GOAL

Document Purpose:
This document will provide instructions on how to display a Descriptive Flex Field (DFF) in the Requisition Approval
Notification template.

SOLUTION

Step 1: Generate Sample XML File:


1. Find a job requisition that contains the DFFs and take note of the Job Requisition ID
2. Access BI Publisher (Tools > Reports and Analytics)
3. In the catalog, navigate to Shared Folders > Human Capital Management > Recruiting
4. Select the Requisition folder; drop-down on More and select Copy 

5. Navigate to the following folder: Shared Folders > Custom > Human Capital Management
6. Select the Recruiting folder; drop-down on More and select Paste 

7. Select the link to Edit on the RequisitionDM data model 


8. Select the Data tab
9. Enter the Job Requisition ID in the second input text box towards the top
10. If needed, drop-down to increase the number of Rows in the results
11. Select the View button
12. Select the Export button to export the results as a sample data file 

Obtaining the Job Requisition ID 

The Job Requisition Id can be found from the "Recruiting - Recruiting Real Time" Subject Area in OTBI. 

1.  From the Home Page, access Tools > Reports and Analytics

2.  Select the button to Browse Catalog to access OTBI

3.  Drop-down on New and select Analysis

4.  In the Subject Area listing, choose Recruiting - Recruiting Real Time

5.  Add the following to the Selected Columns on the Criteria tab:

From the "Job Requisition - Basic Information" Folder add:

Job Requisition Number


Job Requisition Title
Job Requisition ID

6.  Add a filter for the Job Requisition Number

7. Select the Results tab and use the returned Job Requisition ID pertaining to the specific requisition

 
 

Step 2: Add the Flexfield to the Requisition Approval Template


1. Access BI Publisher (Tools > Reports and Analytics)
2. In the catalog, navigate to Shared Folders > Custom > Human Capital Management > Recruiting >
Requisition
3. Select the link to Edit on the Requisition Approval template 

4. In the next page, select the link to Edit under Requisition Approval Notification 

5. Save the file to your desktop


6. Open the file in Microsoft Word
7. Select the BI Publisher tab, then select Sample XML in the ribbon 

8. Navigate to and select the sample XML file exported through the above steps
9. Use the list of fields from the XML to add the Flexfield to the template
10. Save the updated template

 
Step 3:  Upload the Updated Template to Fusion
1. Access BI Publisher (Tools > Reports and Analytics)
2. In the catalog, navigate to Shared Folders > Human Capital Management > Recruiting > Requisition
3. Select the link to Edit on the Requisition Approval template 

4. In the next page, select the link for Properties under Requisition Approval Notification 

5. Under the Templates section, select to Upload the updated template 


6. In the Upload Template File window, browse to the template on your desktop and specify a Locale, if needed
7. Select the OK button to exit the Upload Template File window
8. Select the Save button to save the template

Job Requisition Descriptive Flexfields (DFFs) in the RequisitionDM data model do not automatically
translate to alternate languages. 
If the DFF is based on a lookup, Recruiting uses the Code field in the lookup to populate the Recruiting tables. In order for
a lookup-based DFF to be translated into an alternate language in the requisition approval notification, the RequisitionDM
data model would need to be customized to use the Meaning field from the lookup, which carries the translated values.
