Project Title: Create New Employee Orientation Learning Module for Intranet
Project Start Date: 04/08/2019 Projected Finish Date: 06/14/2019
Budget Information: $25,000
Project Manager: Ryan Guy, rguy3@capellauniversity.edu , 920-410-8078

Business Need
New Employee Orientation Learning Module Creation for Intranet - HR is requesting this so they
can spend less time orienting new employees.

Project Objectives
Provide a brief statement regarding the implementation of the project (for example, implement….then follow with
bullet points regarding the major deliverables).

HR is looking for a Learning Module to be created on the Intranet to help with New Employee
Orientation. Systems that are currently in place will need to be check to make sure this project is
compatible with all systems prior to and during implementation.
 Check Current Systems for Compatibility
 Discover Hardware and Software that is Compatible with Current Systems
 Meet with HR to get information and understand how they want it setup along with
finding out who will be managing
 Discover potential Risks, how they can potentially be avoided and have a plan in place in
case something does happen
 Communicate about the changes to the Company Users/Employees
 Train Users who will be using the Module and ensure they know how to change content
after the project is completed

Approach
Provide a brief description regarding how the project will be managed – for example: This project will be managed in
accordance to the PMI approach as modified.

Project Schedule will be developed to ensure that the project stays on schedule and meets
specific deadlines to have this completed by June.
A cost analysis will also be developed to help make sure the project is staying within the budget
that has been set for the project.
Use Agile Approach:
 Adaptive to changing business needs, giving the organization more influence over
adding, changing, or removing requirements.
 Provide early and continuous feedback to improve communication and empowers
business owners who can receive and review critical information necessary to make
decisions to steer the project throughout the development process.

Assumptions/Constraints/Dependencies
State your assumptions: That is, it is assumed that the infrastructure to support the application is in place and
requires no updates (this is an example only—modify to suit your project situation).
A constraint might be: The resources for this project may not be available as needed and alternative solutions may
be required.
A dependency might be: This project is dependent on the infrastructure project (name) to be completed before this
project can proceed.

Assumptions
 Key project member’s availability
 Key project member’s skills
 Accuracy of the project schedule dates

Constraints
Technology limitations: the Orientation Learning Module might work better on chrome than
internet explorer because of chrome offers Simplicity as well as speed. However IE provides
better security.

Dependencies
Project must be approved by director and VP before implementation.

A dependency might be: This project is dependent on the infrastructure project (name) to be completed before this
project can proceed.

Initial Risk Factors

Describe the risk factors identified to date.
 project team members have not been reporting hours that they worked
 Delay and cost overrun in project could be as a result of scope change.
 Design errors could delay the project
  unexpected events
 organisational strategy prioritising some projects over other due to strategic objectives
 Lots of information needs to be collected from different resources.
Project Team is spread across the country which will create an obstacle that we are willing to
overcome by keeping in constant communication to make sure each other is keeping up with
the assigned tasks to team members for each week.
Initial Risk Factors
Considering the four stages of the project life cycle can help the management team to identify
the project risk factors in each stage. The four project life cycle stages are Starting the project,
Organizing and preparing, Carrying out the work, and Closing the project.
 Starting the project risks:
1. Several information or data are not stated in the plan.

2
Project Charter
2. No official cost-effective breakdown takes into observance.
3. The project idea founder is unidentified.

 Organizing and preparing:

1. Parts of the plan clauses are missing.
2. All team members do not confirm some or portions of the plan.

 Carrying out the work:

1. Team members are not following the project plan accurately.
2. Team members who weren't part of the plan preparation, they tend to not review the
plane in detail.
3. The team leader has not assign team members identity and concentration.
4. Project team members have not created the team executions to settle disagreements,
make the final decision, or preserve team members communication.
5. Shortage or inaccuracy in information related to the interpretation, and resources
disbursement.
6. Reporting in project improvement is incompatible
7. Team members proceed to the next stages without fulfilling one or more of the previous
stages.

Closing the project:

Regulatory Cost/Impact
$25,000 for the hardware & software along with the cost of the team members who will be
working on the project as well. The impact should be minimal as long as all network
components are able to support the additional hardware and software that would be running the
application.
