The project report has been prepared in partial fulfilment of the requirement for the
subject. The Research Report on the topic " A STUDY ON WORKING OF RAO AT MPPKVVCL,
JABALPUR” in M.B.A. 3rd Semester in the academic year 2020-22.The core objective of the
internship is to fulfil the requirement of the MBA programme prescribed by the RDVV intern
has to prepare a project report at the end of internship period but the main objective of this
internship is to get the hands-on-experience of the real-world organization. The internship
was completed with the objective of getting practical knowledge about the training and
development programme conducted at MPPKVVCL. The project was undertaken at FINANCE
Department at the MADHYA PRADESH POORV KSHETRA VIDYUT VITARAN COMPANY
LIMITED (MPPKVVCL) OF CENTRAL TRAINING INSTITUTE NAYAGAON JABALPUR.
MPPKVVCL is to provide quality electricity supply services to each customer satisfying his
needs in most efficient and effective manner at reasonable prices through continuous
innovations and by maintaining commercial & financial viability of the company
along with employee’s satisfaction should be done. RAO is a head of circle it releases funds
for circle like Revolving Fund, Temporary Advances, Outsourcing Employees and New
Connections RAO handle all activities of circles. Under RAO working Cash Management,
Payment of Bills, Revolving Fund, Bank Reconciliation Statement (BRS), Pension (Class I &
II Officers), and New Pension Scheme (NPS). In our project duration we found out the
working or RAO, from where the funds come and where the funds are utilized. Finance
section is responsible for the management of funds of MPPKVVCL. It includes the
management of both receipts as well as payments of funds Finance section manages all the
inflow (loans, revenue etc.) and outflow of funds. Under bills section bills of the contractors
are scrutinized and passed through, as per the purchase order like bills of transformers, wires,
conductors, etc. The bills passed in this section are more than 5 lacs. These bills come
through directly RAO or from the suppliers. Account section at CEO office deals with
preparation of financial cash flow statement (P&L, balance sheet cash flow statement) of the
company. The whole project is guided by Mrs. Neha Khandari it was a great learning
experience for me.

RAO (REGIONAL ACCOUNT OFFICE) is a central office of all circles in region.
Collection of funds by the circles is submitted to RAO and the total collection is referred to
CFO (CHIEF FINANCIAL OFFICER).

1. REVENUE FUNCTION:-

 Supervision of Collection Accounts of RAO.

 Reconciliation of Remittances with RAO and MPPMCL (Madhya Pradesh Power


Management Company Limited).

GOMP (Government of Madhya Pradesh).

4. SCRUTINY OF SUPPLIERS BILLS:-

 Bills are entered in Bill receipt register.

 Suppliers Bills are scrutinized/ examined as per terms of the Purchase Order.

 MRC (Material Receipt Certificate) received from Consignee Store and other
documents are checked.

 Adjustment of any Advance already paid is made.

 A deduction of Penalty in case of delay in supply is made.

 Deductions of applicable taxes at source are made.

 Passed bills with Debit slip and other documents is sent to Cash section for payment
for arranging payment as per due deduction.

5. MANAGEMENT OF LOANS:-
 Repayment Schedule as per Terms & Conditions of Loan agreement is prepared.

 Demand received from Lenders is scrutinized.

 Voucher for payment is prepared and sent for payment to Cash Section before Due
Date.

 In case of Govt guaranteed loans, Guarantee fees is paid to GOMP through Treasury.

 Confirmation of Loan Balances to Lenders periodically.

FINANCE (CASH) SECTION

Finance section is responsible for the management of funds of MPPKVVCL. It includes the
management of both receipts as well as payments of funds. Finance section manages all the
inflow (loans, revenue, etc.) and outflow of funds.

REVOLVING FUND & TEMPORARY ADVANCE

REVOLVING FUND (RF):-

The RF fund is for meeting day to day necessary and unavoidable expenses with a view to
facilitate smooth operation of the division and remove procedural hardness. The expenditure
is to be incurred out of revolving fund should be of immediate nature for smooth operation
and continuity of supply including stationary, cleanness, current assets maintains ,
miscellaneous expenses etc.

The expenditure not including in RF

 Hiring of vehicles.

 Salaries, wages and allowances and expenditure of similar nature.

 Expenditure related to civil works except for those work are related to O &M
(Operation and Maintenance) distribution network.

REVOLVING FUND PROCESS:-

• Financial ceiling laid down by the board from time to time must be observed
strictly.

• For the first time sanctioned revolving fund may be drawn through petty cash
voucher from the concerned R.A.O.

• The account of RF should be submitted by him to the respective SE promptly.

TEMPORARY ADVANCES (TA):-

Temporary advance is an advance granted for specific purpose. To meets heavy


unforeseen and urgent expenditure provided satisfactory evidence is produce.

TEMPORARY ADVANCE PROCESS:-

 Temporary advance is given to an individual officer in charge to enable him to


incur certain classes of expenditure by the RAO.

 As such it is to be closed as soon as the purpose for which TA is granted is


over or within a reasonable time.

 Since it is very important that the expenditure actually incurred in a particular


financial year should be brought in to account in the same financial year.

 After incorporating all the expenditure up to the 31 st march every year and
should render the account for adjustment to RAO promptly.

 A second temporary advance for the same purpose should not be granted
without the receipt of account for the first advance.

 It is very important that any time more than one temporary advance is granted
to an individual, the temporary advance account should not mixed together.

 Each temporary advance should be maintained and rendered separately to the


RAO.

BANK RECONCILIATION STATEMENT

A Bank Reconciliation Statement could be defined as the summary of the banking and
business accounts that reconciles a company’s bank account with its financial record.
The statement contains a record of all the deposits, withdrawals and other financial
activities with a bank over a certain period of time.

A company’s cash balance at bank and its cash balance according to its accounting
records usually do not match. This is due to the fact that at any particular date cheques
may be outstanding, money deposited in bank but not recorded in cash book, errors
may have occurred, etc. Therefore, finance section at CFO (CHIEF FINANCE
OFFICER) have to carry out bank reconciliation process and prepare a statement for
the difference between the cash balance in company cash book and the cash balance
according to company’s bank statement.

PROCESS OF BANK RECONCILIATION:-

1. Tick in cash book entries which are in the bank statements.

2. Identify the difference between cash book and bank statement.

3. Adjust cash book with items which are on the bank statement, but not in cash book.

4. Prepare bank reconciliation statement indicating remaining difference between cash


book and bank statement.

Under bills section bills of the contractors are scrutinized and passed through, as per the
purchase order, like bills of transformers, wires, conductors, etc. The bills passed in this
section are more than 5 lakhs. These bills come through the RAO or directly from the
suppliers.

ACCOUNTS SECTION
Account section at CFO office deals with preparation of financial statements (P&L A/c,
balance sheet and cash flow statement, etc.) of the company.

ACCOUNT FUNCTION

PREPARATION OF ANNUAL ACCOUNTS:-

 Compilation of yearly Trial balances of RAOs.

 Merger with Head quarter yearly Trial Balance.

 Deciding Accounting Policies.

 Statutory Audit of Annual Accounts.

 Audit by Comptroller & Auditor General of India.

 Approval by BOD and Company shareholders in AGM (Annual General


Meeting).

 Preparing Business plan of the Company in consultation with Commercial,


Works and Project sections.

 Preparing formats of F&A (Finance and Administration) section of ARR


(Annual Recurring Revenue) of the company for submission to Commercial
section.

 Handling Tax related matters.

 Monitoring progress of preparation of Annexure G (Work Completion reports)


for transferring CWIP (capital work in progress) to Fixed Assets.

ON THE BASIS OF FOLLOWING ACCOUNTS

JOURNAL ENTRIES
A journal entry is the act of keeping records of any transaction either economic or non-
economic. Its show company debit and credit balances. The process of recording transaction
in the journal is called journalising It makes by RAO.

The steps to be followed to record business transactions in a journal are:


Step 1: Ascertain the accounts related to a particular transaction.
Step 2: Find the nature of the related account.
Step 3: Ascertain the rule of debit and credit, applicable to the related account.
Step 4: Record the date of the transaction in the ‘Date Column’.
Step 5: Write the name of the account to be debited in the particulars column with”By” and
the amount to be debited in the debit amount column.
Step 6: Write the name of the account to be credited in the next line starting with ‘To’ and
the amount to be credited in the credit amount column.
Step 7: Write a brief explanation of the transaction as narration.
Step 8: Draw a line across the entire particulars column to separate one journal entry from
the other.

LEDGER

A ledger is a written or computerized record of all the transactions a business has completed.
These transactions are recorded in the ledger in different accounts. Ledger have two sides one
debit and another one is credit. It makes by RAO.

PROCEDURE OF LEDGER:-

1. Ledger posting means nothing but transferring debit and credit items from journal entries
into their respective accounts. In order to do this, we must first ensure that every single
item contains a separate account.

2. While posting entries, the account which has been debited in the journal entry has to be
debited in the ledger as well. However, we have to mention the name of the other
account.

3. Similarly, the account which is credited in the journal entry is recorded on the credit side
of the ledger but the reference is given to the other account in the entry.

4. It is customary to mention the words “To” and “By” as a prefix before debited and
credited accounts respectively.

TRIAL BALANCE

Trial balances are used to prepare balance sheets and other financial statements and are an
important document for auditors. A trial balance is done to check that the debit and credit
column totals of the general ledger accounts match each other, which helps spot any
accounts. It makes by CFO on the basis of RAO ledger Account.

PROCESS OF TRIAL BALANCE:-

1. Calculate the Balances of Each of the Ledger Accounts.

2. Record Debit or Credit Balances in Trial Balance.

3. Calculate Total of The Debit Column.

4. Calculate Total of The Credit Column.

5. Check if Debit is Equal to Credit.


BALANCE SHEET:-

A balance sheet is a financial statement that contains details of a company’s assets or


liabilities at a specific point in time. The balance sheet displays the company’s total assets
and how the assets are financed, either through debit or equity. It can also be referred to as a
statement of net worth or a statement of financial position. RAO make ledger Account with
the help of all transaction activities which is mention in the cash book. RAO submitted
ledger Account in CFO and on the basis of RAO ledger Account, CFO makes balance sheet.
The balance sheet is based on the fundamental equation: 

ASSETS = LIABILITIES + EQUITY

PROCESS OF BALANCE SHEET:-


1. Determine the reporting date.

2. Collect accounts that go on a balance sheet.

3. Compute the total assets.

4. Compute the total liabilities.

5. Arrange liabilities and assets in proper order.

6. Compute shareholder’s equity.

Company started working since 16.07. 2002. The Government of Madhya Pradesh vide order
dated 1stJuly, 02 has incorporated Madhya Pradesh Poorv Kshetra Vidyut Vitaran Company
Limited as a wholly owned Government of Madhya Pradesh Corporations under the
Companies Act, 1956 to undertake activities of distribution and retail supply for and on
behalf of Madhya Pradesh State Electricity Board in the areas covered by the
Commissionaires of Jabalpur, Sagar, Rewa and Shahdol.

The main objectives are to achieving efficiency gains and making necessary changes to make
the Company commercially viable, progressively self-sustainable and less government
dependent and at the same time, balancing the interest of the consumers in regard to quality
of service and economical tariff. The plan would include among other things, metering,

In accordance with Govt. MP decision the name of MP Power Trading Company Ltd has
been changed to MP Power Management Company Ltd. The MP Power Management
Company has been made holding company for all the DISCOMS of MP. The Registrar of
Companies MP has issued the Certificate of Incorporation Consequent upon Change of Name
on 10.04.2012 the electricity supply act 1948 is an enactment in the history of power
development in our country. It aimed at coordinated development of electricity on a regional

The audio-visual class rooms are equipped with air conditioners, overhead projectors, multi-
media Interactive touch screens, Internet access unit, VHS, CD/VCD units which are being
used for trainees and faculty activities like classroom presentations, meetings, conferences

video facilities, and recording systems. For imparting IT skills to the students we have built

2. Research should be rigorous-


It should be rigorous because it helps to follow the procedures to find out the answers related
questions which are relevant and appropriate in nature. The research information consists of
two types of sciences such as physical and social sciences. These two sciences are also varied
from each other.

3. Research should be systematic-


Research should be systematic because if a researcher wants to do a perfect research design
or process then it will have to evaluate or obtained the necessary information from the market
in a systematic manner. It takes various steps to do a perfect or systematic research process
and all the steps of procedures are interlinked to each other.

4. Research should be valid-


It means the information which is collected by the researcher can be the correct and verifiable
by yourself (researcher himself). If our collected information is fair or valid, then our
research will also be ethical in nature.

5. Research should be empirical-


This means that any conclusion drawn is totally based upon ethical or hard evidence gathered
information collected from observations and real-life experiences.

6. The foundation of knowledge-


Research is the foundation of knowledge for the purpose of knowledge and an important
source for providing guidelines or norms for solving different social, business, or
governmental problems. It is a variety of formal training which enables us to understand the
new developments in one’s field in an efficient way

data. It may also focus on body language or visual elements and help to create a detailed
description of a researcher's observations. Researchers usually gather qualitative data through

 QUANTITATIVE:-
Databases Researchers usually use a quantitative methodology when the objective of
the research is to confirm something. It focuses on collecting, testing and measuring
numerical data, usually from a large sample of participants. They then analyse the data
using statistical analysis and comparisons. Popular methods used to gather quantitative
data are:

 Questionnaires

 Test

 Organizational records

 MIXED:-

This contemporary research methodology combines quantitative and qualitative


approaches to provide additional perspectives, create a richer picture and
present multiple findings. This methodology can produce interesting results as it
presents exact data while also being exploratory.

I. Primary Data:-

An instrument is used to collect the required information from the employees and also
interact the employees personally. Primary data helps us in making observation of
employee’s behaviours talk gestures which helped me in identifying the attitude of
employees towards the training program and the effectiveness of the training program in the
organization. Data that has been generated by the researcher himself/herself, specially
designed for understanding and solving the research problem at hand. It is real time data but
its cost effectiveness is expensive and its data is long.

FINDINGS AND SUGGESTIONS

FINDINGS:-

1. In the internship period we briefly understood the working of the working of the
Regional Accounting Office at MPPKVVCL.
2. Understanding of financial profile of MPPKVVCL.
3. The problems faced by the management at RAO.
4. The overall inflow and outflow of cash at RAO with the help of balance sheet.
5. How different activities are performed at RAO.

8. How the books of accounts are maintained at RAO.
9. Understood the Bank Reconciliation Statement of MPPKVVCL at RAO.
10. The major source of income (90%) to RAO is from bills paid by consumer.

12. 30% of energy, electricity supplied is unaccounted.

SUGGESTIONS:-

1. Company should try to convince customer for acceptance of bill so we can release
cash from bank with discount.

2. Company should call and inform customers about cash discount offered for early
payment.

3. Company should keep reminding customers about outstanding amount on a weekly


basis.

4. Company should maintain good relationship with suppliers, for that they have to
make payment on due date.

5. Company should make payment on due date so they can escape from interest.

6. For long outstanding amount suppliers are not ready to supply on credit so
company should try to clear outstanding amount of suppliers so that they can ask
more credit days as far as possible.

CHAPTER - 8

LIMITATION OF RESEARCH

 MPPKVVCL involved in commercial business and there are lot


of information which cannot be shared during such study.

 Beside the best possible co-operation provided by the various


officers of the company, the officers contacted were also busy

with their day to day works and therefore, it was not possible to
study the every aspect in the project.

 Research work carried in Jabalpur only the findings may not be


applicable to the other parts of the country because of social and
culture differences.

 Shortage of time is also the reason for incomprehensiveness.

 Lot of time consumed during survey.

 The functions and activities of MPPKVVCL are too vast, so


they change their strategy day by day. As a result I can’t collect
update information & strategy.

CHAPTER – 9

CONCLUSION

RAO is a head of circle it releases funds for circle like Revolving Fund, Temporary
Advances, Outsourcing Employees and New Connections RAO handle all activities of
circles. Under RAO working Cash Management, Payment of Bills, Revolving Fund, Bank
Reconciliation Statement (BRS), Pension (Class I & II Officers), and New Pension

Scheme (NPS). In our project duration we found out the working or RAO, from where the
funds come and where the funds are utilized.

Finance section is responsible for the management of funds of MPPKVVCL. It includes the
management of both receipts as well as payments of funds Finance section manages all the
inflow (loans, revenue etc.) and outflow of funds.
Under bills section bills of the contractors are scrutinized and passed through, as per the
purchase order like bills of transformers, wires, conductors, etc. The bills passed in this
section are more than 5 lacs. These bills come through directly RAO or from the suppliers.
Account section at CEO office deals with preparation of financial cash flow statement (P&L,
balance sheet cash flow statement) of the company.
