Definition of Term

A program policy is a set of guidelines and rules that define the principles,
expectations, and procedures for the implementation of a specific program. It
serves as a framework to ensure consistency, transparency, and accountability in
program operations. Program policies outline the responsibilities of different
stakeholders, establish standards and criteria for participation, and provide
guidelines for decision-making and problem-solving. These policies help create a
shared understanding among participants and facilitate effective program
management and delivery. By following program policies, organizations can
maintain quality, mitigate risks, and achieve the desired outcomes of the program.

Applicable to all stakeholders (EPs, OPs, and AIESEC) at any stage of an AIESEC
Exchange program.
Compliance with AIESEC Entity's contract and AIESEC Exchange Program
Policies.
Clauses and responsibilities to be understood and followed by all parties
involved.

General Responsibilities of EPs
Comply with criteria stated in Section 3.3 of the document which is

To qualify as an Exchange Participant (EP), individuals must meet the following


criteria:
1. Age Requirement:
Be between the ages of 18 and 30 at the time of signing the exchange contract
and reaching the "Approval" stage on the AIESEC official platform.
An individual is considered 30 years old until the day before their 31st birthday.
2. Familiarity with AIESEC Exchange Program:
Have read and understood the basic information about the AIESEC Exchange
Program(s) they are applying for. This information can be obtained from the
AIESEC website or through the local AIESEC Chapter in their city or university.

3. Language Proficiency:
Demonstrate the required language proficiency specified by the internship
opportunity or social project offered by the Opportunity Provider (OP).
4. Ability to Work or Live Abroad:
Acknowledge the capability to work or live in a foreign country, considering the
cultural and environmental differences.
5. Qualifications:
Through the application process, demonstrate possessing all the necessary
qualifications to fulfill the internship opportunity or social project offered by the
OP.
Meeting these criteria ensures that EPs are eligible and well-prepared for their
participation in AIESEC's Exchange Program

Comply with criteria stated in Section 3.3 of the document.

Proactively resolve issues and actively participate in negotiations with the OP, if
needed.
Follow complaints protocols as outlined in Section 6 of the document.

General Responsibilities of OPs

Comply with criteria stated in Section 3.4 of the document. Which state
To qualify as an Opportunity Provider (OP), a company or organization must meet
certain criteria:
1. Legal registration in the country or territory of operations.
2. Support and respect AIESEC's values, mission, and vision.
3. Provide an appropriate working environment for the EP's job description and
leadership development.
4. Ensure the EP's safety and prevent discrimination based on race, gender, etc.
5. Comply with legal requirements, including visa and invitation processes.
6. Meet program minimums, such as salary and accommodation costs.
An organization cannot apply if it disagrees with the conditions, breached AIESEC
policies, contradicts AIESEC's values, fails to meet legal requirements, or lacks the
capability to provide legal status. AIESEC reserves the right to refuse a contract if
any criteria are not fulfilled. 8
Finish Realization Earlier
Finished Realization Earlier: If an AIESEC Exchange ends before the stipulated
dates, it is still considered a completed exchange rather than a broken one.
Requesting Early Finish: The EP and/or OP can request to finish the realization
earlier under specific conditions.
No violations of AIESEC Exchange Program Policies before the request.
A written agreement between the EP and OP must be provided to the AIESEC
Host Entity (HE) for officialization.
The total duration of the exchange must comply with the minimum duration
requirements for each program.

Finish Realization Earlier
EP Request for Early Finish: An EP can request to finish a realization earlier in
certain circumstances:
Emergency in the family (proof required).
Dangerous health situation for the EP (proof required).
Danger in the work area due to war, natural disasters, revolution, terrorism,
etc.
OP Request for Early Finish: An OP can request to finish a realization earlier in
certain circumstances:
Bankruptcy or sale to a third party unable to continue the exchange.
Failure to fulfill obligations due to circumstances beyond their control (proof
required), such as natural disasters, conflicts, political crises, health
emergencies, or states of emergency affecting the exchange
countries/territories.

Proactively resolve issues and actively

AIESEC, if needed.
Follow complaints protocols as outlined in Section 6 of the document.

General Responsibilities of AIESEC
Entities
Provide information and assistance on complaint procedures to EPs and OPs.
Ensure exchanges comply with national and local labor regulations and AIESEC
Exchange Program Policies.
Safety checks for EPs in case of natural, social, health, or other crises.
Constant communication and coordination between AIESEC Sending Entity (SE)
and AIESEC Host Entity (HE).

Host Entity (HE)
Selection process collaboration with OP.
Regularly inform applicants and AIESEC SE about application progress.
Educate OPs and EPs on AIESEC Exchange processes, including Leadership
Development Model (LDM) and AIESEC Exchange Standards.

Sending Entity (SE)
Assign an EP Manager (EPM) to support EPs throughout the exchange.
Educate EPs on AIESEC Exchange processes, including Leadership Development
Model (LDM) and AIESEC Exchange Standards.

Policies Before Approval
Responsibilities of EP applicants:

Complete accurate profile information on the AIESEC platform.


Fill necessary application forms.
Participate in selection processes organized by AIESEC SE and HE/OP.
Submit required documentation (contract, medical examinations, valid passport,
etc.).
Take Leadership Development Assessment on the AIESEC platform.
Pay program fees to AIESEC SE.
Non-compliance with instructions may result in denial of the exchange
opportunity.
