QUALITY ASSURANCE AT HINDUSTAN PUMPS

Quality Assurance at Hindustan Pumps is underpinned by the Hindustan

Pumps Quality Management System which is certified from BUREAU OF
INDIAN STANDARDS to the latest ISO 9001:2008 Quality Management
Systems. We strive to achieve perfection through our product realization
processes by utilizing tools such as Advanced Quality Planning (APQP), Failure
Modes Effect Analysis (FMEA) and Product Part Approval Process (PPAP) which
consist of Standard Operating Procedures (SOP), Control Plans, Process Flow
Charts, Tooling Check Sheets, Final Inspection Standards, and Packaging
Standards etc. We follow modern Management Practices like - Total Productivity
Maintenance (TPM), Kaizen teams, Kabana, Self-Study Groups which further
streamlines operations at the manufacturing end and results into complete
elimination of waste. We focus on prevention rather than reaction, True Root
Cause Analysis, Zero defects and rapid and effective resolution of customer
issues.

12
HOW DOES IT WORK?

When it comes to quality excellence, work at Hindustan Pumps begins at the very

start of a product’s design and development. At Hindustan Pumps, the concept of
quality is defined as the methods used to design, manufacture, deliver and support a
product, service or solution destined for use by a customer. This set of methods,
guided by the management system, are precisely defined and continuously improved,
and are applied from the beginning to end of every project.

The requirements for each project are clearly defined, which guides the management
of every new project. The thoroughness and accuracy of these requirements directly
determines the quality of the finished product and our ability to meet customer
expectations. The project requirements go hand in hand with detailed planning. Each
milestone is minutely planned, and must be scrupulously met. Throughout the
project’s life, key indicators allow the team to monitor progress. These deal with
every part of the product’s development, and measure the effectiveness at each stage
of the lifecycle.

Producing the best possible product also demands effective internal communication.
Every member of an organization needs to feel involved – and valued. Internal
motivation and empowerment is an important priority at Hindustan Pumps.

Conclusion: A never-ending quest Quality Excellence is more than a buzzword

at Hindustan Pumps. It’s a serious concept, and a working philosophy that is
continuously improved.

13
WHAT IS ISO?

ISO 9001 is a set of quality management standards, recognized worldwide, developed

and controlled by the International Organization for Standardization (ISO) in Geneva,
Switzerland. The documents that define the ISO 9001 standard, adopted by more than
100 countries, provide a quality management system philosophy and guidance, as
well as specifications to which the quality system must adhere. This means
that Hindustan Pumps has established a systematic approach to quality
management, and is managing its business to ensure that customer needs are clearly
understood, agreed and fulfilled.
ISO 9001:2008 (to which Hindustan Pumps is certified) is the most stringent of the
ISO 9000 standards. ISO 9001 requires that a company meet a set of requirements
aimed primarily at achieving quality and customer satisfaction at all program stages
from design through servicing.

14
WHAT DOES ISO REGISTRATION MEANT FOR
HINDUSTAN PUMPS?
Hindustan Pumps uses proven management tools and processes which have been
continuously developed and improved since our inception. By "proven" we mean
validated by ISO 9001 registration. To achieve this, independent third party auditors
evaluated all aspects of our business to verify that we do what we say we do -
consistently.

The ISO registration is not a single event but a long-term commitment to quality and
customer satisfaction. Although we attained global ISO 9001 registration in 2000, we
must continue to prove to an independent external auditor at least each year that our
quality system is effective and that our process improvement efforts are ongoing.

HOW DOES ISO ENCOURAGE CONTINUOUS

PROCESS IMPROVEMENT?
To ensure we are doing business as our QMS procedures say we do, we implemented
an internal audit system. Several times a year, programs and functional areas are
subjected to a rigorous review by a staff of personnel trained in auditing techniques.
These auditors review evidence that our business complies with our QMS procedures,
and generate CAPAs (Corrective & Preventive Actions) for identified
nonconformities. The CAPA owners identify the root cause and implement corrective
or preventive actions; planned preventive action ensures that the problem does not
reoccur. Our Quality Assurance organization monitors the status of CAPA’s, to
ensure that corrections are made in a timely fashion. Follow-up audits are conducted
to verify that corrective actions are implemented and effective. Audit statistics are
compiled and presented to Hindustan Pumps senior staff for review.

15
WHAT DOES ISO 9001 MEANT FOR OUR
CUSTOMERS?

This means Hindustan Pumps has established a systematic approach to quality

management, focused on the customer, and is managing its business to ensure that
customer needs are clearly understood, agreed and fulfilled. It also means that we are
committed to continuously improving our processes, and the products and services
which we provide.

WORKING CAPITAL MANAGEMENT

WORKING CAPITAL MANAGEMENT

One of the most important areas in day-to-day management of the firm deals with the

management of working capital, which is defined as all the short-term assets used in

daily operations. These consist primarily of cash, marketable, securities, account

receivable and inventories.

32
Some of the decisions taken in working capital management are:

 An adequate supply of raw materials.

 Cash to meet the operation payments.

 The ability to grant credit to customers.

 The capacity to wait for market for its finished products.

 Investment in various current assets.

 Appropriate sources of fund to finance current assets.

 Proportion of long term and short term funds to finance current assets.

It may be clear that the objective of working capital management is to maintain a

satisfactory level to working capital. In other words, the current assets should not

only be sufficient enough to cover the current liabilities but at the same time should

also ensure the reasonable amount of safety margin. This is possible only when the

different components of working capital are proper balanced.

CASH MANAGEMENT

INTRODUCTION

33
Cash section is an important section of Administration, Finance & Accounts

Department. It deals with the employees, contractors & suppliers for their payments.

FUNCTIONS

The main functional areas of the Cash Section are as follows:-

 Liaison with Bankers

 Fund Management

 Daily Fund Monitoring and reporting

 Vouchers checking & control

 Preparation & signing of cheques

 Bank Reconciliation

 Coordination with EDP

 Preparation of Cash Book

 Control of Physical Cash

 Bank Guarantees control

 Coordination with other sections and deptts.

 Liaison with Bankers:-

This section is required to closely interact with the bankers at times even on minute-

to-minute basis to ensure smooth functioning.

34
 Fund Management

Fund allocations are made by SAIL corporate office on time-to-time basis whereas

the payments are required to be made evenly throughout the month. This is done

through rationing, prioritizing and constant monitoring so that all the obligations are

met and at the same time all the payments are duly honored.

 Daily Fund Monitoring and reporting

This involves constant monitoring the fund availability, project the requirements to

the higher authorities based on discussions with the payment section, report the

management about the availability & utilization of funds on time to time basis.

 Vouchers checking & control

Voucher received in the cash section are as follows:-

 Cash payment vouchers

 Cash Receipt vouchers

 Bank payment vouchers

 Bank receipt vouchers

 Adjustment vouchers

Vouchers with the required supporting documents are sent to the cash section for

making payments and receiving deposits. These vouchers are scrutinized before

processing for payment / deposits.

35
 Preparation & signing of cheques

For every bank payment voucher, the output is cheque. Normally around 200-250

cheques are prepared on average per day. These cheques are to be authenticated

before issue by 2 officers.

 Bank Reconciliation

Bank reconciliation is a very important aspect of finance & accounts function.

Through this process the cheques issued & instruments deposited are compared with

the payments made and credits given by the bank. Differences if any are sorted out by

passing necessary accounting entries.

 Coordination with EDP

The acceptance and processing of vouchers, cheques printing, organization of Central

Bill Clearance System (CBCS) all such activities are computerized. Necessary

hardware & software is supported by our EDP deptt.

 Preparation of Cash Book

After all the payments & receipt of cash & cheques are reconciled, a consolidate cash

book comprising cash and bank data is prepared.

36
 Control of Physical Cash

This involves dealing with the receipt and payment in terms of hard cash, its custody.

Cash deposits into and withdrawals from the bank. Custody of cash and any other

specified documents. Operation of a currency chest and a petty cash chest.

 Bank Guarantees control

Custodial function of Bank Guarantees sent by various sections.

 Coordination with other sections and deptts

Interaction and coordination with related agencies such as CISF, Garage, various

branches of the banks.

MANAGEMENT OF CASH

Cash is the important current asset for the operation of the business. Cash is the basic

input needed to keep the business running in the continuous basis, it is also the

ultimate output expected to be realized by selling or product manufactured by the

firm.

37
The firm should keep sufficient cash neither more nor less. Cash shortage will disrupt

the firm’s manufacturing operations while excessive cash will simply remain ideal

without contributing anything towards the firm’s profitability. Thus a major function

of the financial manager is to maintain a sound cash position.

Cash is the money, which a firm can disburse immediately without any restriction.

The term cash includes coins, currency and cheques held by the firm and balances in

its bank account. Sometimes near cash items such as marketing securities or bank

term deposits are also included in cash. Generally when a firm has excess cash, it

invests it is marketable securities. This kind of investment contributes some profit to

the firm.

Need to hold cash

The firm’s need to hold cash may be attributed to the following three motives:-

 The Transaction Motive: The transaction motive requires a firm to hold cash

to conduct its business in the ordinary course. The firm needs cash primarily to

make payments for purchases, wages and salaries, other operating expenses,

taxes, dividends, etc.

 The Precautionary Motive: A firm is required to keep cash for meeting

various

38
contingencies. Though cash inflows and outflows are anticipated but there may

be variations in these estimates. For example a debtor who pays after 7 days

may inform of his inability to pay, on the other hand a supplier who used to

give credit for 15 days may not have the stock to supply or he may not be in

opposition to give credit at present.

 Speculative Motive: - The speculative motive relates to the holding of cash for

investing in profit making opportunities as and when they arise. The

opportunities to make profit changes. The firm will hold cash, when it is

expected that interest rates will rise and security price will fall.

INVENTORY MANAGEMENT

WHAT IS INVENTORY?

Despite its importance to the supply chain, inventory is not universally well

understood. It is variously characterized, both positively and negatively, as an

economic asset to a non-income-producing use of capital funds. Only when

considered in light of all quality, client service and economic factors—from the

viewpoints of purchasing, manufacturing, sales and finance—does the whole picture

of inventory become clear. No matter the viewpoint, effective inventory management

is essential to supply chain competitiveness.

39
Inventory is a list for goods and materials, or those goods and materials themselves,

held available in stock by a business. Inventory are held in order to manage and hide

from the

customer the fact that manufacture/supply delay is longer than delivery delay, and

also to ease the effect of imperfections in the manufacturing process that lower

production efficiencies if production capacity stands idle for lack of materials. In

other words, Inventory is a quantity or store of goods that is held for some purpose or

use (the term may also be used as a verb, meaning to take inventory or to count all

goods held in inventory). Inventory may be kept "in-house," meaning on the premises

or nearby for immediate use; or it may be held in a distant warehouse

or distribution center for future use. With the exception of firms utilizing just-in time

methods, more often than not, the term "inventory" implies a stored quantity of goods

that exceeds what is needed for the firm to function at the current time (e.g., within

the next few hours).

WHY KEEP INVENTORY?

Why would a firm hold more inventory than is currently necessary to ensure the

firm's operation? The following is a list of reasons for maintaining what would appear

to be "excess" inventory.

 Meet Demand

40
In order for a retailer to stay in business, it must have the products that the customer

wants on hand when the customer wants them. If not, the retailer will have to

backorder the product. If the customer can get the good from some other source, he or

she may choose to do so rather than electing to allow the original retailer to meet

demand later (through back-order). Hence, in many instances, if a good is not in

inventory, a sale is lost forever.

 Keep operation running

A manufacturer must have certain purchased items (raw materials, components, or

subassemblies) in order to manufacture its product. Running out of only one item can

prevent a manufacturer from completing the production of its finished goods.

Inventory between successive dependent operations also serves to decouple the

dependency of the operations. A machine or workcenter is often dependent upon the

previous operation to provide it with parts to work on. If work ceases at a workcenter,

then all subsequent centers will shut down for lack of work. If a supply of work-in-

process inventory is kept between each workcenter, then each machine can maintain

its operations for a limited time, hopefully until operations resume the original center.

 Lead time

41
Lead time is the time that elapses between the placing of an order (either a purchase

order or a production order issued to the shop or the factory floor) and actually

receiving the goods ordered. If a supplier (an external firm or an internal department

or plant) cannot supply the required goods on demand, then the client firm must keep

an inventory of the needed goods. The longer the lead time, the larger the quantity of

goods the firm must carry in inventory.

 Hedge

Inventory can also be used as a hedge against price increases and inflation. Salesmen

routinely call purchasing agents shortly before a price increase goes into effect. This

gives the buyer a chance to purchase material, in excess of current need, at a price

that is lower than it would be if the buyer waited until after the price increase occurs.

 Quantity Discount

Often firms are given a price discount when purchasing large quantities of a good.

This also frequently results in inventory in excess of what is currently needed to meet

demand. However, if the discount is sufficient to offset the extra holding cost

incurred as a result of the excess inventory, the decision to buy the large quantity is

justified.

 Smoothing Requirements

42
Sometimes inventory is used to smooth demand requirements in a market where

demand is somewhat erratic.

MANAGEMENT OF INVENTORY

Inventories constitute the most significant part of current assets of a large majority of

companies in India. On an average, inventories are approximately 60 % of current

assets in public limited companies in India. Because of the large size of inventories

maintained by firms maintained by firms, a considerable amount of funds is required

to be committed to them. It is, therefore very necessary to manage inventories

efficiently and effectively in order to avoid unnecessary investments. A firm

neglecting a firm the management of inventories will be jeopardizing its long run

profitability and may fail ultimately. The purpose of inventory management is to

ensure availability of materials in sufficient quantity as and when required and also to

minimize investment in inventories at considerable degrees, without any adverse

effect on production and sales, by using simple inventory planning and control

techniques.

Needs to hold inventories:-

There are three general motives for holding inventories:-

· Transaction motive emphasizes the need to maintain inventories to

facilitate smooth production and sales operation.

43
· Precautionary motive necessities holding of inventories to guard against

the risk of unpredictable changes in demand and supply forces and other

factors.

· Speculative motive influences the decision to increases or reduce inventory

levels to take advantage of price fluctuations and also for saving in

reordering costs and quantity discounts etc.

Objective of Inventory Management:-

The main objectives of inventory management are operational and financial. The

operational mean that means that the materials and spares should be available in

sufficient quantity so that work is not disrupted for want of inventory. The financial

objective means that investments in inventories should not remain ideal and

minimum working capital should be locked in it.

The following are the objectives of inventory management:-

 To ensure continuous supply of materials, spares and finished goods.

 To avoid both over-stocking of inventory.

 To maintain investments in inventories at the optimum level as required by the

operational and sale activities.

 To keep material cost under control so that they contribute in reducing cost of

production and overall purchases.

44
 To eliminate duplication in ordering or replenishing stocks. This is possible

with the help of centralizing purchases.

 To minimize losses through deterioration, pilferage, wastages and damages.

 To design proper organization for inventory control so that management.

 Clear cut account ability should be fixed at various levels of the organization.

 To ensure perpetual inventory control so that materials shown in stock ledgers

should be actually lying in the stores.

 To ensure right quality of goods at reasonable prices.

 To facilitate furnishing of data for short-term and long term planning and
control of inventory

RESEARCH METHODOLOGY

49
RESEARCH
Research can be defined as systematic investigation to establish facts. Research
methodology is defined as a highly intellectual human activity used in the
investigation of nature and matter and deals specifically with the number in which the
data is collected, analyzed and interpreted.

NEED OF THE STUDY

As in this competition you must be aware about the customer needs and wants &
what a customer expects from the company. You must have the information or a
customer data base if you want to stay in the market & and to have competitive edge
in the market. After conducting this study we must be able to understand what
customer’s wants from a brand, why he switches to other brand. What are the factors
which force him to purchase Hindustan Pumps products. This research will tell what
factor customer wants. Thus he can convert maximum of potential customer into
buyers if he knows what exactly triggers the customer decision. On the other hand
study will also give an estimation of the demand of the Volta gram products in India.
This study will help Volta gram in formulating strategies as per the customer needs
and deliver them the products which they want from the company, which will be
profitable for the company.

OBJECTIVES OF THE STUDY

• To find out factors considered while purchasing Hindustan Pumps products.

• To find out the performance of customers regarding the Hindustan Pumps products.
• To know the frequency of purchase of Hindustan Pumps products.

RESEARCH DESIGN
Research design is a blueprint for any kind of research. It provides direction to the
research for further carrying on the research in the population. Research design
50
provides the glue that holds the research project together. A design is used to
structure the research, to show how all the major parts of the research project- the
samples or groups, measures, treatments or
programs and methods of assignment- work together to try to address the central
research questions. A research design lays the foundation for conducting the project.
A good research will ensure that the research project is conducted effectively and
efficiently. Research design involves following components or tasks:-

• Define the information needed.

• Design the exploratory, descriptive and casual phases of research.
• Specify the measurement and scaling procedure.
• Construct a questionnaire or an appropriate form of data collection.
• Specify the sampling process and sample size.
• Develop a plan for data analysis.

TYPES OF RESEARCH DESIGNS

DESIGN

In doing this research, descriptive research design is used

Descriptive Design
Descriptive Research Also Known As Statistical Research, Describes Data And
Characteristics About The Population Or Phenomenon Being Studied. It Basically
Deals With Everything That Can Be Counted And Studied. Descriptive Research Is
51
Pre-Planned And Structured. A Descriptive Design Requires Clear Specification Of
The WHO, WHAT, WHEN, WHERE, WHY And WAY (the Six W’s) Of The
Research.
The objective is to know the percentage (%) of phenomenon in population.
• All the perceptual studies are come under descriptive study.
• Where comparison of two variables are done that in descriptive research.
• In this design the variables are being predicted.

Exploratory Research Design

Exploratory research is a method established to explore phenomena that have not
before been researched or adequately explained. Its primary goal is to notify us about
where we may get a modest bit of information. With this strategy, the researcher
obtains a broad notion and use research as a tool to direct them more quickly to
concerns that may be addressed in the future. Its purpose is to discover the why and
what of a subject under investigation. In short, it is a type of research design that is
responsible for finding the why of the events through the establishment of cause-
effect relationships. The most popular methods of explanatory research are:

 Literature research
 In-depth interview
 Focus groups
 Case studies

Causal Research
Causal research, also known as explanatory research or causal-comparative research,
identifies the extent and nature of cause-and-effect relationships between two or more
variables.

It’s often used by companies to determine the impact of changes in products, features,
or services process on critical company metrics. Some examples:

 How does rebranding of a product influence intent to purchase?

 How would expansion to a new market segment affect projected sales?
 What would be the impact of a price increase or decrease on customer loyalty?

52
To maintain the accuracy of causal research, ‘confounding variables’ or influences —
e.g. those that could distort the results — are controlled. This is done either by
keeping them constant in the creation of data, or by using statistical methods. These
variables are identified before the start of the research experiment.

As well as the above, research teams will outline several other variables and
principles in causal research:

 Independent variables

The variables that may cause direct changes in another variable. For example, the
effect of truancy on a student’s grade point average. The independent variable is
therefore class attendance.

 Control variables

These are the components that remain unchanged during the experiment so
researchers can better understand what conditions create a cause-and-effect
relationship.

 Causation

This describes the cause-and-effect relationship. When researchers find causation (or
the cause), they’ve conducted all the processes necessary to prove it exists.

 Correlation

Any relationship between two variables in the experiment. It’s important to note that
correlation doesn’t automatically mean causation. Researchers will typically establish
correlation before proving cause-and-effect.

 Experimental design

Researchers use experimental design to define the parameters of the experiment —

e.g. categorising participants into different groups.

 Dependent variables

These are measurable variables that may change or are influenced by the independent
variable. For example, in an experiment about whether or not terrain influences
running speed, your dependent variable is the terrain.

53
  Sources of Data Collection

Data is a collection of measurements and facts and a tool that help an individual or
a group of individuals to reach a sound conclusion by providing them with some
information.
It helps the analyst understand, analyze, and interpret different socio-economic
problems like unemployment, poverty, inflation, etc. Besides understanding the
issues, it also helps in determining the reasons behind the problem to find possible
solutions for them. Data not only includes theoretical information but some
numerical facts too that can support the information. The collection of data is the
first step of the statistical investigation and can be gathered through two different
sources, namely, primary sources and secondary sources.

DATA COLLECTION SOURCES:

Primary data: The data that is collected first hand by someone specifically for the
purpose of facilitating the study is known as primary data. So in this research the data
is collected from respondents through QUESTIONNAIRE.
PRIMARY SOURCES
The data required for the study has been collected from-
 QUESTIONNAIRE survey conducted among 50 peoples in Karnal.
 PERSONAL INTERVIEWS with the customers who used to buy the products.
Advantages of the Primary data collection method
1 Primary data can be collected from a number of ways.

2 Primary data is current and it can better give a realistic view to the researcher
about the topic under consideration. It provides unbiased information.

54
3 It is relatively cheap and no prior arrangements are required.

Secondary data: Secondary data refer to information gathered by someone other

than the researcher conducting the current study. Such data can be internal or external
to the organization and accessed through the Internet or perusal of recorded or
published information.
Secondary sources of data provide a lot of information for research and problem
solving. Such data are as we have seen mostly qualitative in nature.

SECONDARY SOURCES:
Secondary data is the data that has been used in the past. The researcher
can obtain data from the data sources, both internal and external, to the organization.

Internal sources of secondary data:

 Organization’s health and safety records

 Mission and vision statements
 Financial Statements
 Magazines
 Sales Report
 CRM Software
 Executive summaries
External sources of secondary data:

 Government reports
 Press releases
 Business journals
 Libraries
 Internet

The secondary data collection methods, too, can involve both quantitative and
qualitative techniques. Secondary data is easily available and hence, less time-
consuming and expensive as compared to the primary data. However, with the
secondary data collection methods, the authenticity of the data gathered cannot be
verified.

Advantages to the secondary data collection method

1 It saves time that would otherwise be spent collecting data.
55
2 It provides a larger database (usually) than what would be possible to collect on
ones own.

Conclusion

Regardless of data type and how they are collected, surveillance systems can be
successful if the implementers and end users understand the limitations of both the
data and the collection methodology and incorporate that knowledge into their
interpretation procedures.

importance to design.
 76 percent people feels that the quality of liberty shoe is excellent where as
only 4 percent feel it poor.
 According to the consumers of Hindustan Pumps products, company do not
compromise with the quality.
 Almost everyone change their purchasing decision, if there is any rise in
prices of Hindustan Pumps products because price matters for everyone.
 48 percent i.e. maximum people are facing problems regarding price.
 Nowadays, Internet users are increasing day by day. So it can be said that
internet attract more customers.
 References plays a very important role in selecting a products, which is
analyzed in the survey.
 Survey says that almost all the customers are satisfied with the Hindustan
Pumps products except some percentage and also they have no complaints
regarding the products.

71
LIMITATIONS:-

 The main constraint in the study was time: the duration of training was not
enough so as to carry out this survey all across India. Due to lack of time the study
was conducted in karnal only.
 Scaling and rating questions were not considered in the study because responses
were collected through telephone interview.
 Non-cooperative approach and rude behaviour of the respondents.
 Biased respondents.

SUGGESTIONS

73
SUGGESTIONS

1. The firms have low current ratio so it should increase its current ratio where it
can meet its short term obligation smoothly.

2. Liquidity ratio of the firm is not better liquidity position in over the five years.
So I suggested that the firm maintain proper liquid funds like cash and bank
balance.

3. It should enhance its employee’s efficiency, more training needed to its

employees in order to increase its production capacity and minimize mistakes
while performing the tasks, also more safety precaution need to implement to
the employees who directly working on sugar production process.

4. The firm high inventory so I suggested that the firm must reduce the stock by
increase sales.

5. The direct material cost of the firm is very high so it’s my advice to the firm
that to decrease the direct material cost by purchasing raw material from the
other suppliers.

6. The firms should have proper check on the manufacturing process of the plant.
