Employees (Cleaner, Inspector, Account Manager)

Inspectors, Cleaners and Account Managers will be the employees and their profiles will be created in
Employees’ module.

Job Position field can be used to identify an employee on the basis of designation.
Customers

Customers’ accounts will be recorded as main Contacts in Odoo.

Properties

In the Contacts & Addresses section, User will be able to add properties for the main contact
(Customer). In this way all the properties will be linked to the main contact (Customer) automatically.

A configuration menu is given to add the configure and add the special requests.
When clicked on Special Requests link from configuration, it will open following window. Where user
will be able to add special requests.

When clicked on add button it will open the following for with the required fields.

• User will be able to enter Property name, Number of Beds, Property Address.
• User will be able to select Cleaner, Inspector and Account Manager and their emails and phone
numbers will be auto populated from the employees’ profile.
• Special Requests field will be multivalued selection field. All the special requests created in the
configuration will be shown in this field and user will be select the values according to the
requirements.

Also, an option will be given with the name “Properties” in the menu.

When clicked, it will show the following screen. And User will be able to create the property as well.

A new field (Contact Name) will be added to record and link the property with the contact.
Bags
An app will be able to create bags and view the bags records.
When clicked on Create New button following screen will show up.

• System will generate and assign a unique number to bag automatically.


• User will be able to select property, which will automatically link this bag to property selected.
o This will be helpful when a new bag has to be added for that property.
• All the properties that have been created in the system will be available for selection in Property
name field. And its other information i.e. address will be populated automatically.
• In Cleaner Name field used will be able to search and select a cleaner and its phone will be auto
populated in the Cleaner Phone field.
• In Inspector Name field, the user will be able to search and select Inspector and its Phone
Number will be auto populated from the Inspector’s profile.
• Checkbox to create bags in bulk is available. Once checked it will show a new field where user
will be able to enter the number of bags that he/she wants to create and the that number of
bags will be created in bulk. (as shown in the following picture)
• Batch# selection field will be optional, when a batch selected this bag will be automatically
added to the Batch.
Weighing App

Weighing App will be available to record the weights for the bags.

When user scans the label then the bag property will be automatically selected. Once it is selected then
all the bags for this particular property will be shown in the left panel.

User will be able to search the bag and can click on the bag tile to add the weigh.

When a label is scanned, its BAG information will be popped up and it will ask for the Bag Weight.

User will be able to add the weight for that bag.

If a bag was missed by any chance and received later, then user has the option to add this bag to the
previously created ProcessBatch.
When clicked on Next button, the weight will be updated on the bag profile, on the Batch line for that
particular bag and system will be ready to scan another label.

When a user has scanned all the labels for the property selected then he/she will click on Done button
and system will create a Process Batch for the bags whose weight has been entered during this session.

Also, system will print the labels for this particular process batch with the entered weight.

Note: Session starts from the first label scan and ends when user click on Done button.

Batches

When user creates bags in bulk with no Batch# selected then the system will create a Batch
automatically.

• User will be able to print labels (Without Weight) using the Print Labels button.
Process Batches

User will be able to access Process Batches/ Processes from the menu.

• Once Validated, that means the bags has been delivered back to the customer after Laundry and
these bags will be available for another process.
• User will be able to print Work Order labels using the Print Labels button.

Printing Labels

Print label button is available on the bag. Which will be used to print the label for that particular Bag.

Also, if wanted to print labels in bulk then the user will be able to select all the bags that were created
previously and then print the labels in bulk.
