CONTRACT QUALITY CONTROL PROCEDURES & REPORT REQUIREMENTS

QUALITY CONTROL
Quality Control will be exercised by the representative members of the Professional Team.
The Project Managers will ensure that defects lists are drawn up by the individual members of the Design
Team at the appropriate times during construction and that the necessary rectification by the Contractor is
carried out as expeditiously as possible.

QUALITY CONTROL will be maintained by the following Meetings and Reports

Quality Inspections
Although it is clearly the contractor’s responsibility to produce a building that complies with specification, it is
in the interest of the project as a whole that the various consultants, on a fortnightly basis, review the product
being produced by the contractor and comment on the quality aspects thereof. (To be carried out by each
Consultant in his/her own time during the 2 weeks between Main Contractor Site Meetings).
Each Consultant will be required to review those aspects of the contract works which fall under their
jurisdiction in terms of quality and provide a regular formal report (The Quality Control Report) which is to be
tabled to the contractor at the Site Meeting for action. Progress of remedial work can thereafter be monitored
by the Project Manager to ensure that any quality problems that have been raised are timeously addressed by
the contractor.

Site Inspection Meetings (To be held every other week in-between the Main Contractor Site Meetings). This
meeting will start with a short sit down meeting to confirm which issues are required to be looked at (based on
Quality Logs issued by Consultant) and then followed by a formal minuted walk through with all consultants
(Client is invited to join once per month, see Client Site Inspection Meeting below), to review those identified
items and other areas of concern or relevant progress.
Site Inspections will be held on a fortnightly basis and will be conducted and minuted by the Project
manager. These inspections will require contractor and all relevant consultants to attend (relative to the
stage of construction). The purpose of the site inspections will be to review site progress relative to
problems being experienced by the contractor as well as to review quality problems.

Client Site Inspection Meetings


These inspections will be held on a monthly basis one week prior to Management Meetings. The purpose of
these inspections will be to keep the Client informed as to the Status and Progress of Construction, as well as
inspecting work already completed and highlighting on-site problems requiring input from the Client body.
These meetings should be attended by the following representatives:
• Client
• Architect of Record
• Interior Designer of Record
• Quantity Surveyor
• Concept Architect (Local Representative)
• Project Manager
• Consultants as required
• Contractor

The Main Contractor Site Meeting – Held fortnightly to discuss formal Main Contractor contractual and
progress issues. All quality inspections are to be conducted between the fortnightly Main Contractor Site
Meeting and addressed with the contractor by the Monday preceding the meeting to ensure that all quality
issues are understood and being resolved.
The intention is that no quality issues are raised at the Site meeting, other than those that cannot be resolved
in the Monday meeting directly with the contractor. Alternatively these items will be discussed at the Site
Inspection meeting. All Consultants are required to table a Quality Control Report with associated Quality Log
at this meeting.

Minimum proforma breakdown of information required in the Quality Reports expected from Consultants
every 2 weeks.

QUALITY CONTROL REPORT


Tabled every 2 weeks in the site meetings

The report should contain the following sections -


1.1. Samples
• Required – full list of samples required for the project.
• Approved / comments / requirements

1.2. Mockups
• Required – full list of all mockups required for the next 6 months
• Approved / rejected / comments / requirements

1.3. Shopdrawings
• List of all elements requiring shopdrawing drafting and approval
• List of shopdrawings received with comments and showing approval status

1.4. Test Results


• List of Tests Required for all elements
• Mortar test
• Concrete cube tests
• Soil tests
• Paint thickness tests
• Other tests
• Test results received / Approved / Rejected
• Table/schedule of all tests:
o Required in the next month
o Received to date
o Comment / approval / rejection / failures / results

1.5. Works/Trades undertaken and inspected in the last 2 weeks.

ADDENDUM - The Quality Log


• This is a list of QA Concerns raised during construction – It is an ongoing list of defects
required to be remedied by the Main Contractor in a Quality log issued on OnSiteIMS.
These Quality Logs are maintained on the system and added or updated by marking
items as complete every 2 weeks. Photos can be attached at assist and this is advisable.
The OnSiteIMS Quality Log module will be used for the issuing and signoff control of
these quality items.
• List can be printed off the OnSiteIMS System once updated and attached to each
Consultants Quality Control Report for discussion purposes. Note that the Main
Contractor can retrieve all combined lists off the OnSiteIMS system at any time.

All professionals are to ensure that they comply with the agreed quality assurance procedures and submit
their reports timeously as agreed.
