Guidelines for Use

The Due Diligence Checklist is divided into nine distinct worksheets :

1 - Fixed Assets
2 - Human Resources
3 - Contracts
4 - Operations / Infrastructure
5 - Operations / Distributed Communications
6 - Help Desk
7 - Telecommunications
8 - Application Development and Maintenance
9 - Facilities and Environment

The worksheet applicable will depend upon the scope of the activity in question

Each relavant worksheet should be assigned a Workstream Leader

For each Data Item Ref there may be multiple sources of data/documentation. When using this checklist
please can you enter each new document reference against the Data Item Reference to which it relates.
The completed cross referenced checklist can then serve as a data index to aid the team and prospective
bidders navigate around the Data Room.

There may be a number of Data Item Refs that may not be applicable to the excercise in which case please
state so together with the reason so that we can validate it. By following this principle we should ensure that
we do not leave any stone unturned and that we avoid costly surprises and data gaps later in the sourcing
process.

Blank Column Headings (for input):

Action Owner The individual who is most closely associated with the source data.

Due By The date by which the source data needs to be deposited in the Data Room.

Source of Data The origin of the data – company, department, etc .. This will allow us to retrace our steps in
the event of queries and clarifications and provides a clean audit trail.

Contact Name The name of the person responsible for responding to queries/ clarifications that may arise
with regard to the source data.

Data Room Ref The unique reference number that will be allocated to the document/data when it is deposited
into the Data Room.

Revision Number The revision number of the original source data/document so that we ensure we deposit and
maintain the most current versions of documents in the Data Room.

Date Received The date on which a source document is received by the Action Owner.

Date Catalogued The date on which the source document is deposited into the Data Room.

Document Name Self explanatory, anything that helps to describe the specific piece of data or document.
