PROJECT CHARTER

PROJECT NAME: ANNUAL DINNER EVENT

1) INTRODUCTION
- Many companies organize annual dinner events as appreciation towards their
employees for their hard work and also dedication throughout the year. For
some, the annual dinner is just a simple get-together, relax, unwind and feel
freedom after hardworking during the year. Every year, Far & co. organize
annual dinner event, but this year the company want to more interesting for
lovely employees. Next, Far & co. want to do an annual dinner event at
Mandarin Oriental Hotel, Kuala Lumpur.

2) PROJECT NEED
- Event space must be able to accommodate 120 guests including tables and
chairs for seating.
- The event must have a complete list of special guests so that there is no waste
such as food and drinks.
- Position of guests of honor and special guests according to protocol order
including tagging to ease for them.
- Souvenirs or gifts for those who come on the day.

3) PROJECT OBJECTIVE
- As part of the company’s team-building exercise where all staffs can get know
each other hence instilling teamwork between one another and also between
departments.
- To create a friendly environment and healthy place where resources would
enjoy working in the organization and also maintain long-term professional
relationships.
4) PROJECT MILESTONE

- The first week, more to discuss with the leader and meet human resources for
discussing budget planning. In addition find a sponsor to back up our budget and
also survey all resources needed like food, drink, and banquet places such as a
hotel.
- The second week, just about special guests. because not all of them have time to
meet and usually companies should make an appointment to meet them.
- The third week is about buying souvenirs or gifts for those who come on the day
and also set up all related with an annual dinner event at the hotel.
- The fourth week is the last before the annual dinner is held on the 27th.

5) BUDGET ESTIMATION

- The project budget is RM 20,000


- Budget must include: Food service (RM 70 × 120) = RM 8,400
: Hotel (RM 300 per hour) = RM 300 × 4 hours = RM 1,200
: Cleanup services = RM 500
: Souvenirs or gift (RM 30 × 120) = RM 3,600
: Guests Entertainment = RM 700

6) ASSUMPTION

- We assume some stakeholders are not actively participating.


- We assume the budget is not enough or over the limit.
- We assume maybe to complete this project within a few months.
- Don’t have a banquet place.

7) CONSTRAINTS

- Budget over the limit.


- Resource maybe not be enough.
- Fix a project completion date.

8) DELIVERABLES

- This event has to be a success and at the same time must be a grand event this
year. So we found a place at Mandarin Oriental Hotel, Kuala Lumpur to do an
annual dinner event there.

9) KEY STAKEHOLDERS

10) RISK

- Final acceptance may be delayed as it requires a third-party inspection and


approval.
- Guests cancel last minute.
- Resources maybe not be enough for example food and drinks.
