoning why each item requires to be addressed in setting a team.
2) Selection of topics affecting the whole team:To schedule time of time meeting is difficult &
also expensive. Emphasis should be given on discussing & making decisions in respect of issues
affecting the whole team & finding out the required solution by the team. Those are ones where
coordination of individuals action is a prerequisite since their parts of the organization are
interdependent.
3)Making a list of agenda topics the team needing address: Agenda topics mostly depicting
several words forming phrase reallocation of office space. Better preparation for discussion&
monitoring their own & others relevant commentsare enabled by a question.
4)To note the target is sharing information, seeking input or making decision: Team
members face difficulty in participating effectively having no idea regarding simply listening,
input giving or participating in decision making.To make a decision If people think they are
engaged in this respect but I am simply seeking their input, everyone is supposed to be feeling
frustration by the conversation end. Distribution & reading are better to be updated before the
meeting, keeping a time for answering the questionsby the participants.Decision-making rule
shall be stated for the purpose of making a decision.
5)Estimation of a reasonable time for each topic: There are two purposes. Firstly, calculation
of time needed for the introduction of the topic to answer questions, solving & gathering opinion
differences, generation of potential solutions coming to an agreement on the action items
emerging from the discussions & decisions.Leaders have a notion of underestimating the time
period. It will be an underestimation of time if I allocate 10 minutes for 10 people in a meeting
for a decision on reallocation of office space. It is very difficult to reach a decision for team
members speaking for 1 minute only.Secondly, estimation of time enables team members either
adapting themselves for fitting their comments within the timeframe or suggesting more time if
necessary. The purpose is have a better allocation of optimum time for the team in an effective &
efficient answering the questions.
6) Proposal of a system to address item of each agenda: The systempoints out the strategy for
completion of the discussion for making a decision by unifying the team effort as a
whole.Effectiveness of a meeting depends on unifying agreement of the team, although which is
rarely done by the leaders. Without an unifying agreement of the team the participants will differ
on their opinion. It is not uncommon to notice that some team members are defending their
opinion, other team members are protesting the inclusion of topic in the agenda.Some members
are seen to be engaged in seeking for solutions.Prior appearance of the process of addressing an
item should be ensured on the written agenda. When the item during the meeting is reached, the
process and seeking agreement should be explained eg. The following process is suggested-first
10 minutes to get relevant information, second 10 minutes to identify & agree on any
assumptions necessary to make, third 10 minutes should be allocated for identification &
agreement on the strategy easing to come to a solution. Final 15 minutes should be allocated for
the improvement of process.

7)Specifying the ways for the preparation of members for meeting:Distribution of agenda
should be ensured with enough time prior to the meeting enabling the team going through the
background materials helping for preparation of their initial thoughts for each agenda item before
the commencement of the meeting.

8)Identifying the leader for each topic:For leading the discussion of a particular item in the
agenda a leader is entrusted with the responsibility.This person may be provided with the context
for the topic, explanation of data, or may have efficiency for that area. Being entrusted with this
responsibility the person can prepare himself prior to the meeting to discharge the leading part of
the agenda effectively.

9)End the meeting with a plus: Regular meeting of my team results in continuous improvement
process through some questionnaires:
-How was our performance?
-What was done differently for the upcoming meeting?
Provision of ten minutes will assist the team in improving performance, good interaction &
satisfaction among the team members. There is an option for evaluation of performance of the
team work:
-Did the agenda reach everyone in time preparation?
-How was the preparation of team members for the meeting?
-Whether time estimation necessary for each agenda item was justified?
-Whether time allocations for decision making & discussion were optimum?
-Whether the discussion is topic based or not?
-Whether the speaking is relevant?
-Whether the process for each agenda item is effective or not?
As a challenger, I am going to call a meeting to bring out the problems of the website we are
working on and discuss with the fellow members about the possible outcomes and solutions of
the problem.

Here I am going to discuss about the techniques and tools that will be used to develop the site. In
this stage each member of the group extracts a major problem from the website and gives a
effective solution to that.
As mentioned before, here I am working as a challenger in the project group to provide
cooperative effort to find the solution and reach the ultimate goal.

The 6 step decision making process is a rational decision making process. This means that

decision making models are known as linear, sequential processes.In other words, there are
steps laid out for you to follow. Each step must be completed before going to the next step.
And occasionally it may be necessary to go back several steps to more fully complete them
before proceeding again.

To solve the mentioned problems, we have to first know about the popularity of the site. During
the process, I have found some servicesmissing in the website which gives a bad impression to
the clients / visitors. Advertizing on the site with attracting Ads is the process that increases the
sells and also helps in the growth of the business. After the establishment of the site on the
specified 4 areas, it will now increase its services throughout the country. On the contrary the
service of the organization and its communication system should be easily understandingfor any
kind of customer who wants to communicate. There is also a way to focus on every department
of this site which helps to know about the wrong things. There is also a technical way to find out
the problem and reduce that with effective solutions.
Strategy
Now, I am going to examine about tools and procedures that I have incorporated into this past
tasks. Here I need to bring uputilized procedures as part of this report to answer for this site. In
this way, I have demonstrated what way I have taken for this system to discover the issues and
solve them in appropriate way. For this explanation I have used powerful thoughts with
apparatuses and systems. Moreover, the methodology I have taken after to discover issue by a
system outline technique. This system gives me the data to help about the information& critical
thinking abilities. In this group work we have chosen for the gathering of PlatinumSoft where
every person perform independently to associate the objective by gathering work and finish the
examination effectively. In this methodology I have assembled a conference where I have spoken
how I have found the issue and which way is appropriate for this event.Hence, I have given the
exertion with a proper procedure and compelling thoughts which give the data of settling
strategy. In conclusion, the points mentioned will be successful for the bd-career.com site to lead
the business without having issue.
Task2
a) Final Report
Here I am going to discuss about our team business and their current status what they are
focusing on according to their goals and performances. Students ought to be engaged in
having a knowledge about environments which will help in promotion of real learning &
contexts. Teamwork assist in having acumenship in deep learning through interaction,
solving problems, dialogues, working collectively and in collaborating with others. These
learning designs assist in promotion of the construction of base of knowledge since they
are intimately related with social experience with a group.Successful outcome &
implementation of learning designs depends on effective teamwork.

Attributes of Effective Teamwork


Success of a teamwork depends on active cooperation among all the members of a team
to create an environment that will promote their willingness for contributing &
participation resulting in a positive & effective team environment. Flexibility of team
members for adapting in a cooperative working environment is a prerequisite for
achieving the goals since achievement comes through collaboration & social
interdependence rather than individual effort.For successful teamwork a number of
attributes have been provided by the research. Successful attributes required for effective
teamwork are summarized below:

1) Team success and goal sharing commitment- Commitment & sharing of the team
members are the fundamental stone for attaining successful goal of the team project.
Motivation, engagement & aim for achieving are the key to success of a team. These
results in facilitation, positive nurturing, interactive congenial working atmosphere on the
basis of focusing on the development of aquality final product suitable for impressing
their client tutor, peers as well as end users. The whole team used to bemotivated strongly
to have better performance than others and used to share a unified target for developing a
product supporting the opportunity for creating employment chances at the end of the
course.
2) Mutual dependence–A congenial atmosphere is necessary for the team members to work
altogether for more fruitful contribution. An environment with positive interdependence results
in team spirit assisting the team to achieve the destination at a far higher level. Individuals
promotion and encouragement have a positive impact on the fellow team members in respect of
achievement, contribution and learning. The team members have the feeling of discharging their
responsibility towards the other members of the team which ultimately influences the success of
the project depending on the contributions of each team members at individual level. In case of
awkward difficulties faced by the peers team members were always happy to extend their help.

3) Interpersonal Skills encompassesthe capability of discussing issues openly, honestly,


trustworthily & supportively with team members with due respect and commitment to the team
and individuals. To work effectively with the team members a caring work environment is a
precondition.The team used to recognize the personality variations of the team members&
problems faced by them at different stages. They used to show empathy, due respect and active
supportfor others in times of difficulty.

4)positive feedback with open communication–To create an effective work environment


giving proper attention to the concerns in their needs & appreciating their contribution is a
prerequisite of team members. Team members should have the mentality to tolerate constructive
criticism &to provide authentic feedback. The team used togenerate a provision for discussing
problems or difficulties and making constructive criticism in solving them. Facilities provided
for an open dialogue expressing their concerns in a non-defensive manner were emphasized. The
team members used to be open and trustful about all aspects of the project.

5)Proper team formation: Success of a team requires appropriate team formation. Full
awareness of their specific team assignments & understanding are necessary by the team
members.This team used to be proactive in the advance formation of their team members.
Careful consideration of the skillfulness needed for each team member & the type of personality
have been done.These were the topics of careful discussion and consideration by two team
members.
6) Commitment to team management, leadership & accountability - Team members requires
accountability regarding their contribution to the team and the project. They should be informed
of team processes, new practice and innovative ideas. Effective leadership encompasses sharing
decision making and solving problemss. Team members used to be aware of their individual
responsibilities within the team with proper tracking of timing & quality of required tasks. The
project manager used to be highly honoured by the team, and used to consult the team prior to
take major decisions. Quality assurance were done which assisted in monitoring activities &
accountabilities of individual team members.

b) Core business is the primary area that a company focuses on in business operations. All
companies try to maintain a strong position in these areas of business so that they remain market
leaders. Most businesses may have multiple functions but concentrate on the focal point so that
they are able to keep the resources and employees focused.

Many organizations are engaged most of their times inshowing reaction to awkward changes
rather than anticipation and preparation for them. This is termed as crisis management.
Organizations falling in awkward positions have to spend a lot of time and energy. Their energy
is being used up to cop with the immediate problems & little energy is left for anticipation &
preparation for the upcoming challenges. Many organizations are locked in this vicious cycle
into a reactive posture.

Strategic planning is a well tested process providing a effective alternative to crisis


management.Strategic planning is nothing but a continous process with specific objectives and
end products forimplementation and evaluation. In a simple way, it is a method by which one can
predict the future on the basis of current scenario influencing the forces which have an impact
on us.

Strategic planning predicts three to five years ahead. A particular course is charted on the basis
of strong indicators depicting business environment in the upcoming years.Some of these
scenerios may have potential opportunities as well as threats. Scrutinizing the possibilities and
planning strategies for coping the challenges can assist the organization taking full advantage of
opportunities and minimizing the threats. In a nutshell, onecan take up control of the future
scenerios. One can use one’s energy and resources in an effective manner and manage businesses
in a more successful way inspite of environmental changes.
Arguments for Strategic Planning

Production of a workable plan is the ultimate goal of the strategic planning. These five products
need development, evaluation & refining.

Trends & issues pertaining to environment: Factors having impact on the organization and the
way to be conducted regarding business includes internal factors such as staff, services,
skillfulness, logistics, and requirements. External factors encompasses such things as outsourcing
threats. A strategic planning committee deals with compiling an environmental scan, a body of
information regarding the environment. Major issues are singled out as mega issues having
significant impact on the facilities planning & management of industry.

Needs calculation: surveys of the prioritized needs & expectations collected through


information from clients & peers institutions are mandatory as a basis for setting objectives.

Mission Statement: is nothing but the fundamental reasoning for the existence & setting up of
the domain of business.

General Objectives: depicts the target of achievement of the organization on the basis of needs
& issues incurred in this connection.
Strategies: Specific, measurable actions and directions which are designed for reaching the
predesigned objectives. The strategies are materialized through creating, continuing, changing, or
eliminating of programs.

Keys for implementation with success

There are three major keys in the pathway of successful strategic planning and implementation.
These are communication, credibility & commitment.

Inclusion of adherence to the whole & thorough processing of strategic planning must be a part
of the up-front commitment by the leaders. Implementation of therecommendations by the
strategic planning committee require commitment.

To fulfill the objectives of the strategic plan the leaders should implement programs & services
& commit allocations both in organizational level & activity level. A strategic planning
committee undergo researches, gather information and makes recommendations.

Creation of credibility & maintenance is done by following the three guidelines.These guidelines
encompasses: representative participation, adherence to the complete process, and clear
documentation.

All areas of organization should represent the strategic planning committee and stick to the steps
of the same. All five products need evaluation & development during implementation of the plan
being tailored to the available resources.

The committee ought to document all of its research and activities for serving as a key for the
strategic plan or its materials in the background. It will also work serve as a vivid record of the
activities of the committee keeping open for all to see for evaluation.Nothing should be secret
regarding strategic planning. It should be kept open for all to review and input.Input, feedback,
and understanding are important in every sphere. A key concept has to be remembered that this
is a process of cooperation & participation. Everyone should provide input & should have a
sense of ownership over the final plan. Such personal commitment results in facilitation of the
process of implementation.It is necessary for explaining the principles and goals of strategic
planning in the organization for all. Assurance for each person is needed that inspite of being not
in the committee everyone can provide input & can do evaluation of the recommendations. The u
staff and committees are assigned for determining the pros & cons for fulfilling each objective.
The strategic planning committee do general recommendation of what should be done. The
leadership, operating committees, and staffs are assigned to determine how it will be
done.Creation of an integrated system which makes the strategic plan a measuring stick is an
additional aid which ultimately turns into a system of accountability.The directors should adopt
the integrated system for acceptance of the strategic plan and making the mission statement as a
part of the directives. The plan can then become the context which will be the basis for flow
ofservices& programs.Strategic planning is the key stone for the assurance that an organization is
being prepared for the upcoming challenges.

Conclusion:After all the discussion, I think we have successfully achieved the goal following
our structured plan. In the overall report,as a challenger first I introduced all the team members
