LEGEND
The following elements are used in the exercise booklet as “interface” indicators:

Common Data > BPs > BPs.............This shows directions to a function from the general X3 menu (X3
menu path from standard Admin home page)
Tab
....................................................Indicates a tab in a multi-tab X3 function, such as Controls or
Financial in the Common Data > BPs > Customers function.
Field  Field Value  ..................................Indicates a screen field and the value that should be entered (if
necessary)
Check Box........................................Shows a checkbox (or tick box) and its status

PREAMBLE
In much of the processes where common data is created (such as Customers or Products) the
exercise notes mention XXX in the data codes or designations. Replace that with your own
initials. This is to distinguish your data from other delegate’s data in case the servers are shared.

1. EXERCISE 1 – CREATE A NEW DIMENSION TYPE


AND ADD VALUES
Log in as TRAIN, leave password blank

 Parameters > Organizational Structure > Dimension types

 Create a new Dimension type for Employees called EMP


 Use the 15c format and leave all other fields as they are defaulted

 In Common Data create five new values for your new dimension type.

 Remember to use to choose your new type
 Set all the new dimensions to Budget tracking

2. EXERCISE 2 – CREATE DIMENSION/DIMENSION RESTRICTION


 In Common data use the function “Prohibition Codes” and transaction Dimension/dimension
 In the top of the grid, select the first value of dimension restriction (call it X – Product Types) – Add a
different dimension restriction value in this miscellaneous table “322”(Call it Y – Sales regions).
 At the bottom of the screen, in the First dimension type choose Product type and in the second dim
type select Sales Region.
 Notice that the left lists change to match your choices. One tab illustrates the Frist Dimension type
selected and a second tab illustrates the second dimension type selected.
 As regards product dimension type, choose the code called RODS.
 Repeat for the second dimension type “SR”.
 Select Australia and Spain.
Save

 When you save, the codes will get written to the respective dimension records.
Exit

 Check the dimension records are correctly populated.

 Create on site T91 a new journal using account 701000.(Financials > Journals > Journal entry –
STDCO transaction)
 Enter any amount but use the product category RODS and region Australia.
 You should get this message:

3. EXERCISE 3 – DIMENSION PYRAMID


 Common data > G/L Accounting Tables > Analytical > Dimension Pyramids

 Go to the dimension pyramid CCT and delete the low level


 Create some next level sub groups and add dimensions to them
 Add new groups containing the following dimension values:

COMM-001 ACCT-001 GENE-001
MARK-001 DIRE-001 PEND-001
SUPL-001 HR-001 QUAL-001
SUPP-001 IT-001 PROD-CYC

Use Functions > Verification to test for missing dimension values

What does the log tell you?

 Add any missing values into their correct groups

4. EXERCISE 4 – ANALYTIC ALLOCATION

4.1. Analytic Allocation


 Create an Analytic Allocation (ADVERT – Advertising allocation) using dimension type CCT in order to
split your advertising expenses according to the centres of cost.

(*)The sum of the factors doesn’t need to make 100%. In that case a cross multiplication is made to
get the value for each dimension code :
(Amount on the account * factor)/ Sum of the factors

 Create a new journal
 Transaction 1PAGE
 Use account number 623000 for site T91 on line
 In the distribution field use F12 to select your allocation.
 On line 1 of the journal make a right click and choose “Allocation Inquiry” to see the split by dimension.

If the allocation is always the same for a given account, it is possible to link the allocation key directly
to the account. Select the analytic chart of account (TR), account 623000, Tab Analytical, Area “Default
values” Allocation.

5. EXERCISE 5 – CREATION OF A BUDGET


5.1. Budget Entry Transactions
 Parameters > Financials > Budgets …

 Create a new budget transaction.


 Period
 Active
 Preloading
 All columns should be visible and totalled
 The columns should all be amounts and contain the following data:
 Budget, Actual and a formula to deduct column 2 from column 1 to give balance
 Add a comment column
Create

 Ensure that the screen validates (read the message during the create process)

5.2. Budget Weighting Code


 Parameters > Financials > …

 Review the Budget Weighting code ETE.


 Create a new code with the calendar days in each month

5.3. Budget
 Parameters > Financials > …

 Create a new Site budget.


 Currency=EUR.
 Control Type Annual
 Budget adjustments Manual
 It should be for the Training Analytical Chart (TR) and CCT dimension

5.4. Budget Version


 Parameters > Financials > …

 Create a new version record for your budget

 By Default set to YES and Final set to NO

5.5. Budget Entry


 Financials > …

 Create a new Budget Entry for the fiscal year 2010.


 Site  T91 
 Use the budget and transaction you have just created.
 Precise at the account level 601100
 Save the details as a memo called STD.
 Enter the dimension ACCT-001

You will notice that possibly there are already some actual values in place.

6. EXERCISE 6 – INQUIRIES
6.1. Dimension inquiry
 Run a dimension inquiry
 Site T91 
 For this calendar year
 Dimension ACCT-001 
Search

 Right click on a line to drill down to the original document.
Criteria

 Highlight the “Screen Code” field and bring up the pop up selection window.
 Make a note of the inquiry type in the left column.
End

 Use CTRL-L to bring up the report options.

6.2. Inquiry Screen amendment


 Parameters > General Parameters > Inquiry Screens

 Choose the screen value that you discovered earlier.

Note that it may not be on the first page of the left list.

 Choose the STD screen Code


 In the screen code field change STD to your initials XXX.
 Number of lines 50 
 Change the order of some columns or remove them.
(Removing the line number removes the column from the screen – One dimension type is enough).
Create

 Re-do your inquiry
 After populating the grid use the criteria button to change the screen code to your new screen.

6.3. Dimension Balance Inquiry

 Use your previously generated budget.
 Choose the fiscal year 2010.
 Modify the columns as follows :
o Balance (Dt-Cr)

 Choose the following type records:
