Instruction Koole Truck Registration website

This instruction consists of 4 parts:


1. Log in to our website
2. Register your truck
3. Change date/time for a registration
4. Print handling request /change data driver and truck

1. Log in to our website


Go to www.koole.com and click “Customer portal KTB”

Supply the username and password provided to you by Koole.

2. Register your truck


As soon as your customer has placed the order at Koole, you will be able to register your truck. To
register your truck, you need the following information:
• Customer Order Number
• Product name
• Type of action (pickup or delivery)
To register your truck, follow these steps:
After you log in, the opening page displays. Click “Truck Registration” at either the top or the bottom of
the page to proceed.

The next page lists registrations made by you recently.

To make a new registration, click the button labeled “Make New registration”. Now a page appears
where you can specify the customer order number, the product name and the type of action.

Step 1: Finding your order


Product: Type the first letters of the product name and wait for a moment. After a few seconds a list
with matching products will be displayed.

In this example the product ‘ETHANOL BIO FUEL’ is used, so this is what we select here.
Customer order number: specify the customer order number received from your customer. It is
important to copy the customer order number exactly as specified by the customer, i.e. with the same
lowercase/uppercase letters and punctuation.
In this example the customer order number is 20120808‐NVDV‐001:

Truck Activity: In this example we will make a delivery to the Koole terminal. After completing the 3
fields, the ‘NEXT>’ button appears. Click the button labeled ‘NEXT>’ to proceed.

Step 2: Select a timeslot


In this window you select the timeslot for your truck. Using the buttons labeled ‘<EARLIER’ and ‘LATER>’
other dates can be selected. Click an available (green) timeslot to make your selection. In this example
we select the timeslot 11:00‐12:00 on Tuesday, August 28, 2012:

Please notice that the date and time you are expected to arrive is presented in the bottom part of the
window (in our example 10:00). If no suitable timeslot is available, please contact the customer.
Click the button labeled ‘NEXT>’ to proceed.

Step 3: Specify the truck and driver data


The next window allows you to specify the driver and license plate numbers. These fields are optional,
but the more information you supply, the faster we will be able to handle your visit.

Step 4: Saving the registration and printing the handling request


After completing the fields, click the button labeled ‘SAVE’. After saving the registration, the buttons
‘PRINT’ and ‘CLOSE’ appear. We advise you to print the handling request before closing the window and
– if possible – pass on the handling request to your driver.

If you are done, click the button labeled ‘CLOSE’, which will return you to the list of registrations. Your
newly made registration should now be in the list.

3. Change date/time for a registration


Changing registrations is very easy:
To change the timeslot selection for your registration, click either the date or time of your registration.

After clicking the date or time, the timeslot selection window appears. Click an available (green) timeslot
to change the timeslot for your registration.

Now click the button labeled ‘OK’ to confirm the new timeslot.
The new estimated time of arrival (ETA) is now displayed in the list of registrations.

4. Print handling request /change data driver and truck


Click the order number of your registration to proceed to the details of your registration.
In this window the following options are available:

Edit/Display button : This allows you to add or change data on the various tabs (driver / truck and trailer
etc). After making your changes, click the button labeled ‘Save’ to save the changes.

Cancel registration button: This allows you to cancel your registration. This frees up the timeslot for
reuse. You can make a new registration for the order when required.
Print button: This allows you to print (a copy of) the handling request. Use this function after changing
the data of your registration.
Maintain master data: This function is not in use at the moment.
