Abstract

The aim of this report is to represent a summary of activities in which I have been involved during my
internship at the Ministry of Defense from 29 th August 2022 to 4th November 2022. I have learned
much by working as an internee in this time period. In the organization, I have worked a lot and
connected with different departments to boost my professional skills. Those departments are as
follows:

 General attendance and departure Department


 Employees schedule
 Discounts
 Salaries
 Issuing salary certificate

After working in multiple departments of the organization I have come to know how overall work is
managed in different departments and workers to complete the project. This time period allows me to
move towards the practical work from theoretical knowledge that we gained from university. After
these ten weeks, I realize the meaning of terms like Teamwork, Good communication skills,
professionalism, flexibility, and also how to polish our personal soft skills.

In the 1st week, I didn’t do any practical work because I have to understand the overall system and
get the knowledge of every department. Later on, I Started practical work.

Acknowledgment

With great pleasure. First of all, I would like to thank with sincere gratitude my parents who support me
every time. After that, I would express my deepest thanks to my supervisor (Dr. Ahmad Ghandour) who
helped me to get success in this task internship. I have worked as an internee for ten weeks in the
Ministry of Defense where I learned much more from very kindhearted officers and helping staff. It was a
very great time and very precious experience for me, and I truly believed it has guided me not only the
ways of the real work world but also things about myself that I need to further improve. I would like to
thank my supervisor “Dr. Ahmad Ghandour” for his guidance and help so that I would be able
to complete my report on time. Again, thanks for your concerns.

Executive Summary

The main objective of this report is to complete the internship course that is very
necessary. Basically, Internship courses are considered to be the main element in
transforming the real-time knowledge learned from university in any professional
Workspace. To complete the bachelor’s degree program internship courses are very
necessary. Especially in Business practices, Theoretical learning has zero importance until we
perform this practically. I spent my internship period in the Ministry of Defense (UAE) from 29 th
August 2022 to 4th November 2022. That was based on the time period of 10 weeks. These ten
weeks are very important for my practical life and I have worked with my full passion to understand
things. In my internship report, first of all, I will explain about the company or organization which
helps me to complete this project. I briefly explain all the real-time knowledge about the Ministry of
Defense UAE. Then after that, I will write about my work as an internee and this is the main part of
the report where I explain what I have did in my Internship period. It contains my weekly routine
work during these ten weeks of internship. And lastly the third part include learning experience I
gained and SWOT analysis. I was very glad to see that I work as an internee in very large
organization and learn much more from this place.

1.1 Introduction of Organization
Every nation pledges to uphold security and stability within its borders. However, any
nation must be ready for proactive and beneficial actions against potential threats from
external organizations. This means that nations must have strong armed forces and
intelligence agencies.
The British East India Company established the Military Department in Calcutta in 1776. The
Ministry of Defence is its successor. Its primary duty was to coordinate and document directives
made by various Departments of the East India Company's government regarding the Army.
In order for the Services Headquarters, Inter-Services Organizations, Production Establishments,
and Research and Development Organizations to implement the policy directives of the
Government on all defense and security-related topics, the Defence Ministry must first get them.
Additionally, it is necessary to ensure that the government's policy directives are carried out
effectively and that approved programmes are carried out within the available budgetary
constraints.
The Ministry of Defence gives the Armed Forces the resources and policy framework they need
to carry out their duties in the context of national defense.
The Ministry of Defence (MoD) is the federal agency in charge of preserving the nation's unity
and commanding the armed forces. Along with creating military doctrine and strategy, the MoD is
also in charge of managing the defense industry.
Following the union of the seven emirates that today comprise the UAE, the MoD was founded in
1971.
Mohammed bin Ahmed Al Bowardi is the current minister of the ministry, which has its
headquarters in Abu Dhabi.
The Army, Navy, Air Force, and Presidential Guard make up the UAE Armed Forces. The UAE
also has a variety of paramilitary and reserve forces.
The UAE has one of the largest defense budgets in the area, and it is a significant buyer of
weapons and other military hardware. The UAE has participated in military operations in
Afghanistan and Yemen and is a crucial ally in the US-led coalition against ISIS.

Historical Background of Organization
On December 27, 1971, Zayed bin Sultan Al Nahyan issued a directive that resulted in the official
establishment of the Union Defence Force as the United Arab Emirates armed forces. Every
emirate was in charge of outfitting and educating its defense forces called the Union Defense
Force.

On the day the Armed Forces of the United Arab Emirates were unified in May 1976, the Higher
Defense Council was constituted and it issued Resolution No. 1. The Ministry of Defence has
made many ground-breaking moves in numerous venues since the decision to unify. The Ministry
of Defence is eager to expand the scope of its strategic vision and public policy in order to
effectively keep up with the global economic boom being experienced by the entire world. The
Ministry of Defence is eagerly anticipating the creation and layout of a cutting-edge strategy and
high-level policy to accomplish its primary goals. To accomplish those crucial objectives The
Ministry has made an effort to update and enhance its defense.

1.2 Vision and Mission of Organization

Vision
A Proactive institution that ensures the UAE’s national defense, sovereignty, and victory against
evolving threats to the nation.

Mission
To ensure the UAE’s national defense and advance its interests by understanding the strategic
operating environment, designing future-oriented defense strategy and policy, and ensuring
strategically prioritized the development and utilization of national capabilities, all in collaboration
with other national entities and our international allies.

2.1 Aim of my Internship
These are the following aims of my internship.
 Learn about the working environment of a corporate organization.
 Understand the principles of working at a professional place.
 Utilizing expertise in practical work.
 Understanding required background knowledge.
 Polishing some personal Skills.
 Enhance communication skills.
 Analyzing the gap between Passion and Career.
 Tuning Current skills through Practicing.
 Learning from Senior Professionals.

 Create a list of employees
 Studied schedules with the employee's working hours
 Studied the admissibility of discounts and company rebates
 Invested time on Salary rules with the company’s compliances and
policies
 Worked on the template of the Salary certificate document

Week-3  Working at the scheduled shift timings and its tabulation.


 Worked on work schedule to make the foundation of hassle-free
Business operations.
 Worked on working scheduling of employees’ so that it can help to

 Worked on regularizing the employees’ attendance keeping in view
the
Issues being faced by payroll staff.
 Made reporting contents for employees work while checking this
consistency level.

Week-4
 Had discussions and meetings with payroll department particularly
regarding managing the attendance.
 Make a report on payroll expenses
 Worked in Company’s finance department and observed that finance
department doesn’t approve discounts as it means loss of revenue.
 Enter new employees’ data (e.g. bank accounts and tax identification
numbers) into internal databases.
 Answer Questions about compensation, benefits, taxes and
insurance deductions

Week-5
 Create a specific salary structure as a way to organize employees
pay, it
can make it easier on the teams responsible for hiring new
employees
and promoting current ones.
 Collect daily, weekly and monthly timesheets.
 Worked on different types of discounts that will be offer to customers
to boost sales.
 Ensure wages and tax withholdings comply with regulations.
 Scheduled bank payment or hand out paychecks directly employees.
Week-6  Come to know about short leave work strategy.
 Learn that Working Schedule establishes a framework for paid work
while setting the company’s operational hours.
 Observed that Statistic Suggest that a thoughtfully constructed work
schedule drastically improves employee satisfaction, reduces
absentee-
ism and increase overall productivity.

 Observed that in an organization sales department want to increase
the sale by 20% so sales department planned to offer extra discounts
to customers.
 Learned about the Cash discounts that refer to an incentive that a
seller offers to a buyer in return for paying a bill before the scheduled
due date.

Week-7
 Employees who have less than [three incidents] of absenteeism or
tardiness in a year will receive an additional paid day off for next
year.
 Also learned different Strategies to keep remote employees in line for
whole team of full timers, half timers, part timers, hourly employees
and salaried professionals.
 Working Schedule plays Very important role to keep the work smooth
And to increase overall productivity so got full information about the
strategy of working schedule.
 Observed that employee work scheduling is an arduous process as
you have to keep in mind multiple variables like employee availability,
Business volume, staff requests, seasonal requirements and more.
 Discounting has long been used to incentivize customers and
prospects to make a purchase.
Week-8
 Worked on Quantity discounts that are often offered by Company to
Entice customers to purchase in larger quantities.
 Worked on different types of Salary Structures which includes: Market
based, Traditional, broad banding.
 Prepare employees compensation by the end of each month using
payroll software.
 Learned that in addition to deciding about the base price of products
and services, marketing managers must also set policies regarding the

use of discounts and allowances.
 Discussed and got real time information about how employee
attendance Effect Company’s overtime payment based on certain
categories.
Week-9  Worked on Salary Structure that would help employees to understand
how much they can expect to earn at a minimum and what the
maximum
Earning potential is for their role.
 Develop an Effective Salary Structure that is suitable for both
Company as well as for employee.
 Made a report on payroll expenses.
 Worked on seasonal discounts, these discounts are basically offered
to encourage the purchase of a particular product in the off-season.
 Distribute Payment statements and gather signed receipts
(Digital or paper)
Week-10  Salary Certificate issued by an office head to their employee upon
request made by an employee.
 Modify Employee Salary certificate format that contains Employee
name, Date of birth, Address, Telephone number, Fax No, E-mail
address, designation.
 Come to know about the difference between the Salary Certificate and
Salary Slip, that is Salary Certificate doesn’t necessarily show the
detailed breakup of the employee salary, whereas salary slip gives
complete detail
Of income and deductions made in the monthly salary.
 Got the real time information about how Attendance and departure
effects work outputs and its mileage outcomes.
 Observed that an effective employee work scheduling can Establishes
Consistency, Saves Time, Ensures Compliance, Improves Retention
and
Boost Customer Satisfaction.

In the Starting of week there were informal meetings. The purpose of these meetings are the
communication of employees with head of department regarding ongoing projects. Performance of
each department has been also discussed at the end of week.

2.4 Daily Routine
At Daily basis I used to work 7 hours from 9:00 am to 4:00 pm. I mark my attendance in General
attendance and departure department from where I get knowledge about this department and
understand the system of this particular department. By spending whole day in an organization
and professional environment I learned how to move professionally, how to communicate and
how to work more ethically and perfectly.
Many things that I have learnt during my ten week internship at Ministry of Defence through
different projects on which I have worked in multiple departments. Overall the working
environment of the organization was very highly appreciated.
The ministry of defence controls the functioning of all four services in Defence: Navy, Army,
Air Force and the civil service. So, I get real time knowledge of working of all these armed forces.
I come to know about the strategic planning of the Ministry how they control all the forces and
how these forces fulfill their responsibilities for the defence of a country.

2.5 Summary of knowledge
I gained knowledge on how to act in a professional setting and how real-world factors influence
and drive employees. Simply put, we can't conceive anything in our minds unless we really do it.
All of these things will undoubtedly be helpful to me when I begin my profession. I won't think
twice if I decide to work again. Our confidence has been boosted by the class presentation, which
has made dealing with customers easier. Assignment deadlines teach us to be on time, which
helped me during my internship.

2.7 Internship impact on career
An internship enables you to enter the workforce more easily while showing you the way to
your goals and obligations for the future. A valuable transition between the educational process
and a career can be made by internships. Internships are typically unpaid. However, we are
able to acquire significant expertise that is uncommon. Internships can speed up the process of
moving toward your career goals by bridging the gap between obtaining schooling and finding a
job.
Working for a company that operates professionally and at the ministry level was a great
chance for me. I have recently gained a great deal of information through this task. Since
everything was highly professional and practical based, I learned a lot of things that I could not
have learned if I hadn't worked realistically. Therefore, it would also benefit me professionally.
Before the internship term, I had no experience working for a company, but now I have many
new skills. Actually, it gives me a foundation for the future. I learn about cooperation. I picked up
on how to act in a professional setting. Additionally, it improves the impact of our resume. Since
the first thing that counts when applying for a job in any firm is the CV.

3.1 Summary of Conclusion

I've learned during my internship that observation is crucial to determining the root cause of a
problem. Not just for internships, but also for day-to-day activities. I extensively collaborate with my
peers and mentors during my training to identify the underlying causes of the issues. During my
internship, I received guidance on how to learn and work independently, operate more ethically,
have patience, be more self-assured, take the initiative, and have the ability to solve difficulties. By
speaking with specialists, I hone my communication skills. I have received feedback during my
internship and have also received guidance on making mistakes from the elders. And those
suggestions have been really helpful in helping me change and refrain from taking any wrong
decision.
