organizations. They are used to send
announcements, instructions, and
or to document incidents in writing
‘A memorandum starts out by stating to
whom it is being sent, from whom it is
Sent, the date on which it is written and the
subject. For example:
Memorandum
To: Mr V. Anglin, Principal
From: = Mr R Smith,
Head, Biology Department
Date: September 21, 2004
Subject Use of School Bus for
Biology Field Trip
The skills needed to write the
memorandum itself are the same as those
we have already discussed. It perhaps will
be even more concise than other types of
factual writing, as in most cases the person
being addressed already knows most of the
background information.
Here is a sample:

“The above was a report to the Principal of a
secondary agricultural school describing an
incident which took place in the farm
section. As the student member on the:
school’s disciplinary committee you have
been asked to verify the information given
in the report.
1 Write a memorandum to the principal
telling her that you are investigating
the matter and will report to her on
your findings. You will need to tell her
briefly how you propose to investigate
2
it and how soon you expect to inform
her. (Use about 90 words.)
Construct 10-12 questions to ask the
students who were involved in the
incident so as to find out what actually
happened.
You should assume, for this
exercise, that any answer given in reph
to your questions is truthful.
Write a second memorandum (of about
150 words) to the principal reporting 0
your findings. Attach to this report a
copy of the questions and a sample of
the answers which you received so tha
she can see the basis of your
conclusions. }
