that keep y0u fr0m reaching them.

E-MAIL

Electr0nic mail, usually called e-mail, is quite familiar t 0 m0st students and w0rkers. It
may be used like text, 0r synchr0n0us chat, and it can be delivered t0 a cell ph0ne. In
business, it has largely replaced print hard c 0py letters f0r external (0utside the
c0mpany) c0rresp0ndence, as well as taking the place 0f mem0s f0r internal (within
the c0mpany) c0mmunicati0n (Guffey, 2008). E-mail can be very useful f0r messages
that have slightly m0re c0ntent than a text message, but it is still best used f 0r fairly
brief messages.

Many businesses use aut0mated e-mails t0 ackn0wledge c0mmunicati0ns fr0m the


public, 0r t0 remind ass0ciates that peri0dic rep0rts 0r payments are due. Y0u may als0
be assigned t0 “p0pulate” a f0rm e-mail in which standard paragraphs are used but
y0u ch00se fr0m a menu 0f sentences t0 make the w0rding suitable f0r a particular
transacti0n.

E-mails may be inf0rmal in pers0nal c0ntexts, but business c0mmunicati0n requires


attenti0n t0 detail, awareness that y 0ur e-mail reflects y0u and y0ur c0mpany, and a
pr0fessi0nal t0ne s0 that it may be f0rwarded t0 any third party if needed. E-mail 0ften
serves t0 exchange inf0rmati0n within 0rganizati0ns. Alth0ugh e-mail may have an
inf0rmal feel, remember that when used f0r business, it needs t0 c0nvey
pr0fessi0nalism and respect. Never write 0r send anything that y0u w0uldn’t want
read in public 0r in fr0nt 0f y0ur c0mpany president.

Memos
A mem0 (0r mem0randum, meaning “reminder”) is n0rmally used f0r c0mmunicating
p0licies, pr0cedures, 0r related 0fficial business within an 0rganizati0n. It is 0ften
written fr0m a 0ne-t0-all perspective (like mass c0mmunicati0n), br0adcasting a
message t0 an audience, rather than a 0ne-0n-0ne, interpers0nal c0mmunicati0n. It
may als0 be used t0 update a team 0n activities f0r a given pr0ject, 0r t0 inf0rm a
specific gr0up within a c0mpany 0f an event, acti0n, 0r 0bservance.
Sh0rt f0r “mem0randum,” a mem0 is a type 0f d0cument used t0 c0mmunicate with
0thers in the same 0rganizati0n.  Mem0s (0r mem0randa) are typically used f0r fairly
sh0rt messages 0f 0ne page 0r less, but inf0rmal rep0rts 0f several pages may als0
empl0y mem0 f0rmat.

MEMO FORMAT

A mem0 has a header that clearly indicates wh 0 sent it and wh0 the intended
recipients are. Pay particular attenti 0n t0 the title 0f the individual(s) in this secti 0n.
Date and subject lines are als0 present, f0ll0wed by a message that c0ntains a
declarati0n, a discussi0n, and a summary.

In a standard writing f0rmat, we might expect t0 see an intr0ducti0n, a b0dy, and a


c0nclusi0n. All these are present in a mem 0, and each part has a clear purp 0se. The
declarati0n in the 0pening uses a declarative sentence t0 ann0unce the main t0pic.
The discussi0n elab0rates 0r lists maj0r p0ints ass0ciated with the t0pic, and the
c0nclusi0n serves as a summary.

LETTER
Whenever y0u need t0 c0mmunicate with an0ther c0mpany 0r share imp0rtant news,
business letters can present y0ur message in a classic, p0lished style. Unlike internal
mem0s, business letters are usually written fr0m 0ne c0mpany t0 an0ther, which is
why they’re s0 f0rmal and structured. H0wever, letters are als0 quite versatile, as they
can be used f0r 0fficial requests, ann0uncements, c0ver letters, and much m0re.

Despite the f0rmality, letters can still have a friendly t 0ne, especially because they
include brief intr0ducti0ns bef0re getting t0 the main p0int. Regardless 0f the t0ne y0u
use in y0ur letter, y0ur writing sh0uld remain c0ncise, clear, and easy t0 read.

The business letter’s precise structure is crucial t 0 its l00k and readability. As y0u
