1. POLICY
To provide introduction to all new employees joining RSGM Hospital within one month of
joining the organization

2. PURPOSE
he purpose of induction is to provide the necessary information, resources and motivation to
assist a staff member to adjust to a new work environment and to encourage the
development of loyalty and enthusiasm towards the Hospital.

3. ABBREVIATIONS :
HR : Human Resource
HOD : Head of Department

4. SCOPE
All new employees including doctors, the policy will not cover Consultants joining on
honorary basis.

5. RESPONSIBILITY
HR Manager and HOD of the respective departments will be responsible for department
wide induction program.

INDUCTION
Induction is an attempt to introduce and familiarize a new employee with the working and
culture of the organization, his or her job, colleagues and the surrounding environment. This
exerts a marked influence on his or her job tenure and effectiveness in the organization.
This process accomplishes several objectives which include the development of favourable
impression about the organization, development of a sense of belongingness, the facilitation
of learning and team work on the part of the employees.

Vision
Induction is the process of helping new employees to settle into a new job/role as soon as
possible by becoming familiar with not only the service area/profession to which they have
been appointed but also the organization as a whole.

PROCEDURE
• The HR conduct a brief Induction session where the new employees are introduced
to the organization. A Power Point presentation is displayed for more clarity and easy
understanding of the policies and culture of the Hospital.
• The HR Team welcomes and greets the New Joiners and are taken on a floor wise
brief tour of the hospital and formal introduction with the available HODs.
• The Induction process is conducted on monthly basis.

Steps of induction program


The detailed orientation program will be outlined / developed by the Human Resource
Department in consultation with the concerned departmental head of the hospital. The
program will be coordinated by the HR Department.
The induction training program will have Hospital Awareness Training

The process of induction will begin on the date of joining, as soon as the joining formalities
are completed.
An induction manual consisting the following, will also be provided:
Introduction of the:-
• Vision and Mission of the Hospital.
• Employee rights and responsibilities
• Patient rights and responsibilities
• Service standards
• Policies and procedures
• Appraisal System
• Health care needs
• Safety aspects
• Disciplinary ad grievance handling procedures
• Organization Structure of the Hospital
• The note outlining Hospital objective, policies and rules regulations etc.
A note with regard to the various department and facilities provided by the Hospital
The new entrant would also be required to study the Hospital manual made available to
him/her during the course of induction training. If, there are any queries of the new entrants
then it will be the responsibility of the unit departmental head and HRD to clarify.
An acceptance document will to be taken from the individual that he has gone through and
understood the Hospital manual prior to the completion of the induction. This must be
obtained by the concerned unit / departmental head, which will also be responsible for
testing the individual knowledge of the various systems and procedure laid down in the
manual.
The HR Department will coordinate and get the certificate is obtained by the department
head. This certificate will be forwarded to the HR Department for archiving in the individual's
Personal HR File.

All the unit / departmental heads would ensure that new employee:-
• Has been introduced to all the members of his or her department.
• Clearly understands his or her job reporting channel.
• Has a clear understanding of the function of the department.
• Is fully aware of his or her job description and responsibility.

Prior to joining the employee has to report to the HR Department for following processes:
● Medical Examination

● Bank Formalities
The induction shall be conducted at a centralized location and it shall be common for all
functional categories of employees (doctors, nurses, paramedics, supporting staff and so on.
The Induction program shall cover aspects such as
• A tour to show the physical Layout of the hospital
• Hospital Profile and introduction to key people
• Vision/Mission of the organization
• HR Policies
• Awareness to Quality Standards.

Employee rights & Responsibilities:


Employee’s Rights
1. Employee has the right against discrimination and harassment.
2. Employee has the right to take a meal break during the day as per the hospital’s policy.
3. Employee has the right to avail the medical benefits as per the policy laid by the hospital.
4. Employee has the right to register a complaint or file a grievance as per the laid down
grievance procedure of the hospital.
5. Employee has the right to get the salary as per the laid down rule for the number of days
worked for the previous month.

6. Employee has the right to choose not to continue working with the hospital by serving the
notice period as applicable to him/her.
7. Employee has the right to a safe workplace.
8. Employee has the right to ask for his/her role clarity.
9. Employee has the right to seek guidance from seniors.
10. Employee has the right to be treated with respect and dignity.

Employees’ Responsibilities
1.Employee has the responsibility to arrive at work on time
2. Employee has the responsibility to dress suitably for the job(uniform in case applicable for
the job)
3. Employee has the responsibility to obey safety rules
4. Employee has the responsibility not to discriminate or harass others at the workplace
5. Employee has the responsibility not to act in any way that puts the employee or others at
risk of injury at the workplace.
6. Employees have the responsibility to notify supervisor /HOD prior to absence. In the event
of emergencies, when prior notification is not possible, employees are obligated to notify
their supervisor/HOD of their absence at the earliest possible time.
7. Employee has the responsibility to be familiar with the work standards associated with
his /her job performance .Standards for work performance may be obtained from the
supervisor as well as the job description.
8. Employee has the responsibility to inform HR department for change in name, address,
telephone number, marital status or number of dependants.
9. Employee has the responsibility to wear ID card during the duty hours and while being in
the hospital premises.
10. Employee has the responsibility to immediately report injuries or accidents.
11. Employee has the responsibility to complete medical examination as existing protocol in
the hospital.
12. Employee has the responsibility to complete ongoing education/training appropriate to
their role or as stipulated by the department concerned.
13. Employee has the responsibility to carry out reasonable requests and instructions of the

14. Employee has the responsibility for maintaining confidentiality at workplace.

Apart from the centralized induction, it shall be the responsibility of the HOD of respective
Department to conduct an orientation program to familiarize the employees with the
departmental environment in which they shall be working as relevant
department/unit/service/programme’s policies and procedures.
