Revised Leave Policy FAQs

Some frequently asked questions are listed below to answer to some regular queries

Q1.What is the applicable date of the Revised Leave Policy?

A.1 The Revised Leave Policy is applicable from January 1, 2014.

Q2. Does this policy cover all employees?

A2. This policy revision covers only Staff employees and does not impact Sub staff. Sub staff
will continue to follow the current Leave Policy in force. Indicative list of designations in sub
staff include Workmen, Helper, Driver, Peon, Electrician, Stitcher, Fitter, Checker, Operator, and
Scanner.

Q3. What will happen to my current Sick Leave balance as on 31st December 2013, if it is
beyond 35 days?

A3. The current Sick Leaves as on Dec 31, 2013, will get converted into Privilege Leaves and
the total balance beyond 90 will be en-cashed.

Q4. What will happen to my Sick Leave balance if it goes beyond 35 days?

A4. SL balance beyond 35 days will lapse at the end of the year.

Q5. Can Sick Leave be encashed at the time of resignation?

A5. No. Sick Leave is en-cashed only at retirement or death and not en-cashable in the event of
resignation (separation)/ termination.

Q6. In case an employee falls sick during tour / deputation will the period of illness be
treated as leave or leave without pay?

A6. In case the employee is on tour and falls sick, the period of sickness will be treated as Sick
Leave if supported by valid treatment documents supporting the illness. In case the employee
cannot submit valid supporting then the period of absence while on tour will be treated as leave
without pay and the Company will initiate appropriate action.

Q7. If an employee resigns, would Sick Leave be recovered from Final settlement?
A7. No, availed SLs will not be recovered from Full and Final settlement.

Q8. What will happen in the situation when the employee does not submit medical
certificate or doctor’s prescription for sick leave more than 2 days?

A8. The leaves will be treated as Privilege Leave, if Privilege Leave balance exists in the
employee account else the same will be Leave without Pay.

Q9. Can I avail half day leaves?

A9. Yes, Half day Casual Leave, Sick Leave and Privilege Leave are allowed.

Q10. What will happen if my Leave without pay extends to more than 30 days?

A10. Leave without pay is only permissible for 30 days on Management’s discretion for personal
exigencies. If leave without pay goes beyond 30 days there will be a review by the management
and decision will be taken on the continuity of service.

Q11. Will there be any tax deduction for my encashment payout?

A11. Yes, the payout amount received will be taxable as per Income Tax Act deductible at
source.

Q12. Can I apply for encashment during the year?

A12. As per policy all PL balance encashment for more than 90 days will be done only along
with January months’s salary.

Q13. Do I need separate approval from Reporting Manager/HOD in case I need to extend
my current leave?

A13.Yes. In the event where employee extends an approved leave (CL/SL/PL) even by 1 day,
approval from the Reporting Manager/HOD will be needed.

Q14. Can I take my leaves in combination with other leaves?

A14. As per policy CL and PL cannot be combined. In case and employee exhausts his SL and
needs to take additional leave, PL can be availed

Q15. What will be the nature of deduction of leave on late coming?

A15. Casual Leave will be deducted after 3 late coming. Incase Casual Leave balance is nil then
Sick Leave will be deducted and incase Sick Leave balance is nil then Privilege Leave will be
deducted. If entire leave balance is nil then it will be treated as Leave without Pay. This is as per
current attendance policy.

Q16. Till when can Compensatory offs be availed?

A16. Compensatory Offs can be availed within one month from the day of working on a holiday
or weekly off.

Q17 Can I take compensatory off if I am travelling back from an official visit on a holiday
or weekly off day?

A17. No, Compensatory Offs will not be given for travelling back from an official visit on a
holiday or weekly off day.

Q18. When will I get my encashment for the previous year and how will I be
communicated the amount?

A18. The encashment for the previous year will be paid along January’s salary and the amount
will get reflected in the pay slip.

Q19. Will employees who get PI be entitled for Short Leave?

A19. No, employees who get PI will not be entitled for Short Leave.

Q20. What will happen if an employee moves out of ESIC after increment?

A20. The staff category employee will get prorated SL’s effective from the month of April.

Q21. How will the workmen who get promoted to Staff category get leave entitlement?

A21. Workmen who get promoted to Staff category will be treated as per applicable Staff Leave
Policy from the effective date of promotion and get prorated leaves from the date of promotion.

Q22. What will happen to my current PL balance as on 31st December 2013, if it is beyond
90 days?

A22. The current PL as on December 31, 2013, beyond 90 days will get en-cashed and paid
along with January 2014 salary.
