ABSTRACT

The system will be used in the police station whereby the accused will first write statement. The

system will also produce daily reports. The research was carried out at Ruiru police station by the

use of questionnaires, interviews and observation. The questionnaires were distributed to the

accused where the responded on how the service are being offered in the police station. The

personnel in charge of the police station were also interviewed and more information concerning

the police station were drawn. The methodology used in design of the system was system

development lifecycle(SDLC) and structured analysis and design methodology(SSADM)

The system is aimed at improving service delivery.

CHAPTER ONE

INTRODUCTION

The online security system is intended to automate all the police stations and posts within the

country. This will enable the police to give their statement online hence enabling the prosecutor to

access this information easily the witness will also give there evidence easily

hence eliminating the current problem where by files get lost time to time hence endangering cases

1.2 AREA OF SCOPE

The system will mainly cover the police stations and posts within the country as well as the

prosecutor’s office

1.3 OVERVIEW OF THE CURRENT SYSTEM

The current system is entirely manual. A person wishing to make a write a statement first has to

queue waiting for his or her turn. When he reaches the counter he/she is issued with a statement

sheet, after which he/she proceeds to the next counter where he gives out the statement sheet and

waits to be served then he/she moves to to the next counter and wait for the package to be delivered.

At the end of the day, the statement sheet books plus the statement sheets are collected and sampled

for the manager to come and do some accounting work.

With the current system in work the police station will continue experiencing the problems of

delays in their delivery of service therefore because of the numerous problems being experienced

by the management it has opted to computerize the offered areas so as to improve quality of service

to the clients .

1.4 CURRENT SYSTEM LIMITATIONS

I) Backups are not available in case of lose of the statement sheet book.

ii) in case there is a deficit at the end of the day it will be hard to keep track of each statement sheet

and find out where the error is

iii)its time consuming

iv)there is inaccuracy in the whole process becouse the system is prone to errors

v)storage of information is done manually and stored in the manager’s office

vi)data can be tempered with easily if left carelessly

1.5 PROPOSED SYSTEM OVERVIEW

The proposed system system will automate all the activities of the write a statement and payment

sections . It will really try to eliminate the problem encountered by the current system.

LITERATURE REVIEW

2.0 OBJECTIVES

the project objectives are as follows

2.1 MAIN OBJECTIVES

I) to design test, and Implement a new system

ii) To make sure there are backups available because one can backup the data online

iii)To improve efficiency and service delivery

iv)Minimize expenses on stationary

v)To help the accused be served faster

iv)introduce security measures such as use of passwords to limit access of unauthorised people from
accessing the system

2.2 SPECIFIC OBJECTIVES

I) To produce up to date reports for the management

ii)to make retrieval of records easier hence accused will be served in a quicker way

ii)updating of records will be easier

iv)statement sheet will be printed when any payment is made

v) calculations of daily operations is made easier

SYSTEM ANALYSIS AND DESIGN

3.0 METHODOLOGY

System development life cycle (SDLC) and structured system analysis and design methodology

(SSADM) will be used to analyse the problem and design a new system.

The reason for choosing these techniques is that they are easy to understand and allows design of a

system step by step

3.2 SYSTEM INVESTIGATION

During analysis, I used the following fact finding techniques to investigate the current system

-interviews

-questionnaires

-inspection of records

- observation

3.3 OBSERVATION

At this stage I had a chance to observe how activities are carried out at the police stations .from my

observation , I saw a need of having a computerized system that could help manage the variause

problems and speed up operations at the police station.

3.4 FACTS RECORDING REPORT

I also had a chance to go through the relevant documents and records in the police station. I had

access to the files and statements sheet books kept in the managers office

3.5 FEASIBILITY STUDY

This is study usually carried out to determine whether or not the new (proposed system)will take

effect. The different types of feasibility studies that i carried out are as follows

1. Technical feasibility

this is a study usually carried out to determine weather the current computer resources can sustain

the new system. It mainly deal with hardware, software and the personnel capable of supporting the

system, However there was no hardware or software available

2.economical feasibility

this is carried out to establish the viability of the proposed system. do the benefits of the proposed

system outweigh the disadvantages I.e in development and running the system?

The proposed system if implemented in the long run, the cost incurred for the implementation will

be outweighed

3.operational feasibility

a study here is done to determine if the proposed system will be able to perform the intended

operation within the existing setup and the personnel the proposed system will not conflict with the

running of the police station

4.social feasibility

the users of the system will like the proposed system since it will solve there tedious work and
problems

3.6 FEASIBILITY STUDY REPORT

3.7 INTRODUCTION

This is the feasibility study report carried out on the computerization of the online crime solution

management system at the police stations .

Following are the findings.

The police station has no hardware or software necessary to support the new system. Therefore they

have to purchase

No conflict will occur between the proposed system and the police stations is carrying its activities

training of the police and witnesses is a must so that they get the knowledge on how the system

works.
Benefits of the new system will way the cost involved in implementation.

Efficiency will be within the police stations as delivery of service will be faster.

3.9 CONCLUSION

From the findings the new proposed system is viable and thus a new system can be developed and

implemented.
