The License Manager

Chapter 1
1. The License Mana ger

The License Manager is an application for managing your software


licenses of FluidSIM. The licensing is not done via an USB connector
on the PC or in the private network, but with a license server in the
Internet. You can easily create user groups, limit the access to
FluidSIM for a specific amount of time or block individual users. For
Educators especially handy is the ability to spontaneously send
messages to students, who are currently working with FluidSIM. In
addition, circuits and other files can be easily shared and edited
directly in FluidSIM. With this FluidSIM can be used in a very flexi-
ble way, without a possible loss of licenses or that the license is
bound to a specific hardware. In addition, the License Manager
provides an easy way to manage trainees from a distance, and to
support their learning.

1.1 System requirements

The License Manager can be used on any PC running Windows 7, 8,


10 or 11 with a direct internet connection. The Internet is accessed
via HTTP (port 80) and HTTPS (port 443). Access must be allowed at
least to the domain www.shopsys.de so that the license servers can
be reached.

2. First steps

To use the License Manager you need a license manager account.


Via this password-protected access you can centrally manage all
your licenses for the different technologies of FluidSIM (pneumat-
ics, hydraulics and electrical engineering).

The license manager account is only intended for the administra-


tion of licenses and user groups with the License Manager. Thus,
the account credentials shall not be given to the users of FluidSIM.

The following describes how to create a new license manager


account, log in to the license server for the first time, and create a
group. In the following chapters, you find more information about
the concept of the license management and all functions of the
License Manager.

2.1 Create new license manager account

→ Start the License Manager. A dialog appears to login to the


license server with user name and password.

→ Click the Create new account link at the bottom left of the

→ Enter your desired username for the license manager account,


a secure password and the ticket number of your FluidSIM li-
cense ticket in this dialog. User name and password can be
chosen freely, but there must not be any spaces and the user
name must not already be used by another account. Likewise,
the license ticket must not already be assigned to another li-
cense manager account.

After clicking Create new account your data will be checked. If the
creation of a new user account was successful, you will receive a
corresponding message. Afterwards the dialog will be closed auto-
matically and the entered access data will be taken over into the
login dialog.

If the creation of the user account was not successful, e.g. because
the user name is already assigned, a corresponding error message
is displayed in the dialog.

2.2 First login

→ Enter your license manager account username and password in


the login dialog. If you have created a new account in the pre-
vious step, these fields have already been filled in automatical-
ly. With the Remember my credentials option you can specify
whether the password for the login should be saved on the cur-
rent PC.

After clicking OK your credentials will be checked and then the


application will start.

If the login was not successful, this might have the following rea-
sons:

— Message: Login failed.


The user name or the password is not correct. Please check
your input. (Use the eye-icon within the password field to make
the password visible.)

— Message: Unable to communicate with the license server.


To manage your licenses you need an Internet connection.
Please check your Internet connection and any firewall set-
tings.

If you have forgotten your password, you can use the Forgot pass-
word link in the bottom left of the login dialog to change the pass-

word of an existing account. All your need is the account user name
and the ticket number of one license ticket that is currently associ-
ated with the account.

On the first start the preferences dialog of the application is auto-


matically shown. Here you can select the program language and
assign an alternative name for the display in chats with users.
Choose a display name here that clearly identifies you to your
users.

The settings can be changed later again.

2.3 Create the first user group

The access to your FluidSIM licenses for a particular group of users


is granted with the creation of a user group within the License
Manager.

→ Click the button Add on the left side of the main window
below Groups.

→ In the next dialog, enter a name and password for the new
group. Name and password can be freely chosen by you. Only
the name of the group must not already be used by another
administrator.

Now you have set up your first user group. You can pass the group
name and password to the user. The users of FluidSIM need only
these credentials to login to the user group.

The license manager account details are your secrets. Do not pass
them to users.

The number of FluidSIM licenses determines how many users can


log on simultaneously. With every logged in user and started tech-
nology a license is consumed, as long as the user actively uses
FluidSIM. As soon as FluidSIM is closed by the user, the licenses of
the used technologies are released on the license server.

3. Conce pt of the license mana gement

With your license tickets a specific number of FluidSIM licenses of


the three technologies pneumatics, hydraulics or electrical engi-
neering is associated. Access and use of the licenses are handled
by special license servers in the Internet. With the License Manager
you manage access and usage of these licenses.

You can purchase two variants of licenses:

— Full version
These licenses can be used as local installation on a single PC
or as network licenses in the local network. Additionally, you
have the flexibility to automatically use all licenses that have
not been installed locally as online licenses with the License
Manager. These online licenses can be used by the students via
corresponding user groups on each PC.

— Home Use Version


These licenses can be purchased as a supplement to licenses
of the full version of FluidSIM. They cannot be installed locally
and are therefore exclusively available as online-only licenses.
Use of the HomeUse licenses in the educational institution is
prohibited. The licenses are intended for use by students at
home.

If you have purchased licenses for multiple technologies, you


probably also have different license tickets. Each of these license
tickets can be linked to your license manager account so that you
can use all licenses of the different technologies together. Manag-
ing the tickets that are linked to your license manager account is
done with a separate dialog, which is described below.

3.1 Manage tickets

The Manage Licenses... menu item in the Tools menu takes you to
the management of tickets associated with the license manager
account.

All license tickets that are linked to the current license manager
account are displayed here with the included FluidSIM licenses in
tabular form. After the first login, you will see here the licenses
from the ticket you used to create the license manager account.

If you have additional license tickets, e.g. for additional technolo-


gies, you can add these tickets to your user account very easily. To
do so, click the Add ticket... button and enter the ticket number of
the additional ticket.

After you confirm the entry, the ticket is checked and added to the
account. The additional licenses will be displayed directly in the
ticket listing afterwards. This way, you can add tickets with licenses

for the full version as well as tickets with licenses for the HomeUse
version to your user account.

Only tickets with valid FluidSIM licenses that are not currently
assigned to any other account can be added.

Once added, tickets can also be removed again. To do this, select


the desired ticket in the table and then press the Remove ticket
button. When you confirm the request, the ticket will be unlinked
from your account. This will free the ticket and it can be added to
another license manager account if necessary. Note, however, that
by removing the ticket, you also remove all licenses it contains.
These licenses will no longer be available to users in your groups.

Licenses for the full version of FluidSIM can be used flexibly for a
local installation or for use as an online license. The listing shows if
a certain number of licenses of the ticket has been used for a local
installation. These are then not available for use as an online li-
cense. For example, if 4 of 10 full version licenses have been in-
stalled locally, 6 licenses remain for online use.

Local activation and deactivation of full version licenses is done


with the Activation Wizard. You can call it from the License Manager
via the Start Activation Wizard button. First, select a ticket with

licenses of the full version in the table and then press the button.
The activation wizard will then be started with the selected ticket.

3.2 User groups

The use of your purchased FluidSIM licenses is based on user


groups that are set up and maintained with the License Manager. A
user group basically consists of a name and a password.

With the License Manager you easily set up these user groups.
Then you tell your users group name and password. With this login
data, your users can start FluidSIM and authenticate on the license
server. By managing licenses and user groups on license servers in
the Internet, users can use FluidSIM at any location with Internet
access.

With creation of a new group you define, how long the group is
valid. As long as the expiration date is not reached, the users can
login to your group and work with FluidSIM. After the expiration
date, the users can no longer login to your group, although they
still have group name and password. Thus, the login credentials
lose their validity automatically, even if you forget to manually
delete the group.

If you want to control access to your licenses even more finely, you
can also set up a schedule for a group. This allows you to specify at
what time on which days of the week the group should be valid for
your students.

As long as a user is logged in to one of your groups, it consumes a


license per started technology. If all your licenses are in use, no
more other users can log in to your groups. It can thus simultane-
ously only so many users be logged in as you have purchased
licenses for the different technologies of FluidSIM.

Via the License Manager any number of groups can be created and
managed. You can thus allow multiple groups access to your li-
censes. The licenses are thereby shared across all groups. This
means, still up to as many users can work simultaneously with
FluidSIM, as licenses are available, but they do not have to use the

same group. In addition, if you have licenses for multiple technolo-
gies, you can restrict access to specific technologies, giving you
control over the use of individual licenses per group.

Management of multiple technologies

By default, all technologies for which you have licenses are availa-
ble to the users of your groups. When FluidSIM is started, the user
is shown which technologies are available. The user can decide at
this point whether he wants to use only one or several technologies
in the current session. Depending on the decision, a corresponding
number of licenses are occupied at the license server. If the user
selects two technologies, one license is occupied per technology as
long as he works with FluidSIM.

You can use the quota of a group to limit the available technolo-

4. Group ma nage me nt

In this chapter the possibilities to create, change and delete user


groups are described. The user groups are the base for distributed
use of FluidSIM licenses. The underlying concepts are described in
the previous chapter "Concept of the license management".

The display of the groups is done in the left part of the main win-
dow of the License Manager. Here are all created groups displayed
by name in a list. In the “Users” column you can see how many
users are currently logged in a group and how many users were
already logged in total. In the column “Expiration time” is dis-
played, how long the group is valid.

Buttons are available above the list to quickly access administra-


tive functions for the groups. All functions for group management
are also available via context menu by right-clicking on a group in
the list or in the list window.

4.1 Add a new group

→ Click the button Add above the group list or select the context
menu item Add Group... from.

→ In the dialog you can now enter the name and password for the
new group. (Click on the eye icon on the right side of the pass-
word input field to see the password.)

The new group appears in the list according to their alphabetical


order.

You can now pass group name and password on to your users. This
information is sufficient for your users to use the FluidSIM licenses.

Again the note: The license manager account details must not be
passed on to the users of FluidSIM. The credentials should always
be restricted to the administrator.

4.2 Change the expiration date

With the following steps you can change the expiry date of a group.

→ Click the button Set Expiration above the group list or select
the context menu item Set Expiration... from.

→ In the appearing dialog you can now define the new expiration
date. Confirm the dialog with OK .

The Option Start expiration at first user login is only available in the
full version.

4.3 Create a schedule

With a schedule you can control at what time of day and on what
days of the week the selected group should be available to your
users.

Schedules are only available in the full version.

→ Select the group for which you want to create or edit a sched-
ule from the list of user groups.

→ A new dialog appears where you can create a new or edit an


existing schedule for the group.

This dialog lists in tabular form all individual time slots where
access to the group is granted. Each time slot is defined by a start
time, end time and the days of the week when the time slot is
applied. All time slots together define the access schedule for the
group.

In the above example we have one time slot that limits the access
to the group from 09:00 till 11:00 on Monday through Friday.
Outside of this time slot the group is not accessible for your users.
If no time slots are defined at all, the access to the group is not time

restricted and the users can access the group at any time of the
day. This is the default setting for all new groups.

To add a new time slot to the schedule use the Add below the list
of time slots. This opens a new dialog, wehere you can specify the
start time, end time and select the weekdays on wich the time slot
should be valid.

In this example we specified a new time slot that should be valid


from 08:00 till 18:00 on the weekend.

→ Klick OK to accept the new time window and to add it to the


existing schedule.

Now the group is accessible from 09:00 till 11:00 on weekdays and
from 08:00 till 18:00 on the weekend.

All start and end times always refer to the time zone that is dis-
played below the list with the time slots in the dialog. When you set
up a new schedule for a group, the time zone of your PC is automat-
ically selected here. Select another time zone from the list, if the
given times should refer to another time zone.

By combining several time windows, you can thus control access to


your group very precisely and design it according to your needs.
With the help of the two buttons Edit... and Delete you can
change or delete existing time slots at any time.

If you have already set up a schedule in another group and want to


apply the settings to this group, you can do this using the Take
over from another group button.

4.4 Change the group password

→ Select the group where to change the password from the list of
user groups.

→ Click the button Change Password above the group list for
changing the password of the selected group. Alternatively, us-
ing the right mouse button open the context menu and select
the entry Change Password... .

→ A dialog appears, in which you can enter a new password then


confirm the dialog with OK .

If you change the password of a group, all users who are still in
possession of the old password, have no longer access to the
group. You can therefore use the change of the password to pass
access to the group in the License Manager to new users and re-
strict access for the previous users.

4.5 Delete group

→ Select the group to delete in the list with a mouse click.

→ Click the button Delete above the group list to delete the
selected group. Alternatively, using the right mouse button
open the context menu and select the entry Delete... .

→ It appears a prompt to confirm the deletion of the group. Here


you can check if you have selected the right group to delete.
Confirm the dialog and the group is deleted.

Chapter 5
5. User mana gement

The user group is displayed on the right side in form of a list in the
main window of the License Manager. Always the users of the
currently selected group on the left will be displayed here. For new
groups the list is empty, until users have logged in with a group
name and password in FluidSIM.

The users are displayed in the list in alphabetical order with their
Your name. This can be freely chosen by the user at the start of
FluidSIM. In addition to the name the status of the user is displayed
in the list.

— offline
The user is not active at the moment.

— online
The user is logged on to the license server and is currently
working with FluidSIM. Displayed is the time since the user is
logged in.

— locked
The user is locked and cannot log in, even with knowledge of
group name and password. Is a time displayed, this specifies
how long the user remains locked. If no time is shown, the user
is locked indefinitely.

5.1 Create users

Creating a user in the License Manager is not necessary. After you


have passed the group name and password to the users, they
automatically appear after the first login as a user of the group.

5.2 Lock users

You can use the following steps to block the access of users.

Please note that the locking of a user works across all groups. This
means that if you lock a user in one group, he no longer can login
into any group.

→ Select the user group on the left in which the user was last
logged in.

→ Select the user in the user list on the right side. You can select
multiple users by dragging a rectangle with pressed left mouse
button, or holding the key Ctrl while selecting the separate
rows.

→ Click the button Lock above the user list or select from the
context menu Lock... .

→ A dialog appears in which you can set how long the selected
users should be locked. You can select a specific date or define
a time period starting from now. If the users should be locked
indefinitely, select Indefinite.

5.3 Unlock users

At any time a locked user can be unlocked in the License Manager.


To do this, follow these steps:

→ Select the user group on the left in which the user was last
logged in.

→ Select the users in the user list on the right side.

→ Click the button Unlock above the user list or select from the
context menu Unlock .

The selected users are then unlocked and can immediately log in
again in FluidSIM with the group name and password.

6. Custom profiles

The profile management functions described in this chapter are not


available for the MecLab special version of FluidSIM.

The user interface of FluidSIM 6 can be customized by the instruc-


tor to meet the requirements of the learning situation. The entries
of the ribbon menus, the available symbols in the component
library or even the visibility of certain parameters of components
can be individually defined and saved in a custom profile. If such a
custom profile is selected in FluidSIM, the previously created learn-
ing environment is directly available again. The license manager
makes it possible to assign such custom profiles to individual user
groups, so that all users of this group automatically work with the
selected profile.

For more details on how custom profiles work in FluidSIM, refer to


the FluidSIM User Manual. This manual describes how to distribute
a custom profile created in FluidSIM to the individual users via the
assignment to the groups.

6.1 Management of custom profiles on the license servers

Custom profiles are created with FluidSIM and managed on the


respective PC. In order that a profile created by you can be deliv-
ered to all users of a group, it must first be transferred to the li-
cense server on the Internet. Each profile has to be uploaded to the
license server only once and can then be used for several groups.

The management of the profiles transferred to the license server is


done via a separate dialog, which is called via the menu item Man-
age Profiles in the menu Tools .

This dialog lists in tabular form all custom profiles that have al-
ready been transferred to the license server. Based on the title and
file name, you can check whether the desired profile is already
available on the license server.

You can use the Upload new profile button to transfer another
profile from your PC to the license server. When you press this
button, a dialog opens for selecting the profile for being transferred
to the license server.

If FluidSIM 6 is installed on the current PC, the standard profiles


provided with FluidSIM and the user-defined profiles from the user
folder stored in FluidSIM are displayed in this dialog. If FluidSIM 6
is not installed on the PC, the “Documents” folder is searched for
custom profiles and the profiles found are listed here. To transfer a
profile, select the corresponding entry from the list by clicking on it
and then exit the dialog via the OK button.

If the desired profile is not listed, e.g. because it is stored in anoth-


er folder on a USB stick, you can use the Browse... button to
directly select the profile file from a specific directory on your
computer for transfer.

The individual profiles are distinguished by their title. So if you


transfer a profile with the same title as an already transferred
profile to the license server, the existing profile on the license
server will be overwritten. You can use this to update a profile on
the license server if you have changed the profile in FluidSIM after
the initial upload.

In the dialog for managing the profiles, you can delete individual
profiles from the license server by clicking on the corresponding
entry in the table and then pressing the Delete profile button. If the
profile is still being used by at least one group, you will be notified
accordingly. Similarly, you can also download a profile from the
license server once it has been transferred by clicking on a profile
and pressing the Download profile button.

6.2 Assign a profile to a group

→ Select the group in the list to which you want to assign a profile
or change an existing assignment by clicking it with the mouse.

→ Click the Set profile button above the group list to adjust the
profile of the selected group. Alternatively, right-click to open
the context menu and select the Set profile... item.

→ In the dialog, you can now select the profile for the group via
the drop-down list. If no profile should be assigned to the
group, select the empty entry from the selection list.

The Manage profiles... button takes you to the profile manage-


ment if you want to customize the list of currently available profiles.

Communication with users

7. Communication with users

The communication functions described in this chapter are not


available for the MecLab special version of FluidSIM.

In the License Manager you have two ways to get in touch with
users:

— Message
One-way messages can be send to the users in a group. If the
user is logged in this message appears shortly after the trans-
fer via dialog box in FluidSIM. If the recipient is currently not
logged in, the message it will be displayed after the next login.

— Chat
A dialog can be started with individual users, if they are cur-
rently logged in. In a separate chat window you can then ex-
change messages and files with the user.

Users also have the option within FluidSIM to start a new chat with
you. This, however, not only depends on whether you are logged in
to the License Manager, but also of you visibility status. Only if you
have specified that you are accessible for chat, a user can start a
chat with you. Conversely, you can at any time, regardless of your
visibility, start a chat with a user. You can set your visibility in the
bottom right corner of the status bar of the main window.

7.1 Message to users

To send a message to the users of a group, follow these steps:

→ Select the group on the left side in which the user was last
logged in.

→ Select the users in the user list on the right side.

→ Click the button Message above the user list or select from
the context menu Message... .

→ It appears a dialog in which you can enter your message to the


user. In the title of the dialog you can see to whom or how
many recipients the message will be send.

→ Click on the button OK to send the message.

If the user is currently logged in, the message will be displayed


after a short time in FluidSIM. All currently not logged in recipients
the message will be delivered the next time they log in.

7.2 Chat with users

The chat with users is done with one or more additional chat win-
dows to the main window of the License Manager. It is divided into
two parts: the upper part shows the current conversation history
and below is an edit field where you can enter the message to the
user.

With the menu Edit you can paste texts from the clipboard or copy
them to the clipboard. The font size inside the chat window can be
adjusted via the View menu.

In the edit field of the chat window you finish your entry with the
key Return and send the message to your chat partner. The mes-
sage will then be shown in the conversation history.

To insert a line break, hold Ctrl while pressing the Return key.

Via the chat windows you can also share files with your users. In
the lower input area you find a button with a paperclip symbol.

With it you can upload files from your computer to the Internet so
that afterwards it can be downloaded by the user.

Within the chat window you will see several tabs, if there are multi-
ple active conversations. In the title of the tab, the user name is
displayed, you are communicating with.

In the Program preferences you can make various settings for the
chat. You can enable or disable notifications and the use of sepa-
rate windows for each chat.

The user sees on his side the administrator name you specified
when you first started the program. The administrator name can be
changed at any time in the Program preferences.

7.2.1 Start new chat

To start a new conversation with a user, follow these steps:

→ Select the group on the left side in which the user was last
logged in.

→ Select the appropriate user in the user list on the right side.

→ Click the button Chat button above the user list or select from
the context menu Chat... .

A chat can be started only with users who are currently online.

Depending on the setting, now opens a new chat window or a new


tab is added to an existing chat window.

→ Enter your message in the bottom input area of the chat win-
dow and finish it with the key Return .

Your message is then transmitted to the client. If not already done,

7.2.2 Send file to user

In the chat window you have the possibility to send files to your
chat partner, in addition to sending plain text messages.

→ Click on the button with the paperclip symbol. It opens a dialog


for selecting a file on your computer.

→ Choose a file to send to the user.

After confirmation of the selection dialog your file is uploaded to


the chat server. The progress is shown during the upload.

After the upload the user sees a link inside the chat windows, which
allows him to download and store the file on his computer.

8. Prefere nces

8.1 Program preferences

In the main menu of the application within Tools you find the sub
item Preferences... . Choose this menu item to show the prefer-
ences dialog of the License Manager.

The preferences dialog is displayed automatically the first time the


License Manager is started and you can directly make the desired
settings. All settings can be changed at any time.

The following settings are available:

Application language Sets the language of the application.

Display name in chat conver- Here you can enter or change your display name. This display name
sations will be shown to FluidSIM users in messages and chats with you.

Play sound on incoming chat With this option enabled, an audible sound is played on new incom-

8.2 Manage license manager account

In the main menu of the application, under Tools , you will find the
submenu Manage license manager account . Here you can find
various functions for managing your license manager account.

8.2.1 Changing the license manager account password

In the main menu of the application, under Tools in the submenu


Manage license manager account you can find the menu entry
Change password... . Via this menu item you can access the follow-
ing dialog to change the password for your license manager ac-
count.

You can display the current password with clicking the eye-icon in
the first password field.

→ Enter the new password in the first input field and repeat it in
the second input field for security. To display the password
while entering it, you can also click the eye symbol here.

→ Confirm the password change with OK . Afterwards your pass-


word is immediately changed.

8.2.2 Changing the license manager account name

In the main menu of the application, under Tools in the submenu


Manage license manager account you can find the menu entry
Change account name... . Via this menu item you can access the
following dialog to change the user name of your license manager
account.

You will see the existing user name here and an input field for the
new user name.

→ Enter the desired new user name in the input field.

→ Confirm the dialog via OK . Your username is changed directly


afterwards.

If the desired user name already exists, you will receive a corre-
sponding message. In this case, please choose another user name.

8.2.3 Delete the license manager account

In the main menu of the application, under Tools in the submenu


Manage license manager account you can find the menu entry
Delete account... . This menu item allows you to delete your license
manager account on demand.

A license manager account can only be deleted if it no longer con-


tains any license tickets. Open the license management via the
Manage Licenses... menu item in the Tools menu and remove any
remaining license tickets from the current account if necessary.

If the menu item is selected and no license tickets are assigned to
the account, the following confirmation dialog appears asking
whether the account should really be deleted.

→ When you confirm the request by clicking Yes , your license


manager account, including all groups in it and all uploaded
profiles will be deleted.

Deleting the license manager account only deactivates your admin-


istrative access to the online licenses. Deleting the account does
not delete or deactivate any licenses. You can use your license
ticket to create a new license manager account at any time.

8.3 Manage licenses

In the main menu of the application you will find the menu entry
Manage Licenses... under Tools . This entry takes you to the dialog
for managing license tickets.

This dialog lists all license tickets assigned to the current license
manager account.

Add ticket... Allows you to add another license ticket with FluidSIM licenses to
the user account.

Remove ticket Removes the ticket selected in the list from the current license
manager account. The licenses from the ticket are then no longer
available for the account's user groups and the ticket can be as-
signed to another user account if necessary.

Start Activation Wizard Starts the Activation Wizard with the selected ticket so that licenses
can be installed locally on the PC or on a license server in the local
network. Note: If licenses are activated locally, the number of
available online licenses is reduced accordingly.

Refresh Updates the list with assigned tickets.
