Subject: Formal Complaint Regarding Non-Availability of Classrooms,


Poor Air-Conditioning, and Poor Lighting

Dear [In-Charge Student Affairs],


I hope this letter finds you in good health and high spirits. I am writing
to bring to your attention the persistent issues that students have been
facing throughout the semester, specifically regarding the non-
availability of classrooms for makeup classes, poor air-conditioning, and
inadequate lighting in the classrooms. These problems have
significantly impacted our academic performance and hindered our
learning experience at COMSATS University Islamabad, Abbottabad
Campus.
Firstly, one of the major concerns we have encountered is the non-
availability of classrooms for makeup classes. Numerous students,
including myself, have found it exceedingly difficult to secure a suitable
venue for rescheduling missed lectures or organizing supplementary
classes. This issue not only disrupts our academic schedule but also

undermines our ability to grasp missed concepts, thereby impeding our
academic progress.
To exemplify, let me share my personal experience. On multiple
occasions, I had to reschedule makeup classes for a course due to
unforeseen circumstances such as faculty unavailability or schedule
conflicts. However, despite diligent efforts, I was unable to find an
appropriate classroom that accommodated all the students affected by
the missed lecture. Consequently, this deprived us of valuable learning
opportunities and left us feeling disadvantaged compared to our peers
who had attended the original session.
Additionally, the poor air-conditioning in classrooms has been a
recurring problem that significantly hampers the learning environment.
During scorching summers, the lack of effective cooling systems makes
it arduous to concentrate on lectures, resulting in fatigue, discomfort,
and decreased attention spans. It is distressing to witness fellow
students struggling to absorb information due to the stifling heat,
leading to a decline in overall academic performance.
Moreover, the inadequate lighting conditions in classrooms exacerbate
the challenges faced by students. Insufficient illumination not only
strains our eyes but also makes it difficult to read the presentation
slides, study materials, and the whiteboard. This compromises our
ability to grasp important visual aids and impairs our overall learning
experience. The dimly lit environment induces eyestrain and fatigue,
hindering our comprehension and retention of course content.
These persistent issues concerning the non-availability of classrooms,
poor air-conditioning, and inadequate lighting have undeniably
impacted our academic performance and created an unfavorable study
environment. Therefore, I request your immediate attention and
intervention to address these matters effectively.
To mitigate these problems, I propose the following remedial
measures:

Increasing the number of classrooms available for makeup classes or
designating specific venues for such purposes, ensuring that students
can conveniently reschedule missed lectures without encountering
logistical obstacles.
Enhancing the air-conditioning systems in classrooms or establishing a
regular maintenance schedule to ensure that cooling systems are in
optimal working condition throughout the year, thereby providing a
conducive learning environment for students.
Upgrading the lighting infrastructure in classrooms by installing
brighter, energy-efficient bulbs and maintaining regular checks to
ensure proper illumination, enabling students to comfortably read and
engage with course materials.
I believe that implementing these suggested measures will significantly
alleviate the issues faced by students and contribute to an improved
academic environment at our esteemed institution.

prompt action to rectify the problems outlined above. We, as students,
have immense faith in your ability to address our concerns and enhance
the overall learning experience at COMSATS University Islamabad,
Abbottabad Campus.
