Importance of Business Communication
INTRODUCTION
L etter writing is highly important in business. There are many situations involving
clients which necessitate correspondence. This includes replies to queries, adjustments,
selling products, etc.
In the business world, everyone conveys messages as often as the need arises.
Communication is done by personal visits, phone calls or letters. Business transactions
cannot depend solely on personal visits because this entails a lot of expenses. Phone
calls have their limitations too. Businessmen cannot elaborate on various matters which
a business letter can accomplish.
If a person can develop his ability to write effectively, he can include this skill
as a business asset. Good writing techniques can prepare students for business careers
and advancement. Basic training can lead to writing various types of letters that are
difficult and challenging. This can serve as a tool to increase one’s self-confidence,
promote good relations and acquire more sales and profits.
Eliciting Response
An effective business letter is one that is able to get a response from the
reader. In other words, it influences the reader to act favorably. Thus, an effective
letter of application can influence a prospective employer can secure payment without
offending a customer.
Some letters are written to make friends. An example is the sales letter. It
does not sell a product or service directly but it gives a friendly message to the reader.
This letter will not secure the desired response immediately but the friendly feeling it
has created will pave the way for business relations in the future.
The task of keeping friendly relations is another challenge to the writer. The
friendly feeling must be maintained in dealing with regular customers. The business
letter must always give the impression of the company’s good name and reputation. This
is known as goodwill.
