What is AIS?
An accounting information system (AIS) is a
structure that a business uses to collect, store,
manage, process, retrieve, and report its financial
data so it can be used by accountants, consultants,
business analysts, managers, chief financial officers
(CFOs), auditors, regulators, and tax agencies.

Main components of AIS

An accounting information system is a way of tracking all accounting and business activity for a
company.

Accounting information systems generally consist of six components

Procedures and Instructions
The procedure and instructions of an
AIS are the methods it uses for
collecting, storing, retrieving, and
processing data.
These methods are both manual and
automated.
The data can come from both internal
sources (e.g., employees) and
external sources (e.g., customers
online orders).
Procedures and instructions will be
coded into the AIS software.

AIS Software
AIS software compenents are computer programs used to store, retrieve, process, and
analyze the company's financial data.
Quality, reliability, and security are key components of effective AIS software.

IT Infrastructure
the hardware used to operate the accounting information system is called the infrastructure

Most of these hardware items a business would need to

have anyway and can include the following:

Computers
Mobile Servers Routers
Printers
devices
In addition to cost, factors to consider in selecting hardware include speed, storage
capability, and whether it can be expanded and upgraded.
the hardware selected for an AIS must be compatible and optimal with the intended
software.
Internal Controls
The internal controls of an AIS are the security measures it contains
to protect sensitive data.
An AIS must have internal controls to protect against unauthorized
computer access and to limit access to authorized users.
An AIS contains confidential information belonging to the company.
This data may include Company financial data,
Financial information of suppliers and vendors,
Salary and personnel information, Credit card
numbers, Customer information etc
All of the data in an AIS should be encrypted
An AIS also needs internal controls that protect
it from computer viruses, hackers, and other
internal and external threats to network security.
Benefits of AIS
It makes their accounting activities, easier and more accurate, and saves a lot of time.
Helps the company forecast sales, profit, loss etc
Makes it easier to compile financial data for use in taxes, payroll, and other bookkeeping
requirements
Everyone within an organization can access the same system and retrieve the same information.
Simplifies the process of reporting information to people outside of the organization, when
necessary.
AIS saves a lot of time because the accounting process has become easier and the amount of
people needed to complete accounting processes is reduced
Risk of human error is reduced, due to computerised accounting process

The AIS is also helpful for the departments that are not related to accounting
Finance department - cash forecasting
Marketing department - Sales summary, cost information, sales forecasting
Human Resource - Payroll analysis, Employee benefit information,
Projections of future personell costs
Production department - Inventory summaries and production cost analysis

Management
What is HRIS?
An HRIS stores, processes, manages, collects, analyses and reports
information about employee data.
HRIS is basically a data base system that offers important information about
employees in a central and accessible location
When such information is needed, the data can be retrieved and used to
facilitate human resource planning decisions.
It typically also provides HR functions such as recruiting, applicant tracking,
time and attendance management, performance appraisals and benefits
administration.
It may also offer employee self-service functions, and perhaps even
accounting functions.
Objectives of HRIS

Some organizations have

1. Planning to meet the personnel needs of the developed HRIS that also
business by offering adequate, comprehensive
supports
and on-going information system about people
1. recruitment, selection and
and jobs
hiring
2. Development of employees to their full
2. job placement
potential
3. performance appraisals
3. Control of all personnel policies and programs
4. employees benefit analysis
4. To supply up-to-date information and at a
reasonable cost 5. training and development of
5. To offer data security and personal privacy employees
6. health, safety and security
Why do we need HRIS

Clerical work - Manual HR records make it too cumbersome to make entries on

forms and update information regularly. IT is difficult to keep track of the on-going
changes on a timely basis. the clerical work involved is quite labor intensive and
costly
Inaccurate - it reduces the chances of human error while making entries
Accessibility - information is not available centrally, nor easily accessiblee

Analysis - the manual analyses of data are

time consuming and quite often not readily
available for decison making purposes. when
the organization grows in size, the manual
system fails to offer reliable, accurate data at
short notice

information system
Benefits of HRIS
HRIS can process, store and retrieve enormous quantites of data
the records can be updated quickly
information can be readily manipulated, merged and desegregated in response
to special and complex demands and presented promptly
HRIS can monitor, control and influence movement of people from the time they
join the organization till the time they decide to leave the organization.
Reduces paperwork
Simplifies predictive analysis and visualizations
Employees can directly access and make changes to their personal information
without the need to contact HR.
Maintains compliance: HR tasks are highly regulated and there's little to no
margin for error. Many HRIS programs have monitoring capabilities and are
designed with specific compliance regulations in mind. This encourages
organizations to stay compliant and avoid legal issues, penalties and financial
losses.
Offers security and privacy: An HRIS also helps secure employee data and
keep information private. When using paper forms or spreadsheets, information
can easily be accessed by people who may not have the authority to access it.
An HRIS can secure information so that it can only be accessed by authorized
individuals.
