Types of problems and programmed decisions

1. Structured problems and programmed decisions: Some problems are straightforward, familiar,
and easily defined. This is called structured problems. Managers take programmed decision that
can be handled by a routine approach. In this organization, managers face structured problems.
Managers see whether employees are wasting their time or working properly. If the product is
undersized, oversized and stitched problems, they give it to the rectification section to correct the
product. If machine is not working properly, they call technician or maintenance engineer. They
also solve the conflict of the employees. They also check how much production will make daily.
When they get defective by checking their production, they give it to the repair section.
Moreover, they check manpower.
2. Unstructured problems and non-programmed decisions: Many organization face unstructured
problems during crisis. Complicated situation in which information is incomplete. When
problems are unstructured, managers depend on non-programmed decisions. This decision is
unique. It also requires a custom-made solution. Decisions are made a manager’s intuition and
judgment. This organization faced this problem. When using machine, the workers get injured.
They provide primary treatment. To protect factory from fire, they have fire-fighting system

Communication

Communication management in an association is a component that can be used in establishment

of personal networking and it is extremely touchy to the accomplishment of the business. It is
observational for a venture to think of a brilliant individual systems administration.
Communication management plan must involve the gathering and builds up of information
related to an organization in a way that it should collaborate with specifically interim to advance
unique occasions. Great access to different assets is basically a solid communication system of
management as it advances shared development and improvement. Thus, when conducting a
communication management in a firm, there are basic questions which must be addressed. It is
expected that the person conducting communication management to specifically answer
communicate in a manner that specifically provides information to the shareholders, investors,
and others associated in the firm. In addition, communication management process is conducted
with a view of making sure that it achieves some basic objectives. The objectives of
communication management are; the definition of communications needs in a project, definition
of the intended message to pass across to the customers, stakeholders, as well as the channels of
communication required to deliver the message , and make sure that the message gets to the right
people at the right time. In addition, communication management explores the stakeholder’s
needs and desires including the ways that their needs can be achieved in a project.
Function on Communication:
 Control
 Motivation
 Emotional express
 Information
Individuals and groups need information to get things done in an organization.

18 | P a g e
Methods of interpersonal communication:

Message: Ostad uses their online platform to send message to their customer
Encoding: the message converted to symbolic form
Channel: and passes through their apps
Decoding: Ostad’s customer retranslate the sender message
Noise: some disturbance interfere with communication
Interpersonal communication method:
There are many communication methods. Ostad uses some methods to reach their customer.
Those are
 Telephone
 Audio/videotapes
 Email
 Voice mail
 Teleconference

Barriers to communication
 Filtering: filtering is the deliberate manipulation of information to make it more
favourable.Ostad may face problems if the information’s are filtered
 Emotions:ostad customersostad avoids emotional judgements when interpreting messages
 Information overload:when an individual have more information than they can process
they tend to ignore information. Or they may stop communicating so this a barrier for
Ostad
 Language:using different language is not good for as online organization like ostad.so it
only uses English network.
 National culture:culture influences the openness.ostad dosent use any cultural reference.

19 | P a g e
The grapevine network
It is the informal organizational communication network. Acting as both a filter and feedback
mechanism.Ostad uses this network so that from managerial point of view they can know what
information is being passed, how information seems to flow.by staying aware of the grapevine
flow and patterns Ostad can identify issues that concern employees and in turn use grapevine to
disseminate important information.

Direction of communication flow:

Ostad uses upward communication flow. Communication is a very important part of working in
the business environment. Managers must be able to communicate with employees and
employees must be able to communicate with managers in order to have a profitable business.
Upward communication is the flow of information from front line employees to managers,
supervisors, and directors.
Upward communication from subordinates to managers usually falls into one of the following
categories:
 Personal reports of performance, problems, or concerns.
 Reports about co-workers and their performance, problems, or concerns.
 Reaction to organizational policies and practices.
 Suggestions about what tasks are required and how they can be achieved.
Upward communication serves several purposes which are beneficial to both managers and
employees. For the manager, it is often necessary for:

 keeping him aware of how employees feel about their jobs, co-workers, and the
organization in general
 sound decision making
 collecting ideas on how things can be improved
 helping the organization know employees’ accomplishments, challenges, and
attitudes
 receiving feedback, and encourages ongoing two-way communication
type of organizational communication network

20 | P a g e
ostad uses all channel network. The All-Channel Network or the Star Network. In an all-
channel network, communications flow upward, downward and laterally among all members
of the group

Analysis
From my point I can say communication is very important for the organization ostad. And it
is very necessary for the long term perspective of the company. Without strategic
management, company cannot fulfil long time goal, cannot sustain in the dynamic
environment and lastly cannot implement proper business. Ostad is a developing
profitmaking company which focuses on the building material products. They have good
communication and they implement it very efficiently. ostad have some threats and
weaknesses with a lot of things. Communication also is important to the individual service
provider. The quality of the interpersonal interaction between the customer and employee
does influence satisfaction. The front line people of Ostad involved with those critical service
encounters” are often the first to hear about or notice service failures or breakdowns. They
must decide how and what to communicate during those instances.Ostad communicate with
their customer through the app.as it is an educational organization the teachers are called
experts on this apps.they give their bio on the apps and the customer find whoever interesting
they communicate with them. I like their communication strategy very much but one thing I
don’t like which is they should have an office in which people can go on their own and have
a proper discussion of what service they want to take. They also should increase their
organizational communication so that .every employee can give their feedbacks in this way
they will get more motivated. Finally, I want to say that because of strategic management not
only Ostad but also every company can succeed.
Questionnaire
1. What kind of communication you prefer the most
2. How do you set a communications strategy for a company, and what are the most
important components?
3. As a communications manger, how do you manage team assignments, professional
development and conflict resolution?

Conclusion

21 | P a g e
Competing for the consumer is a never-ending challenge that OSTAD continually faces. This is
due principally to the uniqueness and competitiveness of each individual market, for they are all
different and all require different approaches because of different consumer behaviours and
factors which affect this behaviour. OSTAD is new comer marketeers in the Bangladesh yet
even they cannot always predict consumer behaviour This as created many unsatisfied
consumers and they was forced to spend money for consumer satisfaction . This case highlights
the importance of understanding how they run business how they control business and how it is
influenced by many factors.
