<INSERT ORGANISATION NAME> ABSENCE DUE TO SNOW LETTER

Dear <insert Employee Name>,

On <insert date>, you did not attend work due to the bad weather. Although it is
understood that it was difficult for you to get to work, I am sure that you will understand
that some employees did get to work and it is not appropriate to reward those who worked
and those who did not in the same way. I would remind you of our company policy on snow
days – which emphasises that employees must either get to work or, if feasible, work from
home. If employees do not do this, then they will not be paid for the day that they did not
attend.

I am writing to inform you, therefore, that [you will not be paid for the day you did not
work, which will mean that <insert £ amount> will be deducted from your pay] OR [you will
be required to take <insert date> as a day’s holiday] OR [you have the choice of having
<insert £ amount> deducted from your pay which is the equivalent amount of a day’s pay or
you can choose to take the day as annual leave. Please inform your Line Manager of your
choice>.

If you have any questions please do not hesitate to contact me.

Yours Sincerely,

<Insert Name and Job Title>
