1. Assume you are the general manager of a service department.

How might formally written job

requirements help you manage your work unit?

By having a formally written job requirement, it allow me as the general manager to have a
concrete basis on selecting and placing the employee with the right skillset to a position where he
or she can perform the job. Moreover, these documents also helps on having a clear understanding
of every employee’s role and accountability to the organization. Furthermore, since it is a formally
written requirements, applicants or employees would have an idea of all the things related to the
work of the organization. The benefit of having a formally written job requirement is that it ensure
that the workflow of my unit will experience a little to no hitch at all.

2. Discuss the various ways in which a job analysis can be completed. Compare and contrast these
methods, noting the pros or cons of each.

For a job analysis to be completed, it has to collect information needed to analyze jobs and the
most common method on collecting this information is through interview, questionnaire,
observation, and diaries. In interview, supervisor asks individual employees and their manager in a
face to face manner about the specific parts of the job. The questionnaire in the other hand, the
supervisor handout standard questionnaire for jobholders to answer individually moreover, the
questions on the form are identical to the question asked in interviews. Different from the first two,
observation method is also done by supervisor but instead of asking question, the observer watch
and records the activities of jobholder regarding on their job. Lastly, dairies are way to different on
the first three, it does not require questioning or being observe or anything related to an interaction
with job analyst or supervisor, it only require for an employee to jot down their job-related
activities in the company for an entire work cycle and it has to be maintained a 2 to 4-week period.
The pros on interview is there would be a proper communication between the interviewer and the
interviewee that allows for a clear understanding of the collected information. In terms of
questionnaire, it creates an opportunity for a more flexible time for jobholders to answer since they
don’t have to personally meet the supervisors. In observation, it ensures that the collected data
from observation were true since the activity were clearly seen. Dairies pros is the fact that it
dictates the actual action of the employee throughout their work cycle. The cons on these methods
are, in interview it takes time to do since most of the time it is done 1 on 1, in questionnaire the
written answer by the jobholders might not be a complete truth since a supervisor cannot see them
eye to eye, in observation it is a an inconvenience from both side since one has to be observe and
recorded for the whole work cycle and the other one has to observe and record it for the whole
work cycle, and in dairies, it is a bit same with the questionnaire but less accurate since it’s the
employees own narrative of the story.

3. Why is employee motivation such an important aspect of designing today’s jobs? The job
characteristics model has five components—skill variety, task identity, task significance,
autonomy, and feedback. Provide an example of how each component can be used to improve an
organization and the job of an employee. (Suggestion: Consider your present or a recent job to
answer this question.)
It is necessary for the organization to keep their employees happy and motivated, that is why it is
incorporated on designing a job in this current timeline. The reason on why it is important to keep
the employees motivated is simple, it is done to enhance their work satisfaction, to seize their
flourishing talent, and to also improve the overall performance of the organization moreover, if an
employee is satisfied with their current job they most likely to stay on the company for a longer
period of time and perform better.

In terms of skill variety, a great definition of how it improve the company and the job of
employee is that the flexibility of that person to handle different task allows the organization to
flourish since it is a less numbers of resource to be used but a high quality on that and by having
skill variety in job design it can reduce that person’s boredom and increase their job satisfaction in
which likely to be true as long as the employee enjoys the skills and perceives the addition and mix
of skills to be a benefit to the job. Task identity, enables a company to ensure progress since
having a jobholder with this mentality often feels responsible for their work and create a better
decision to secure success moreover, feeling the responsibility and finishing the job with flying
colors tend to boost their satisfaction on the job and resulting to having a better self-esteem. Task
Significance ensure that the service of an employee is in utmost quality, since a job holder with
this kind of mental state holds so much importance in their work since it affect the lives of other
and this result to a large community trusting the organization and the jobholder feeling fulfilled
since they made an impact in other person’s life. Autonomy enables the organization to flourish
since they allowed independent minds, they are more likely to develop a better result that improves
the image of the organization and in terms of the jobholder, having a freedom in workplace gives
them the motivation to improve more which leads to being satisfied with their jobs. Lastly,
feedback allows the employee to improve where they are lacking and, in a sense, it only helps an
organization to have a more competent employee and in the jobholders’ term, as they see how they
improve and evolve, it satisfies their desire to grow which will only led to them improving the
experience they get from their jobs.
