QUESTION 1 :-
Students are required to identify and list at least one corporate
organisation where excel application is not there. Find out the
alternatives used for performing their task faster, smoother and
efficiently. Finally suggest potential areas in the same sector/ industry
where the usage of SpreadSheet will bring in efficiency in given
assignment or task.

Sol.
 Corporate organisation where excel application is not there is
Team Taurus
 Team Taurus is a new age real estate development firm which is
established by Amitabh Roy, in Kolkata since 2007. Team Taurus
symbolises the cohesive strength of a diverse group of people working
together to achieve a common goal with the tenacity of purpose that
the bull represents in the Zodiac of Taurus.

 The alternative used for performing their task faster, smoother

and efficiently is Tally . Tally is the most popular accounting software
used in India. It is complete enterprise software for small and
medium enterprises.

a) Tally is a important tool in calculating monetary terms, accountancy, tax

and GST calculating, managing commercial transactions effectively and
efficiently.
b) Tally is a business management software for anyone who needs to manage
projects, control expenses, control outstanding, track inventory, manage
project performance, or generation of correspondence at various stages.
c) Tally can be used for taking attendance, record of the employees, work
groups, workers categories, etc.
d) Tally is powerful tool and can be used in financial analysis and Accounting
management.
e) Tally is equally being considered important in banking solutions also. With
the help of tally one can easily create deposit slip, print cheques, maintain
cheque register and many more things.
f) Overall Tally has made work quite easier and comfortable and it is very
easy to use.
g) However the most tedious task in any organisation is to create bank
reconcilement. Tally can help you out of these, with the help of tally you
can create bank reconciliation statement easily and with ease and it is quite
comfortable to use.
 Potential areas in the real estate development where
spreadsheet will bring in efficiency are :-

a) Financial Accounting :-
- Small and mid-sized organisations make use of MS Excel spreadsheet
software for carrying out their accounting activities.
- They can create a basic accounting program or chequebook ledger that
allows them to keep a track of the organisation’s financial transactions.
- For making it more effective accountants can enter their deposits and
expenditures onto each row, very much similar as they do it in the
traditional ledger books.
- By entering data in this manner accountants also have the flexibility to
create charts and graphs over time to compare business income and
expenditures.

b) Tracking product sales :-

- MS Excel spreadsheet software allows the small business users to keep
a complete track of their product sales.
- By doing these, small business owners can effectively design plans that
will enhance their sales in the market.
- By maintaining a complete track of the product, business owners get a
clear idea about the progress business has made over the specified time
period and also helps them to identify the high and low sales trends.
- By using regression analysis, you can extend a trend-line in a chart
beyond the actual data to predict future values.

c) Return On Investment (ROI ) :-

- MS Excel software also allows you to track the Return On Investment
accurately.
- The ROI gives the business owner a clear indication of how much
investments have been made into the business and how much is the
profit earned by the business.
- If the business owner is keeping a complete track of the sales, then they
will also get an idea about how long it takes for them to reach break
even or additional profit levels.
d) Consumer data :-
- Small business establishments and organisations use MS Excel
spreadsheet for storing contact information of their clients and
customers.
- This information acts as a customer database for them and can make use
of this information to contact their customers.
- The advantage of storing this information in MS Excel sheet is that even
though the sheet is updated or new fields have been added to the sheet
it does not affect or change the content present in other cells of the
spreadsheet.

e) People Management :-
- MS Excel is a powerful way to organise information about people,
whether they are employees, customers, supporters, or training
attendees.
- Using Excel, personal information can be stored and retrieved
efficiently.
- A spreadsheet row or column can be used for an individual record that
may include information like name, email address, employee start date,
items purchased, subscription status, and last contact.

f) Project Management :-
- Projects are business activities that typically have a budget and
start and end dates.
- Project plans can be placed into a workbook, which can then be
used to track progress and keep the project on schedule.
- An advantage of using Excel is that you can easily share the
project workbook to others, including to people who are
unfamiliar with, or lack access to, custom PM software.

g) Managing Operations :-
- Excel is relied on heavily to manage the day-to-day operations
of many businesses.
- Business activities can often involve quite complicated
logistics.
- Inventory flows need to be controlled so that you can keep
operations running smoothly and without overstocking.
QUESTION 2 :-

How are time and date functions of excel important. Explain 5

different applications of time and date functions with the help of
taking an example for each function along with formula
application. Consider that application should be suggested for 5
different areas or industries stating how it is most appropriate for
certain area or industry.

Sol.
The ability to store and manipulate dates and times is one of excel’s
most powerful feature. With the help of time and date feature of
excel we can :-
 Easily add days and months to particular dates
 Create dynamic date-based fields
 Perform complex time-based calculations.

Importance of time and date functions is :-

a)Files and documents :-

 Whenever you create a new excel file or modifies an existing one, it
stamps the files with the correct date and time .
 This information allows the excel to organise files chronologically .
 Incorrect date and time can render the files unreliable, make hard to
find files when you need them, can lead to misunderstanding and legal
complications.
 Microsoft excel and other programs use the current date and time in
document status information, heading and other features, but the date
comes from the internal clock.

b) Use in databases :-
 Database management software "stamps" the date and time onto data
records using the clock data.
 Databases typically determine information such as billing and
shipping dates automatically from the clock date.
 A minor mistake such as the current date being off by one month can
spell serious trouble for your business, suppliers and customers.
c) File information :-
 Excel uses its system clock to apply a date and time stamp to every
file you create and edit, including the documents you save from your
applications and the email messages you send or receive.
 Depending on the nature of your business, establishing a reliable
work-task chronology can be critical, especially if you rely on time-
sensitive data.

Different applications of time and date functions :-

 DATE EXTRACTION :- Extracting the year, month, or day from a

date. These functions return numbers. The results can be manipulated
mathematically.

FORMULA TO CALCULATE DATE

Year , Day and Month :-
 DATEDIF :- (startdate, Enddate, “unit” ) subtracts dates and
expresses the result in the unit specified.
Notes :-
 DateDif() does not appear in Excel "Insert Function" area (Shift + F3).
 The End Date must be more recent than the Start Date.
 "Complete" means that an entire month or year has gone by.
 “YM” Returns the number of remaining Months between two dates as if they
years were in the same year. "YM" is useful for finding any remaining months
after whole years as you will never get an answer greater than 11.
 “MD” Returns the number of remainingDays between two dates. "MD" is useful for
finding any remaining days after whole months as you will never get an answer greater
than 30.
 The unit can be one of the following:
Y The number of complete years.
M The number of complete months.
D The number of days.
MD The difference between the days (months and years are ignored).
YM The difference between the months (days and years are ignored).
YD The difference between the days (years and dates are ignored).
ENDDATE :-
OTHER FORMULAS :-
TODAY

 NOW

 DATEVALUE
 WEEKDAY

 EOMONTH
 TIME EXTRACTION :- Extracting the hour, minutes or seconds
from a date. These functions return numbers. The results can be
manipulated mathematically.

FORMULA TO CALCULATE TIME

HOUR, MINUTES OR SECONDS
5 different areas or industries stating how it is most appropriate for
certain area or industry.

 . MS Excel is commonly used for financially related activities. The

reason for its popularity is that the user can define custom formulas
for calculating quarterly, half-yearly and annual reports.

 For the Sales & Marketing community, Excel helps to effectively keep
a track of sales leads, project status reports, and invoice reports.

 Microsoft Excel is also very popular among professionals from a data

science background as it allows them to easily work with statistical
formulas and graphing.

 The HR department uses MS Excel for payroll, Expenses, Tax

calculations, Leave reports, Timesheets, and employee performance
analysis.

 Another important use of Excel for any industry is forecasting. This

helps organisations in revenue projections, costs projections and
manage their supply chain effectively
