INDIVIDUAL ASSIGNMENT

This assignment will cover various Google’s online application that is available for students.
Students are advised not to use other online or offline applications to complete this assignment.
Note that the module specifically focuses only on Google’s Online Applications, both in lecture
and in labs. Each question in each section has its own online application requirements. Students
are advised to read all of the questions carefully to fully understand the requirements before
starting the assignment. This assignment is an INDIVIDUAL Assignment which will contribute
90% marks to Essentials of Web Applications (EWA) module.

Learning Outcomes:

In conclusion, students should be able to:

 Create an e-mail address to represent your business entity.


 Prepare a financial spreadsheet with appropriate formulas, functions, formatting and charts.
 To create and design a set of presentation slides
 To create an online presence of their business
 To create a professional-looking documentation with sufficient coverage according to the
questions given.

NOTE BEFORE STARTING:

You will need to have an existing Google account. If you don’t have one, then you will need to
create one.

QUESTION 1 – Google Spreadsheet

You and your business partners have just started a small scaled business which focuses on selling
IT products and supplies. As a start-up, you manage to obtain FIVE (5) authorized dealerships of
IT Companies, eg: Dell, HP, Acer, etc. In your store you must have a minimum of FIVE (5)
categories of product range, for example printers, monitors, laptops, etc. etc. You can have a
minimum of THREE (3) models from each category. You have hired (1) Store Manager, (1)
Admin/HR Staff and (4) Sales Agents. Using the skills of creating spreadsheet which you have
acquired from Essentials of Web Applications (EWA) class, you have decided to create a financial
spreadsheet for your company and for your employee usage. The spreadsheet should contain data’s
and information, functions and calculations.

This spreadsheet need to contain all the important information containing your product sales and
employees sales performance. For every new month, the spreadsheet will be updated accordingly
and can be viewed by all the employees.

The inventory sheet allows you to keep track of the number of products bought from the specific
company, the number of items sold and the number of items left to be sold. It also keeps record
of the cost and selling price for each type of item.

The sales sheet allows your employees to enter the number of items they have sold, which would
automatically update the inventory sheet. The data update is permissible to the each branded items
only by the corresponding employees to avoid any uncalled-for mishaps.

The employees’ salary sheet allows you to keep track of each employee’s salary every month,
along with their commission. You have decided that the target sales revenue per employee is
RM 4500 per month. If the target sales revenue is not met, the commission rate will be 5% of
the total sales revenue and if the target sales revenue is achieved, the commission rate will be
12% of the total sales revenue. Apart from that, all the employees are also entitled for a fix
monthly allowances that cover RM250 for hand phone and RM200 for petrol. Furthermore,
there will also be a compulsory deduction for (Employee Providence Fund/EPF) which has been
set to 11% on a monthly basis. This worksheet keeps track of the items sold and the amount of
revenue received by each employee, and automatically calculates the commission together with
the monthly salary.

In addition, you want to analyze the sales revenue coming in, the cost for items and labor, and the
profit expected (excluding the rent for the shop lot, utility bills, etc…).

The following are things you should consider in your spreadsheet:

1. The inventory sheet, which should consist of the following (but not limited to):
a. Month
b. Brand Name
c. Model Name
d. Product ID that is uniquely assigned to all items
e. Product description that describes the item
f. Number of each product bought from supplier
g. Initial cost per product bought from supplier
h. Selling price per item (20% in addition to the corresponding initial cost per product)
i. Number of each product sold
j. Number of on hand for each product in stock

2. The sales sheet(s), which should consist of the following (but not limited to):
a. Month
b. Brand Name
c. Model Name
d. Product ID
e. Product description

f. Selling price
g. Item Sold (should be displayed exactly as in the inventory and would automatically
update the inventory’s number as well)
h. Sales Agent Name
i. Revenue
j. Total revenue (5 marks)

3. The employees’ salary sheet should consist of the following (but not limited to):
a. Employee’s ID that is uniquely assigned to all employees.
b. Employee’s name.
c. Employee’s brand name.
d. Employee’s Total Sales Revenue.
e. Sales Agent’s basic salary – RM2500
f. Employee’s commission:
i. If the total target sales revenue is less than RM 4500, the commission rate
is 5% from the total sales revenue
ii. If the total target sales revenue is equal to or greater than RM 4500, the
commission will be 12% of the total sales revenue.
g. Sales Agents’ fixed monthly allowance.
h. Other Employee’s Salary
i. All Employee’s Gross Salary.
j. All EPF Deduction (11% deduction from Gross Salary).
k. All Employee’s Total Net Salary.

4. The analysis sheet should consist of the following (but not limited to):
a. The sales revenue for each brand
b. The total sales revenue for all brands
c. The cost for each brand
d. The total cost for all brands
e. The gross salary for each employee
f. The gross salary for all employees
g. The total profit
h. Three (3) charts for analysis purposes

Recalling to what you have learnt in your EWA class, you realize the significance of having conditional
formatting, and data validation in your spreadsheet. You also understand that using an automated
spreadsheet allows user-friendly operation and reduces redundant actions. You want what is best for your
business; hence you decided to implement them wherever applicable.

Question 2 – Google Slides

You are glad that you manage to acquire knowledge on how to create a spreadsheet for the purpose
of maintaining the financial aspects of your company.

However, towards the middle of the year, you planned to employ new employees to help you in
handling the spreadsheet details of your company. In addition, you are aware that with the entire
busy schedule, you might not have time to train your future employees personally in regards to
managing and handling the spreadsheet. You have decided to conduct training to your entire
employees on how to handle and maintain the spreadsheet which you have created.

Due to this, you decided to create a good and effective presentation slides that can capture the
attention of your employees, and at the same time, providing them with good and sufficient
guidelines and explanations to each objects available within the spreadsheet.

The effectiveness of your presentation depends on how well you structure your slides as well as
the kind of information you share within the slides. Therefore, be sure that the slide includes the
information.

3. Main menu (hyperlinks which will allow you to navigate across the slides)
4. Main Body of Content (with Screenshots)
a. Complete walkthrough on how to create the spreadsheet.
b. All formulas and functions used in each worksheet ((i.e. what each function of
the formulae is for, why the function/formula is used, what each formula does
or calculates, etc…)
c. All the charts used for analysis purposes (i.e. what they are for, why they are
created, what steps are involved in developing them, etc…)

Since you want to ensure that you staff are focused on the information you are providing in the
presentation, the slides that you are creating should not be very static. Due to that you should
consider implementing the following into your slides:
1. Automated animations and key-controlled animation (whichever is appropriate)

Question 3 – Google Sites

You have now acquired the knowledge of creating an online site to showcase your products. Apart
from just showcasing the products, you are very well aware about the potential of creating an
online presence for your company. With the knowledge, skills and potential of having an online
platform for your company, you are very encouraged and excited to build a website to showcase
and promote your business to the world, with the usage of Google Sites application.

The content of the site (but not limited to) are as below:

a. Introductory first page of you site (Landing Page)


b. Company Information page (About us page)
 Company History, Milestones, Achievement, Vision and Mission, etc.
c. Product Information & Gallery Page
d. Contact Information/Contact us page (Google Form)
e. Promotion
f. Customer feedback page/Review

As you have learned in EWA class about the important elements to consider for a site, you have
decided to come out with a site that could attract your customers with having a very nice design
and layout of your site.

While creating the site, you decided to focus more on putting stunning images or videos that could
attract the attention of your audience. Apart from that, since the site can be accessed and viewed
by anyone who has access to internet, you also decided to be very cautious in choosing words and
sentence to be used to explain about your company information as well as all the products
information available on your site.

Question 4 – Google Document

While in EWA class, you have learnt that documentation is very important as it explains the
essential elements of your research or product. In this case, you want to create a documentation
that explains the importance of creating an online presence for your company, as well as including
plans and strategies of your company in regards to expanding your brand network by implementing
the usage of Google Online Marketing tools. Although for now, your current employees is the only
potential audience of your documents, you have decided to go with a formal documentation as it
reflects professionalism and business-oriented that may save you time in the future. This
documentation will be used as a guideline or manual which could help the future employees to
understand the company’s Google Sites as well as the strategies and values adopted by your
company. Therefore you should consider the following:

1. A proper and appropriate cover page


2. An acknowledgment to those you would give an appreciation to, associating with the given
and performed tasks
3. A table of contents that allows the readers to quickly navigate to a specific section or
chapter
4. An introduction that explains the needs for the documentation
5. The body contents with proper citations and screenshots:
a. Explanation that provides walkthrough about the features and content available on
your site (include screenshots of web pages)
b. Explanation on the possible online marketing plans/tools to be adopted by the
company (e.g: Online advertising, social media, AdSense, AdWords)
c. Explanation on the foreseen benefits and drawbacks for the online marketing
adopted.
6. A conclusion which summarizes the covered contents, noting of the implications of results,
as well as providing recommendations.
7. A reference list consisting of all sources which you have referred to in order to make your
spreadsheet and documentation successful
