1 INTRODUCTION

This document is meant to give you a quick guide on using the EnergyIP Product Center and MS
Sharepoint, upon which the site is built.

2 CHOOSING THE BROWSER


You can use Chrome or Internet Explorer, however IE will provide you with extra capabilities because of
its integration with Windows. These extra IE capabilities include:
 Synchronize libraries with Outlook
 Tabular Edit for updating properties for multiples items all at once
 Upload multiple documents at once
 Rich text editor – for articles and discussions

Note that if you choose to use IE, then make sure you do not override the compatibility mode from within
the IE (using top menu > Tools > Compatibility Settings), or from within Developer Mode. The right IE
modes have been set from within the sharepoint pages, and unfortunately it was necessary to set
different modes across different pages. Normally this is all transparent to you, unless you override it, so
don’t do it!

3 TASK 1: UPLOADING DOCS:

1. Tab: EnergyIP Product Center


2. Select the relevant tab, like, "EnergyIP Platform" in the left navigation
3. In the center of the screen, click on the "upload" button.

4a. Select "Upload Document".
5a. The user is taken to a new screen. On the right hand side of the screen, find and click the "Browse"
button.

6a. Edit properties of the document and click ok.


7a. The user is taken to the Product Documents page which shows the uploaded files.

Note: this only works on Internet Explorer.
4b. The user could select "Upload Multiple Documents" to upload more than 1 files from the same folder.

5b. Check the checkboxes for the multiple files that the user wants to upload. Click the Ok button.

6b. The user is taken to the Product Documents page which shows the uploaded files.
4 TASK 2: EDITING A DOC DIRECTLY

1. Tab: EnergyIP Product Center


2. Select "EnergyIP Platform" in the left navigation
3. Click on any file that the user wants to edit. The user is presented with a popup. Select "Edit" mode.

4. Make changes to the file.


5. Save the file.
6. “Modified by” column gets updated. It does take a minute or 2.

5 TASK 3: CREATING A NEW DISCUSSION TOPIC

2. Select the relevant tab, like, "EnergyIP Platform" in the left navigation
3. On the right hand side, in the section for Discussion Board, click on "Add new discussion".
6 TASK 4: REPLYING WITHIN A DISCUSSION TOPIC

2. Select the relevant tab, like, "EnergyIP Platform" in the left navigation
3. On the right hand side, in the section for Discussion Board, select an existing subject

4. By default, the conversation is seen as a “flat” view, in the top right corner. The user can change this to
“Threaded View”
5. In the flat view, the user can reply to any message.

6. The user will be presented with the textbox to type his message. The message to which he is replying
is copied below.
7. When the user clicks OK, he is taken back to the Discussion Board.

7 TASK 5: SYNCING A DOC LIST WITH OUTLOOK


Note: you must use Internet Explorer.

2. Select the relevant tab, like, "EnergyIP Platform" in the left navigation
3. In the center of the page, click on the dropdown for “Actions”, select, “Connect to Outlook”.

4. The user will be asked for permission to connect to outlook. Click “Allow” button.

5. You may get a security warning. Click “ Allow” button


6. Outlook will open and the user will see the files in a folder inside another folder called “SharePoint

Lists”

Design Issues:
If the user clicks on the Action “Close” for the Discussion Board, the discussion board for that tab goes
away. Did it go away only for other users? Could not find a way to bring it back.

8 TASK 6: SYNCING A DISCUSSION BOARD WITH OUTLOOK


Note: you must use Internet Explorer.
1.Tab: EnergyIP Product Center
2. Select the relevant tab, like, "EnergyIP Platform" in the left navigation
3. On the right hand side, in the section for Discussion Board, select an existing subject
4. On the left hand side, from the “Actions” dropdown, select “Connect with Outlook”.

5. The user will be asked for permission. Click “Allow” button.

6. The user may have to give security clearance. Click “Allow” button.
7. One more permission window. Phew!

8. Outlook will now create another folder for the discussion in the “SharePoint Lists” folder and the
discussion will be available in outlook.
9. If the user adds new messages to the discussion board, the messages get automatically synced to
Outlook!!! Hurray!
