1 Network configuration setup

In case of network configuration, is mandatory to set the same Shared path for every workstation, both in
case of “Primary archive” and “Secondary archive”.

To set mandatory Primary archive, see chapter 2.

To set optional Secondary archives, see chapter 3.

2 Primary archive setup

By default, the software manages an archive called “Primary Archive”: this archive is normally located in subfolders of
installation software path.

Primary archive must always be available. Even if you are using a Secondary archive, if this Secondary archive is
disconnected, the software will be automatically switched to the Primary archive.

Until 5.3 software release there was only one Primary archive type, called MULTIPLE-folder. Since 5.5 software release
there are two types of Primary archive: SINGLE-folder and MULTIPLE-folder.

New installations, starting from 5.5 software release, will use SINGLE-folder Primary archive or MULTIPLE-folder Primary
archive, depending on configuration type. Older version will keep using MULTIPLE-folder, even if you update them. To
use SINGLE-folder Primary archive on previous installations, see “1.3 Switch of Primary archive type”.

The SINGLE-folder Primary archive stores all the data (database and documents) relative to the archive under a single
folder. Therefore it is easier to relocate, but does not allow to select arbitrary folders for each document type.

The MULTIPLE-folder Primary archive allows storing the documents into several different arbitrary folders or drives, but
it is more complex to modify or relocate.

2.1 SINGLE-folder Primary archive setup

2.1.1 Moving SINGLE-folder Primary archive

1. Close the software on all other workstations in


the network.

2. Enable the service level (press “CTRL + SHIFT +


ALT + END” buttons)

3. Press “ALT + F10” buttons and insert the


password “336699” in the window that appears
on the screen.

4. Select the “OK” button.

5. The “General Settings” window will appear.


Select “Work directories” tab. Click on “Browse”
on the right of “Shared path”.

6. Select new path for Shared folder. SINGLE-


folder Primary archive will be moved along with
all Shared folder content.

7. Follow the procedure shown on the monitor.


When procedure is ended, click “OK” to close
“General Settings” window.

8. ATTENTION: Repeat this procedure from 2 to 7


on all other workstations connected at the

same Primary archive. Go to 9 only if you have
performed these actions on all network
workstations that are using the software.
9. If the old Shared folder is the default one
(typically C:\NNT\Shared\), DO NOT delete it.

ONLY if the old Shared folder is NOT the default


one (typically C:\NNT\Shared\), manually delete
it.

(It is necessary to delete instead of emptying


the old Shared folder in order to remove any
files included system or hidden files.)

2.2 MULTIPLE-folder Primary archive setup
In order to change the location of MULTIPLE-folder Primary archive paths, there are two possible situations:

- Moving MULTIPLE-folder Primary archive from local workstation to a different one (or two different drives), for
example to a server;

- Moving MULTIPLE-folder Primary archive to a different path of the same drive;

There are specific workflows for each situation.

2.2.1 Moving MULTIPLE-folder Primary archive to a different workstation (or drive)

1. Close the software on all workstations in


the network.

2. Copy manually the original archive


folders (..\Shared , ..\RawData ,
..\Document ) into the new destination
path (ie \\SERVER)

ATTENTION: ..\RawData, ..\Document and


..\Shared folders must be different folders.
None of these folders must be a subfolder of
each other.

3. Open the software on one of the workstations in
the network and enable the service level (press
“CTRL + SHIFT + ALT + END” buttons)

4. Press “ALT + F10” buttons and insert the password


“336699” in the window that appears on the
screen.

5. Select the “OK” button.

6. The “General Settings” window will appear.


Select “Work directories” tab.

This window displays the local paths for the


software, the Shared folder and the documents
folders.

7. Change the paths by clicking “Browse” button for


each one (select the new destination paths,
..\Shared , ..\RawData , ..\Document)

8. Select the “OK” button to save changes.

9. Press “ALT + F10” buttons and insert the password
“336699” in the window that appears on the
screen.

10. Select the “OK” button.

11. Select “Edit archived documents paths…”

12. A dialog will show the list of paths where
existing documents are located.

For each existing path:

- Select the path

- Click “Edit (browse)” button and select the


new destination path

Example:
Original path: C:\NNT\Document
Destination path: \\SERVER\Document

13. At the end click “Exit” button to save


changes.

14. Select the “OK” button to save changes.

15. If the old archive folders are the default


ones (typically C:\NNT\Shared\,
C:\NNT\RawData\, C:\NNT\Document\),
DO NOT delete them.

ONLY if the old archive folders are NOT the


default ones (typically C:\NNT\Shared\,
C:\NNT\RawData\, C:\NNT\Document\),
manually delete them.

(It is necessary to delete instead of


emptying the old archive folders in order
to remove any files included system or
hidden files.)

2.2.1 Moving MULTIPLE-folder Primary archive to a different path of the same drive

1. Close the software on all workstations in the


network.

2. Copy manually the original archive ..\Shared


folder into the new destination path (ie
C:\newfolder)

3. Create \RawData and \Document empty


folders into the new destination path (ie
C:\newfolder\RawData,C:\newfolder\Docum
ent)

ATTENTION: ..\RawData, ..\Document and


..\Shared folders must be different folders. None
of these folders must be a subfolder of each
other.

4. Open the software on one of the workstations in


the network and enable the service level (press
“CTRL + SHIFT + ALT + END” buttons)

5. Press “ALT + F10” buttons and insert the password


“336699” in the window that appears on the
screen.

6. Select the “OK” button.

7. The “General Settings” window will appear.
Select “Work directories” tab.

For each existing path:

- Select the path

- Click “Edit (browse)” button and select the new


destination path

Example:
Original path: C:\NNT\Document
Destination path: C:\newfolder\Document

14. At the end click “Exit” button to save changes.

15. Select the “OK” button to save changes.

16. Copy manually the contents of ..\RawData and


..\Document folders from original archive paths to
new destination paths

17. If the old archive folders are the default ones
(typically C:\NNT\Shared\, C:\NNT\RawData\, 14
C:\NNT\Document\), DO NOT delete them.

ONLY if the old archive folders are NOT the default


2.3 Switch of Primary archive type

You have to perform following actions if you want to switch between MULTIPLE-folder Primary archive and
SINGLE-folder Primary archive type (or vice versa). That involves moving patient documents using Export and
Import software procedures.

1. First, you have to check which Primary archive


type is currently in use on your main workstation
(if a main ws exists).

2. Open the software on main workstation (if a main


ws exists) and enable service level (press “CTRL +
SHIFT + ALT + END” buttons)

3. Press “ALT + F10” buttons and insert password


“336699” in the window that appears on the
screen.

4. Click on “OK”.

5. The “General Settings” window will appear.


Select “Work directories” tab.

Check “Current archive” tab to understand if you


are using MULTIPLE-folder Primary archive or
SINGLE-folder Primary archive.

Click on “Cancel”.

6. Select File  Export  Export by Document and


choose “Any type” option

7. In the “Import/Export” dialog box, choose a


TEMPORARY folder to move the documents
between archives.

8. Choose patient documents from the list and check


“Delete source files” flag in order to empty source
archive.

9. Enable the service level (press “CTRL + SHIFT + ALT
+ END” buttons)

10. Press “ALT + F10” buttons and insert the password


“336699” in the window that appears on the
screen.

11. Select the “OK” button.

12. The “General Settings” window will appear.


Select “Work directories” tab.

Click on “Change primary archive type”. After read


it, click “Yes” on the dialogue box. Than click “OK”.

Than click “OK” to close “General Settings”


window.

ATTENTION: Repeat this procedure from 9 to 12 on


all other workstations connected at the same
Primary archive. Go to 13 only if you have
performed these actions on all network
workstations that are using the software.

13. Open the software on the main workstation (if a


main ws exists)

14. Select File  Import  Import by Document and


choose “Any type” option

15. In the “Import/Export” dialog box, choose the


TEMPORARY folder where documents have been
previously moved (at point “7”)

16. Choose all patient documents from the list and


check “Delete source files” flag in order to empty
TEMPORARY folder.

17. Now all your workstation have been switched to


the new archive type choosen.

3 Add a secondary archive

By default the software manages only one archive (“Primary Archive”); in any case it is possible to manage additional
archives called “Secondary archives”.
In case of network configuration, is mandatory to set the same Shared path for every workstation, both in
case of “Primary archive” and “Secondary archive”.
Every archive comprises the separate management of documents, patients and working folders.
In order to set new “Secondary Archives” it is necessary:

1. Enable the service level (press “CTRL + SHIFT +


ALT + END” buttons)

2. Press “ALT + F10” buttons and insert the


password “336699” in the window that appears
on the screen.

3. The window “General Settings” will appear.


Select “Work directories” tab.

Click on “Secondary archives configuration…”

4. The window of the archives list will appear,


where it will be possible to add / remove / edit

new archives.

To add a new archive:

1) Click on ADD button

2) Create a folder destined to contain the


archive and indicate its path.

ATTENTION: this folder must not be a


subfolder of ..\Shared folder.

Moreover insert the identification name


and number of the archive and the
optional passwords for archive access and
to enable the delete function of the
documents.

NOTE:
If you want to save the archive to
removable media, connect the media to
the workstation

3) Confirm with “OK” button

4) On the window of archives list, the added


archives will appear

NOTE:
It is possible to modify or remove them by using
"EDIT" or "REMOVE" buttons.

5) Save the changes by clicking SAVE button.

NOTE:
The configuration performed will be valid for all
workstations connected on the network

Now it will be possible to select the wished archive
from the main toolbar of the software.

NOTE:
Each workstation will NOT visualize the inaccessible
archives to it (for example with set local paths (C:\)
on different workstations or on disconnected
removable supports)

Reports header

In presence of multiple archives, it is possible to set


different headers for each archive.
For more details please refer to Chap. 8 – Software
User Manual.

NOTE:
The work directories of a secondary archives are not
editable.
However the Regeneration database function is
available (see “Database Regeneration” paragraph).

4 Move a secondary archives

It is possible to move a secondary archive folder from a destination to another.


In order to move a “Secondary Archives” it is necessary:

1. Enable the service level (press “CTRL + SHIFT +


ALT + END” buttons)

2. Press “ALT + F10” buttons and insert the


password “336699” in the window that appears
on the screen.

3. The window “General Settings” will appear.


Select “Work directories” tab.

Click on “Secondary archives configuration…”

4. The window of the archives list will appear.

To move a secondary archive:

1) Select the desired archive

2) Click on REMOVE button

3) Move manually the archive folder from
original destination to new destination

4) Click on ADD button

5) Click on “Browse” button and select new


archive destination folder.
Moreover insert the identification name
and number of the archive and the
optional passwords for archive access and
to enable the delete function of the
documents.

NOTE:
If you want to save the archive to
removable media, connect the media to
the workstation

6) Confirm with OK button

7) Save the changes by clicking SAVE button.

NOTE:
The configuration performed will be valid for all
workstations connected on the network

5 Move patient documents between archives

In the menu File, you can choose Transfer by Document or


Transfer by Patient procedure

Transfer by Document

1) Choosing Transfer by Document, you can select the type of the document and after which
documents. You can make multiple choice using the CTRL button on keyboard.

2) After, you can choose the destination archive in the list. Pressing Ok, the transfer starts
automatically.

Transfer by Patient

1) Choosing Transfer by Patient, you can select a Patient in the windows. You can make multiple choice
using the CTRL button on keyboard.

2) After, you can choose the destination archive in the list. Pressing Ok, the transfer starts
automatically.

6 Database regeneration

Database regeneration is a recovery procedure to rebuild the archive in case of database file corruption or
another critical problem.

The new database indices will be overwritten and recreated based on the current contents of the working
folder to which NNT is pointing.

In order to execute this operation:

1. From software main window, select the archive to


regenerate

2. Enable the service level (press “CTRL + SHIFT + ALT


+ END” buttons)

3. Press “ALT + F10” buttons and insert the password


“336699” in the window that appears on the
screen.

Select the “OK” button.

4. From the “Work directories” tab, press “Database


regeneration…” button

5. A dialog will show the list of paths where the
software will look for documents to add to archive
It is possible to press:

- Add (browse):
If you wanto to add a path to the list

- Select all:
If you wanto to select all paths

- Undo all changes:


If you want to go back to the original path list:

- Remove:
If you want to remove all selected paths from the
list

- Proceed:
If you want to launch the procedure on the current
list of paths

- Exit:
To exit from this dialog
