Outline of Periodic Maintenance Record Book

This program is written by Microsoft Excel 97 and we have developed so as to be able to create a
digital data sheet ( work sheet ) or print material at site. We have been issuing the books and this one
will substitute the books and upon request we create them in digital way using this.

In this program two kinds of file are used , one is of the creating program and another is master data.
One file , the creating program , PM Record Book.xls and master data file for each model are used.
The creating program is to be installed in a specific folder on the hard disc “C”. And the master data
files, CSV text files can be stored in any folder as required.

This program is developed for whom knows Microsoft Excel 97 well and therefore when somebody is
not good in Excel program and use this , this program may be damaged by improper operation.
Please ask somebody who is a good Excel program operator.

How to install the program

Install necessary files in your PC.

1. Creating program
File name PM Record Book .xls
This is a file to create Periodic Maintenance Record Book or view them.
Other necessary file to operate the program
(1) Mater database ( read these file and display them )
We provide these file as the issuance for new models or revision.
And you can create necessary one locally basing on the Operation & Maintenance
Book.
Example : D475A_3E.CSV ( The extension is CSV. )
(2) Microsoft Excel 97 (This is the required program to operate this.)
Caution: This program can not be operated except Excel 97.

2. Hardware circumstance
A PC is required in order to be usable with Microsoft Excel 97.

This is only applicable in Excel 97 circumstance.

3. Installation
(1) Create a directory, “PMRB” on the hard disc.
(C:\PMRB folder is recommended).
(2) Copy all the files in the folder, PMRB.
(3) ’’PM Record Book.xls’’ is clicked double and start the program.

A SHORT CUT can be created on the display and can be started.

Start and end the program

1. ’’PM Record Book.xls’’ is clicked double and the following display appears.
(or open Excel first and it can be
open as well. )

2. The display consists of the two


one.

2-1) The first one shows where


master file is stored.

2-2) Start button to create a book.

Special Note :
Open Excel worksheet under the macro
operating condition ( see the left )

Confirmation of the program version


After installation, check the program version.

Keep a back-up file


Any file may be damaged and so keep a back-up file.

1. Back up of the program file (PM Record Book.xls )


(1) Keep a back-up program when it is lost just in case.
(2) Do not customize this program.
(3) When open PM Record Book.xls by Excel 97 and make back-up file with a different name,
carry out it by Excel 97 type file without any fault.
(Excel 95 type file cannot be used.)

2. Make a back-up file of master data file, XXX.csv in the same way.

Before starting to create a P. M. Record Book


Set it up a path to master database file ( CSV file ) in the stored area.

Up to 12 models can be registered.


To create P.M. Record Book, retrieve the stored data file (* CSV ) with the path.

1. MODEL column
Input model & type
e.g.: PC200-6

2. File Path & File Name column


Register file path and name for each model.
e.g.: C: \PMRB\PC200_6.csv

3. Note column
A memo can be written here.

Notes 1. In order to create P.M. Record Book


File Path & File Name must be registered correctly in the column.
2. In some country symbol like \ may be different.
3. The display shows an example that the file (XXX.csv) is saved in the C:\PMRB
For example, the data D475A-3 is saved as D475A_3_E.CSV and if it is saved in the
C:\PMRB folder , register it as C:\PMRB\D475A_3_E.CSV in the File Path & File
Name column.

Now it is ready to set up the program , Periodic Maintenance Record Book.

Operation
Create a PERIODIC MAINTENANCE RECORD BOOK.

When open the program file (PM Record Book.xls), the following work sheet is displayed.

1. Select model and click it.


Select D475A-3 as an example.

(The program is ready to create a Periodic


Maintenance Record Book using the data file
registered in the File Path & File Name column.)

Even if you click the No, not registered, the program does not start.

2. Select hours of start and end by down


bar and click yes , it starts.

Select 250H to 5000H as an example

If you want to cancel the creation ,click NO.

3. A PERIODIC MAINTENACE RECORD


BOOK has been created.

(Each interval hours has a work sheet.)

To confirm each sheet content, open it one


by one.

4. Open each sheet of each interval

Confirm all sheets are created.

(input the record and save them.)

Note : Print lay out should be rearranged due


to different lay out of each printer driver
which you use.

5. Save the work sheet


Put a different file name and save it.

(1) Save it with a different name.

(2) Use clear name using machine model and type to save it
Please do not use special character like, - and so on.

Special note when save it with a different name•


• Use Microsoft Excel Workbook(*.xls) form to save it.
• Do not save as Microsoft Excel 5.0/95 Workbook(*.xls) or Microsoft Excel 97&5.0/95
Workbook(*.xls).

Appendix
Tips to use PERIODIC MAINTENANCE RECORD BOOK creating program.

Countermeasure when error may happen.


For your information, the following causes are highly possible when error happens.

1. When the button to create is depressed on MENU worksheet


(1) No Database registered on INIT worksheet
In File Path/File Name column the data is not registered.

(2) No such file


In File Path/File Name column, no master database is available.
Or the setting contents is not correct.

(3) Some Work Sheet missing


The program file(PM Record Book.xls) is broken.
Install the back-up file and try again.

(3) No Language data in a database (XX)


In the retrieved master database(*.CSV) item(XX) , data is not available.
Register correct File Path and File Name.

2. Error in Select Hours dialogue

1. Select Correct Hours


Hours of start or end are not selected.
Hour of start is bigger than the one of end.

If any problem still remains after all action mentioned above, do followings

1. Change the program file(PM Record Book.xls) with the back-up one.
2. Change the master database file with the back-up one.

Maintenance of the program (for programmer only)


Creation of PERIODIC MAINTENANCE RECORD BOOK by yourself locally.

From here it explains to customize PERIODIC MAINTENANCE RECORD BOOK to a different


language and create a master data file (XXX.csv text file) for new model which is not yet available
from Japan.
Excel 97 is required to carry out the contents explained in this chapter.
In other words, when you need a Japanese one, you need the Japanese version Excel 97. To change
to Spanish, Excel 97 Spanish version and as same way Excel 97 French one for French language.

1. Display in local language


Local language display is possible partially in the program file (PM Record Book.xls).
This is for your reference when you localize it.

Note: Changing the contents of the files may affect seriously to the program running.
Please carry out very carefully.
After changing it in local language, check the performance and the results carefully.

The following items can be changed in local language.


Sheet name : HEADER

(1)PERIODIC MAINTENANCE
RECORD BOOK
(2) Serial Number:
(3) Range Hours:
(4) Form No.: (Top Right of a screen)
(5) Customer Name
(6) Job site
(7) Machine Serial No.
(8) Engine Model
(9) Engine Serial No.

Sheet name : MENU


PERIODIC MAINTENANCE RECORD BOOK, UPDATE, NO, MODEL, File Path/File Name, Note can be
changed in local one. The sheet is protected and after releasing it and change it.

After changing, protect it again.


Note : Do not change any button !

(1) Data is displayed in each Hours of periodic maintenance


The data with A flag only is recognized for the items of periodic maintenance. The hours
column like 250,500,750,1000….shows blank or “1” and the item with “1” is recognized
as the periodic item for the specific Hours.

In case to translate in local language


Translate ITEM,SERVICE column into local one, the PERIODIC MAINTENANCE
RECORD BOOK can be obtained in a required language.

Note : The data without A flag is read in the program, an error message appears and stop running
to create a PERIODIC MAINTENANCE RECORD BOOK.

(2) Data is displayed as items of When required
The program recognizes the data with B1 flag only as When required item. Even if the
data with B1 has some data “1” value, it does not affect and is displayed as When
required item.

To translate these item into local language


Translate ITEM,SERVICE column into local one to create a local version PERIODIC
MAINTENANCE RECORD BOOK

Note : When a data file without any record with flag B1 is read into the program
Error message appears and stop running the program to create PERIODIC MAINTENANCE
RECORD BOOK

(3) The data is displayed as Consumable parts/Lubricants
The program recognize the data with B2 only as the items for Consumable
parts/Lubricants. Even if the data with B2 has some data “1” value or blank, it does not
affect and is displayed as Consumable parts/Lubricants item.

To translate this master database into local language


Translate ITEM,SERVICE column into local language to obtain a local made PERIODIC
MAINTENANCE RECORD BOOK..

Note : When a data file without any record with flag B2 is read into the program
Error message appears and stop running the program to create PERIODIC MAINTENANCE
RECORD BOOK.

The program recognize the data with flag C1 to C4 only as HEADER item. And even if
“1” is input or not in the Hours column 250,500,750,1000.
The data is displayed with C1 to C4( e.g.: D475-3 ) in the specified column.
Note : When a data file without any record with flag C1 to C4 is read into the program
Error message appears and stop running the program to create PERIODIC MAINTENANCE

The program recognize the data with flag D1 to H5 only as the message.
And even if “1” is input or not in the Hours column 250,500,750,1000, the data is
displayed with D1 to H5( e.g.: D475-3 ) in the specified column.

To translate this database into local language


Translate SERVICE column into local language, message appears in local one.
Do not translate ITEM column to remain them as reference for translation.

Note : When a data file without any record with flag D1 to H5 is read into the program
Error message appears and stop running the program to create PERIODIC MAINTENANCE
RECORD BOOK

3. Create database file

Please refer item 2. Local language display of database file to create master data file
for a new model.
